How to Create a Fillable PDF Form Using Adobe Acrobat Pro for Free: A Step By Step Tutorial

[Music] hi in today's tutorial I'm going to show you how to use adob Acrobat Pro to produce a failable PDF form starting from an image file that looks like this our end result after this tutorial will look like this now before we continue don't forget to to subscribe to our channel so that whenever we post a new video like this you will get notified are you ready to get started let's go my name is B clar from Ab publisher [Music] LLC now the first thing I'm going to do is to open a copy of this jpeg in my folder here I'm going to right click and open with adob acrobat right now I have the form open in my copy of our adob Acrobat Pro what I'm going to do right now is to convert this form to a fillable format using the PDF controls on my right hand side if you don't have any of these controls on the right hand side here you can go to tools and you see all the controls available to get started I'm going to select prepare form and just click the start button it is telling me to actually save a copy this is telling me to save a copy of this form in in my system so I'm going to call this simple membership form two because I've have done one here already as you can see adob robot has detected that our form contains fillable text Fields like this on that are these ones that are named on the screen right now however this detection is not accurate because some of these uh text fields are actually not there when you compare when you compare the form with what I have over here so what I'm going to do is to delete the unnecessary text box is like this so I'm going to delete this one select with the left Mouse button press delete you don't need this as well select this with your mouse click the delete button on your keyboard select this click the delete um button and so delete this now I think that is all for now another thing we're going to do is U to rename this text boxes appropriately right now if I zoom in by pressing control+ on my keyboard I can see that the name of this text box is uh director president chairman which is the same name over here so I think this is uh appropriate I can just resize it a little if you scroll down and look at other text Fields you will see that some of the names given to this text Fields you will see that some of some of the names given to the to the text fields are accurate this is first name first name one but this is not correct some of them also need modification like this status one nationality 2 and so on so what I'm going to do is to rename this text Fields so double click on this wait for the properties box to load up and simply remove one from here I can also delete the tool tipe because I don't need it the tool tipe is the name that appears when you hover your mouse over a text field below this pointer the to tap will appear but right now we don't need it so the same way double click on this remove to and rename first name to last name just like that this text field belongs to full address so I'm going to double click on it and change this to add address using my keyboard I remove the tool tip and close that similarly I'm going to rename this to status by double clicking and changing the text to status same with this I'm going to change this to nationality changes to [Music] religion I don't need this text fi as well so I'm going to click once and press the delete key on my keyboard for this I'm going I'm simply going to rename it as zip [Music] code I think I'm okay with this name it's appropriate city or country now if I scroll down here I can see this our contact detail I prefer to rename this as additional [Music] info this actually is is the signature field which I don't think I need because we are going to place a signature here so let's simply delete this now press control 0 to zoom out and look at what we have in our form right now for I press control+ I can zoom in a little and look at the form again now I'm going to delete this dates over here let's zoom in a little to delete this I'm going going to use the edit PDF over here if we look closely you'll see that this date of birth has a a handle as you can see I've selected it with my left Mouse button so once I've done that I press delete key on my keyboard to Let It Go then I can close the edit PDF uh menu now if I go back to prepare form I see that I have to move this status text field a little bit up to select it with the mouse button use the up Arrow key on my keyboard to move it a little so that can be right it can be on the right hand side of status so as you can see it's better position now the next thing we need to do is um to delete this date but we cannot use the we cannot use the edit PDF to do this because it's not just a text box it's actually a text field so this time around so this time around I'm going to place a graphic over this to cover it up now how do we do this we actually have a Graphic package within within adob acrobat many people don't know where it is now what I'm going to do is um search here for comment as you can see alternatively you can just go to tools scroll down down and look for comment right here so I'll select that once we've done that if you look at this this new toolbar here this toolbar consists of graphic icons that I can use to draw I can use this to make a comment for example add sticky note I can use this to add sticky notes can use this to highlight text and so on I can use I can use this to write text and I can use this to draw rectangle this to draw a circle and so on and so forth what I'm going to do right now is to select this rectangle and use it to draw a rectangle that cover this de field like so then you can close this up now what I need to do next is to remove the boundary or the border of this new white text box so I'm going to do on that is come up right here where where I have this um line thickness indicator so click this to select it click the Cog wheel over here I'm going to use this to remove the Border let's move this aside now you see here that um the FI color is white which is okay because the background here is also white however the Border here is red and the style is not selected right now so I'm going to I'm going to take no border so that I don't have any B showing up here and click okay right now if you click away from this it looks like there's nothing actually in that place so with that we are done with deleting the date field so let's close this toolbar the next thing I want to do is um to go back to the prepare form uh toolbar and see if there's any other thing I can just uh adjust if I zoom in closely you will see that some of these text boxes are not actually well positioned like this I zoom a little you see I need to move it up a little bit so let me just do that quickly to all the other text boes as well now press contr 0 to look at the form from a distance now I think this looks much better let's zoom in a little bit again now we notice that we need to replace this dead field over here once I'm in the prepare form tool bar I can place a new date date field over here by clicking this so let me draw this over here so let me simply change the name of this text field to date I think it's better click away from that there's something that you may really need to do when positioning Graphics like this we need to place rulers here just like we did in the first tutorial where I use lib office to prepare this same form so what I'm going to do is go to edit preferences scroll down in the units units and guide section select show rulers when opening document and click okay now nothing actually happens right now I need to restart ad back Rob back for me to be able to see the ruler or make use of the guides so I'm going to close this save my form select the folder where I want to save the form select this same name I gave the form the other time and click save it's telling me if I want to replace it yes so I'll close this and then I'll be right [Music] back your welcome back I've just reop the form now I can see that my text boxes are there my date feed is also there now I can see that my rulers are visible can see on the left and right hand side so what I want to use the rulers for is that if any of this is not well aligned with this I can make use of the ruler so press the left Mouse button on this ruler drag a line down and place it here you can see that um this is just about okay I can draw another line from the ruler bring it down and look at it here this is also okay now if you look at the original copy in the image format you see that the next thing to do is um to fill up this space membership type what I want to put here are three check boxes to indicate whether the membership type is regular exclusive or VIP now let's do that what I'm going to do right now is to go back to the prepare form uh toolbar and select add check boxes add check boxes I can place one right here that's okay so I'm going to call this regular okay now to do the other three uh check boxes I'm going to select this again press contrl C and control V to produce a copy simply move that here somewhere here now I'm going to rename this by double clicking to open the properties box and change this to exclusive now I'm going to produce yet another copy of this by pressing C and contr V move that somewhere here I'm going to double click on this change this name to VIP now I need to look at each of these text boxes again let's go back to regular and double click there are some settings we can actually adjust in this we want to make this um text box this text box visible so it's okay to leave to select visible here it's okay to leave this as visible so we can also go to the appearance tab look at what T we can do you notice that this check boxes have borders which are just black lines I don't want borders in my form what I'm going to do is um to go to the line thickness here go to the is to go to the what I'm going to do is to go to the Border color and change this to something like this the color that similar to the other text Fields down here and I'm going to select this I think I'm okay with this just leave it like that you can also go to position see if it I'm trying to see if there's we can adjust that's not none right now but these are just the positions of this box which I'm okay with so I'll go to the options button and look at the checkbox style these are the kind of styles you can apply to this check box you can use check can use a circle cross I think I'm okay with the check mark which is so that's okay if you want to select any membership type by default you can just check this box this I think I like because um I want every member to have a minimum of regular membership type but can have more than one membership types so I'm going to select this by default so that every member by default must be regular let's go to the actions menu there's nothing for us to do right here for now so I'll simply click away from this and then click close I'm going to do a similar thing with this I'm okay with the name the appearance I'm going to remove this border color simply select no color for the fill color I'm going to select this like we did the other time I'm not going to select um check this by different because we've done that to regular already you cannot do it to two and I'm okay with that and finally go to VIP I'm okay with the name for the appearance I'm going to use a f color that's the same thing with the other ones um we don't need font sizes because we are not writing anything here we don't need to select any font size or font color for this so when just close when close this now these three check boxes are not spaced evenly so what I'm going to do to select the first one press the shift key on my keyboard press and hold then select the other two check boxes now come over to the right hand right hand side here then we come over to the right hand side here where I have match size so I'm going to make sure that the width and the height of the three of the three check boxes are the Same by taking this also I'm going to make sure that the three check boxes are distributed vertically and uh horizontally by clicking this and by clicking this so as you can see now the three check boxes have the same spaces between them the three check boxes have the same space between them now the next thing I'm going to do is uh to write the name of each membership type here for example regular going to be here exclusive is going to be here these names inside the check boxes will not be seen by the user of the form so what I'm going to do now is to click on this text icon and add a text here but just before that I'm going to make use of the ruler Again by bringing this down put it somewhere here and another one just below this line so I click on the text so here I'm going to write regular similarly I can click on this and write exclusive and finally I can do the same thing here right VIP I can move this text Fields a little bit to the left so I can space them evenly now don't forget to save your form as you proceed now let's preview the form we have done so far and see what we have right now I can see that I can type in the name of the directory here I can make these check boxes select select um one or more or the three of them for the date I can click on this right now click on this icon and bring out the calendar from where I can select the date as you can see now you can also scroll down and look at the other text Fields first name last name full address status and so on so now that we are satisfied with the outcome so far can simply close this and go back to the edit uh menu as you can see we need another date field here for the date of birth instead of producing another one I can just create a copy of this I'm going to click on this press contr C CR V and then I have a copy here which I'm going to bring right in front of date of birth just like so now want to align this dead field and this one or first let me reduce this since be too too high so I'm going to select this press the shift key select this one okay I can go to the alignment so I can align the two of them vertically so this I think is better I'm going to reside this a little now if you look down here you see that we need to work on driver's license here we have to put four radio buttons on this line two for driver's license and two for gender what I'm going to do first is zoom in a little by pressing control+ on the keyboard I'm going to select radio button here so once I do that I'm going to draw the radio button right on top of this circle here just like So lately I did that I discovered that I need to fill in some text to represent this um radio button for example there's a group name here I'm going to give this a group name of driver's license and change the name of the button itself you know Buton is simply going to be yes and that is I can press the enter key or click out to accept the changes I'm going to do a similar thing here but I'm not going to copy this this radio button over here we don't copy radio button if we do that if you select one of these radio buttons the other one will automatically be selected so if you want to do two radio buttons do one and then do the other one don't copy like I've been doing for the text boxes so I'm going to go back here and draw another radio button over this small ccle just like you did before you can see that this second video button is given the same group name which are called driver's lense the other time but the name has to be changed this radio button is going to be called No as you can see so I click away from that to accept the change the same way I'm going to produce two radio butt butons for this I'm going to do this a fresh as well I'm not going to copy from this because this two belong to a different group so I'm going to select radio button from the prepare form tool bar and like I did a while ago draw another text box another radio radio button excuse me over this this time around I'm going to give this a group name which is gender now I'm going to name this uh radio button mail click away to accept the change finally do the same thing over here okay this belongs to the same name this belong to the same group of gender but the name is going to be female click a way to accept the change right now let's press control Z on the keyboard to look at the [Music] form as you can see seems what we've done so far is okay but let's go to preview and look at how the form uh appears to the user let me press control plus to zoom in a little now I want to test this radio butons by simply trying to make selection if I select yes and then select no you see automatically yes is the selected why no is selected similarly if I come to the gender side I press mail and then press female nail is automatically selected that is the right thing to do so I think everything is okay for now so I'm going to go back to the edit section section and see another thing that can be done as you can see right now I don't have any I don't have much to do other than possibly to look at this um additional info text box let's double click and study the properties there's no totip there right now I'm okay with that because I don't need it I want to go to the appearance so right here I can see that um I don't have any B color because I have a cross there I don't have a fi color right now so if I need a fi color I can simply add it but I think I'm okay with this now for font size I think I'm okay with um size 12 so when user is typing here text are going to appear with this um font size and font type vertical for the text color I think I'm okay with black for typing this kind of uh on this kind of background a black will show a black color is okay for this kind of a background okay we don't have any thing to do here these are just the positions of this check box we don't need to adjust in the options tab you can see that um the alignment is left meaning that when the user start typing when the user starts typing it's going to start from the upper left corner here which I think is natural for this check SP I think I'm okay with this because if the user makes a mistake in spelling adob back robat we simply try to um make a correction we try to indicate that the text um acrobat that we try to indicate that the spelling is wrong for scroll long text if the user tries to enter a lot of text here by by the time it get to the end of the the line you be able to scroll but personally if this form personally I don't like this CU if I'm going to print out this form I don't want the the user to be able to scroll so I'm going to uncheck this now I also like multi this means that the user can enter multiple lines in this place which I think is appropriate so again let's look at other things like validate there's nothing to validate over here right now so we can just leave this alone calculate there's nothing to calculate here because um we just expect numerical Alpha numerical characters in this place so with that we can just close these U Field properties now another thing I want us to do here is um you can change this logo actually the logo is there already I just want to show you if you want to put a different logo in yours then you find this are very helpful let's zoom in a little by pressing contr plus now I'm going to remove the existing logo and also this existing backround so that we can have another um have another B another shape over here maybe a rectangle to feeling a rectang maybe a rectangle maybe a rectangle to align with this um one over here so what I'm going to do is uh to remove this I need to go back to the so right now I need to go to the comment section again now I'm going to select this rectangle and draw a rectangle over this starting from somewhere here like so now I'm going to remove this background here and I also going to remove the borderline so I go back to this click this click this Cog wheel to open up the properties for this box now what I'm going to do here is first I don't want a border style so I'm going to select this drop that menu and put no border similarly I don't want this color here but first i'm going to select the color that I need to place over here so let's just Okay click okay here now the color I want to use here is something like this or this so if you have installed the color selector that I talked about in the first series of this tutorial just place your mouse button over here so I'm going to hover my mouse over here press the shift the shift key Windows key and c key simultaneously to bring out the color palette so click on this ones to open the color palette window now go back to the box I just created select this Color Picker here select this line changer here click the C wheel then from here I can select the style I don't I don't want a border similarly I can select the field color here select other color then come to this and enter the values of RGB you can see here this is 44 this one is 168 and this is 224 now press the enter key so once that is done I press the okay button here to accept the changes and close the color selector right now you can see that the color has been accepted so I've just gone back to the prepare from uh tool bar now what I'm going to do is to place an image over here by using the image add an image uh fi by using the add an image uh button here so I will click this try to draw okay I'm going to put logo here and press the enter key now I'm going to go to the properties uh section so here I can make some changes right now I don't need the Border color for this text box so I'm going to select this and select no color similarly I don't need any fi color here so I'm going to select this and select no color for the font size I don't need this because I'm not typing anything here now if I go to General if I go to the options button you can see that I have a new set of functions I can control over here you can see icon and label layout so what I'm going to do is to select how my logo and the name of the company are going to be positioned in this box so once I open this drop down menu I go through one of this you can see now here label top icon button this ISS icon top label button I like this so that I can place my logo which is the icon in this case on the top and put the label at the bottom so I click this I select it now here I need to type in the label but before then let me go and select the icon first the icon in this case is going to be my logo so in this selector box I'm going to click browse and look around for my logo of my system which is right this which is the one here click open to bring in the logo so I can take okay for this here I can type a name I want to appear at the bottom of this logo which is the company name but I want this name space a little bit so I'm going to type each letter and follow and follow it with a space so I'm going to put a space after each letter like so I'm going to put um additional space here and here so I think I'm happy with this now so I'm going to close this up so as you can see it's done here except that the font size of the text seems to be too long so I'm going to go back by double clicking here go to the appearance menu and ruce the font size here let's use six also I need to change this text color to white so I can just select this and select white over here just like we have in our sample here and we can close this box as you can see this looks much better the last thing to do here is to place this signature so I'm going to do still under the uh prepare form still under the prepare form section still under the prepare form two bar I'm going to select signature which is the one right here so I click this you see that I can actually draw a sign signature box over here so let me do that quickly so I think it's just okay so I'm going to call the signature not signature six and then press the enter key now if I select this signature box here here you can see that all the other text box automatically selected what this means is that once to sign this form you cannot go back and make changes to all the other things we have done so far so before we enter the signature let's go and preview with this form once more and see if everything is okay as I can see here everything seems all right you can also use this opportunity to check this date of birth by clicking here and then clicking this down out Arrow so here I can select this Arrow or click right on the dates and move back to a date in the past something like this so let's assume this the date of birth of the user of the form which automatically shows here as you can see there's an error this two dates the date and the date of birth boxes are just copy of each other so what we need to do is to go back to the edit and redo one of this without copying the other one so let me go back to this delete this and create a fresh date of birth so let's go to the date field menu which is this one and draw a fresh like so so let's call this date of birth just like so then press the enter key okay now let's go back and check this again in the preview so if I go back here and select this select the year move back to this I can select a different date this time around select this as you can see that we have different dates in this section right now now there still one more thing I want to do let me go back to the Ed section and check the properties of the date of birth if I double click here I can go back to the format section and change this format I prefer to have the mmdd y y y this particular format I prefer to have this format for my date of birth so let me close that and then go back to the preview and see if I can reenter the dates so let me just change this to May 19th as you can see this looks much better so I can go back to the edit and do the same thing here double click on this go to the format section and select a different format which looks better you can even see an example down here so I'll close this I can go to the preview and make a change to the date the form is filled so let me just move this to and click here as well move this to 2024 here and select something like this and you can see that each of these dat Fields can be filled separately none of them is a copy of the other one so I'll go back to the edit section and look at the form more closely there's any correction to be done before we proceed now I can see there's nothing more to do here other than to sign the form to sign the form you have to go to the preview so click the preview button so let's press cont to Z to zoom out the form and look at everything down beautiful so the last thing to do now is to fill the form complete all the text fields and then sign the form you can do all this in the preview menu so click on preview zoom in with control plus I'm going to enter some random data here so as you can see I'm just putting some random data here to complete the form now let me put in some random address for now for this I can select let me select yes here and for gender let's select ma additional info we can put anything here yes goods and finally we can now play the signature to do that can come over here here click on sign document now I have a signature already here but I'm going to draw another one so let me click add signature now when you come here there are three there are three ways you can put your signature here you can type the signature for example I can put something like this you can import a signature from your computer to this place I'm going to select this method for now so let's just draw something here so I'm going to use this as my current signature so apply as you can see sa signature is selected over there so I want to use in case you want to use this signature another time right now the signature is attached to my mouse curs so I can just come here and place it in this right in this box click once we feel this is too small you can click this a to enlarge the signature or it's too big you can click this to make it smaller this will actually delete the signature and take it back to the beginning of the process so let's move this up a little bit and with that you can click away from there to accept the change finally you can click on next and this dialog box is just asking you to save a copy of your form so I'm going to select this and then click continue once I save a copy here I will not be allowed to edit the form anymore so before I do the final step of this let me go back and Simply Save a copy of this form this will by doing that I'll be able to edit all this um information anduse the form so I'm going to take this uh I'm going to go to file click save as select the folder where I want to save the form I'm going to give this another name going to call this form three which is the table format let me just put a d table there and I'll will save that now to finally save the form in the non-editable format I'm going to click next select save a read only copy which is the noneditable format and click continue the form is finally signed and saved so we can now close this so we can look at how the form looks um to the end user can remove all these rulers right now we don't need them anymore now to check how this form looks to the end user let's just close this go back to my folder and go and open the form this is the editable format this is not editable so as you can see here the form is ready for already the form is already unsigned so we cannot make changes to any of this anymore because of the signat that we have applied and see I cannot make any change to any of this if we did not appear this signature I'll be able to reuse this form anytime I like so I hope you enjoy this tutorial again my name is B
