How To Create a DIGITAL PLANNER in KEYNOTE || Digital Planner 2021

[Music] hey everyone i am kaizl and in this video i will show you how to create a digital planner from the beginning to the finished product i am creating this at the beginning of the year 2021 but if you are from the future i think this is still very useful because the steps are relatively the same in this video i will be using my 12.9 inch ipod pro and my apple pencil we'll mainly be using the app keynote which is free on the ipad i will be creating a planner for the goodnotes app in mind because that is the note-taking app that i use but i think you can also use notability if you have or any note-taking app as long as it can access hyperlinks and you can write and annotate in it i will also be placing the different timestamps in the description box below for you to be able to easily navigate the video so without any more delay let's begin let's open the keynote app and create a presentation when an option appears tap the choose a theme option i am choosing the basic white and to choose just tap on it we can set the overall size of the planner by tapping this button with three dots on it and on the document setup tap the slide size there are various default sizes here but i prefer to create a custom one and the width is 2850 and the height of 2015. then tap done now let's open the master slide by tapping anywhere and on the option tap the edit master slide let's delete all of this because we will not be using them on the upper right corner let's select this brush icon tap this to change the color of our background i will be using the color wheel under the color tab and i want the color to be a very light beige tap the plus icon here for us to be able to add elements in our slide tap this to access the shape and under basic i'm going to be using the rounded corner square let's resize it by dragging these nodes and the width of my shape is 2700 and the height is 1973. you can also change how round the edges are by adjusting this green node in the upper left corner of the shape i adjusted mine to 44. then let's tap the brush icon again to customize the attributes of our shape i am changing the fill color to this shade of blue let's add another round edge square and adjust it the size slightly smaller than the first one and the exact size of mine is 2688 as the width and 1950 as the height and as for the corner it is 40. on the brush icon again i am changing the fill color to this shade of blue let's also add a shadow by tapping this toggle icon and you can also try different types of shadow available in here let's repeat the process again and add a rounded edge square for the corners it is 39 and the width is 2641 and the height is 1886 as for the fill color i am going for a light green the elements that we created mix up the cover of the notebook and one tip to make sure that your elements will not accidentally be moved let's lock them up by selecting the element go to the arrange option then tap lock now let's create the pages tap the plus icon again and this time let's add a normal square this will be the pages of the notebook that we are creating and the size of the page is 1266 as the width and 1840 for the height let's customize the page under the brush icon and i am changing the fill color to white then let's duplicate this one by copy and pasting it then reposition the duplicate here let's also add a shadow to the pages to make the notebook more realistic let's duplicate this page twice and place it above each other such that when you are looking at the notebook it shows volume but before that let's tap done and tap the button with the three dots and on the guide let's turn off the edge center and spacing guides let's go back to the master slide so now let's position the pages on top of each other such that the lower pages left or lower portions are peeking out a little bit let's also do that to the left page when you are done let's lock all of these elements that we just added to avoid future problems that we may have if we accidentally move or resize them later if you are having a hard time selecting the individual pages you can zoom in if you like since we are creating a spiral notebook we need to add the binders to do that let's add a hole first i'm using this rounded edge square and the width is 51 and the height is 41. as for the field color i am using the gradient option with the start color as this one and the end color as this one you can also play with the angle of the gradient if you like i am adjusting mine to 287 degrees let's duplicate this shape for the hole on the other page let's turn on our guides for the perfect alignment of the holes let's also add the wire part of our binder by using this shape we just need to elongate it a little you can zoom in and out to check if the proportions and placements are good and you can also add shadows to the wire to make it look real and also a highlight if you like if you are satisfied with your set of binders select all the binder elements and group them you can select them by selecting one element first and while holding that element select the other elements this may be difficult but you can do it once they are grouped copy and paste and then reposition the set use the guides to align your elements properly i will come back once i have duplicated enough binders for the whole notebook here i have duplicated enough sets already and the space from the top of the page to the first binder and the space from the last binder to the bottom of the page are a little off so i am going to select all the binder sets and group them together then reposition them accordingly once you are satisfied with the placement you can lock this group of elements again now is the time we'll add the tabs on our notebook [Music] so i created the tabs first then group them and properly position them here on the right side of my page when i am satisfied with their positions already i ungroup them also tap on each tab and select the brush icon and on the arrange tab adjust the arrangement such that the tabs are behind the pages that we created and since i placed my tabs such that they are partially on top of one another i made sure that when rearranging them the tab which is higher in position with respect to the top of the page is higher in terms of arrangement for example the first tab is on the top of the second tab i will add 14 tabs on my notebook and the list is shown on the screen which are 2021 a tab for each month from january to december and an extra tab for extra stuff like stickers which i will create in the future are recipes and other stuff also make sure to add a shadow on each of the tabs and i'm going to use this one i'm going to add a home button also you can find the home button icon that i have used in the shapes menu under symbols i will change its color and i will also add a border on this icon for the tabs you can keep your tabs with only two colors or three if you like but for me i am going to assign a different color in each of the tabs this will be our basic template for our planner which in the following part of this video i will refer to as the title template now that we have created our title template we can now create our first page on our planner duplicate the title template first and you can tap the thumbnail then choose duplicate i want a page where i can write down my name and other info so i'm going to add lines here where i can do that i will also keep the left page to be blank because i plan to add a line drawing or an art in the future when i will be setting up my planner if you like to check the actual planner that we are creating you can tap done and the master slide will close and our presentation slides will open you can tap this plus button in the lower left and select the master slide that we just created and if you want to change the order of your slides you can tap then hold and drag the slide's thumbnail like this and now i will switch to the screen of my ipad to show you the next steps let's go back to the master slide to create more layouts on our title template tap on the thumbnail and tap duplicate the duplicate will be the layout of our first page on our 2021 tab section this means that the tab is on top of the page so let's change the arrangement let's duplicate this again for our first page on our january section the tab for our 2021 will transfer to the left page and the second tab will come on top of the right page when you are done let's duplicate this january template and for the second january template this page will be the layout of the pages in between the first page of the january section and the first page of the february section this means that the january tab will transfer behind the left page but above the 2021 tab we'll repeat this process multiple times until we have transferred all the tabs from the right page to the left page so i will show you the process again for february first duplicate the second january template and make sure to rename it so you won't get confused when we'll have multiple templates available this will be the first page of the february section that means the february tab will be on top of the right page duplicate the february master slide layout and this will again be the pages in between the first page of the february section and the first page of the march section so let's transfer the february tab on the left side under the page but above the january tab so we'll have to repeat the process until the last tab [Music] and while doing the process i realize it needs a lot of transferring the tabs from right to left so i will show you a way which is a little easier we are going to select all the remaining tabs or if you are just starting from transferring the tabs select all the tabs from the right page when all the tabs are selected lift your finger from the screen and the option will appear select copy then tap anywhere in the screen again and tap paste when the option appears now we'll just going to place the duplicated tabs to the left and don't forget to change the arrangement and if you have changed the shadow of the tabs in the right to the shadows of the tabs in the left don't forget that too now just going to duplicate this master slide layout and remove the unnecessary tabs this may be confusing so let me show you right now i am going to make the layout for the second layout template for the month of july on this duplicate this means only the first eight tabs on the left will be needed i am going to delete the unnecessary tabs both from the left and the right side and before i forget we also have to create a template for the in-between pages for our first tab now you can do either of the two processes that i have showed you to create the remaining layout templates [Music] i am back and i'm just finishing the last few master slides when you are done with all the master slides tap done in the upper right corner this will open the presentation i have already added the cover page and the first page on the 2021 section here but now i will show you how to use the custom master slides that we have created all you need to do is tap this plus icon here and choose the layout that you want to add and as i look at my current pages i realize i want to add some sub sections on my 2021 section so i went back to my master slide for my first page template for 2021 section and added these for the circles i will use it as a button where i will link the actual page but hyperlinks are a topic for the later part of the video and i will explain that there but for now just know that i will make this page look like a table of contents for the different sub sections and i'm creating five sub sections but you can make as many sub sections as you like for my first section i will use it as my 2021 in stills where i will add one or two photos that represent what a particular month look like to me second and third will be my future log i want the page to only contain three months so that takes up two slides or four pages fourth section will be my bucket list my life goals my 10 to 15 year plan or something just generally my life dreams and lastly will be my 2021 goals and my little wings this will be where i will write down my goals and aspirations for this year and also i want to write down the things i have achieved this year even the small stuff self appreciation if you will and while we are here i also want to add the monthly calendar for my future logs i'm going to use the procreate app here but you can use the app keynote if you want just tap the plus icon and on the basic option choose text if you are using the procreate app make sure to use a different layer for every calendar of the month so that you can just drag the layer to keynote while you are in split screen like this as i mentioned a while ago i want four pages or two slides for my future logs so i'm going to duplicate my second 2021 template and since the third section will have the similar layout i will make a single layout for them too on my future log i want to have a ruled line where i will write down the important dates so here you can see me create those [Music] once i created this set i just copied it and paste it on every month to make it easier for me also make sure to add the monthly labels on the calendars [Music] [Music] and while we are in the topic of sub sections i will also add buttons on every month so that i can access the subsections my plan is to have a cover page for the month and on the next page after that i want to have a monthly calendar and also i want to have my buttons where i will link the sub sections for that month so here i duplicated my second january template and added circular buttons for each week of the month and two rounded edge rectangles for my habit tracker and my financial tracker and of course you can add as many or as little monthly subsections as you like i did this to all my monthly sections from january to december let's repeat the process on the february section first duplicate the second template for february then add the circles and rectangles and since february has only four weeks if you started your week on a monday and i do so i added four circles and of course the rectangle for the habit and financial [Music] [Music] so let's continue on our others section i also want to add five sub sections in it just like my 2021 section so i will just go back to my 2021 template and copy the circles and lines we created there and here are they i'm just going to change the color of the circles and lines on the sub section i want to have a space where i will be able to store and place stickers and recipes or random lists that i want to add and we are mostly done with the templates so let's go back to the presentation by tapping done we are now finally creating the planner and as you can see here the changes that we have made are already in here such as the calendars in the future log it is time to add the other pages when adding pages keep in mind your sections and sub sections like for the 2021 section we already added the first page of the section the two slides for the future log and now we are adding the page for the 2021 in stills the bucket list section and the yearly goals and little win sub section then for our january we need the first page the page containing the buttons for our sub sections and the other january pages which uses similar templates for the other january pages its number depends on the number of subsections that we are going to have as you remember the subsection for january we need to have one slide for the habit tracker one slide for financial tracker and since january has five weeks if your week starts on a monday so in total for the other january pages is seven let's do that process again for the month of february add the first page for the month of february then our monthly page where our buttons are located then the other february pages which will compose of two trackers and four weeks which is equal to six other february pages if we are going to add multiple slides which uses the same master slide we can add one slide using the plus button then after that you can just tap the thumbnail here and this option will appear and just select duplicate anyway i will be showing on the screen the number of slides that you need to add and also the list the left side is based on the calendar where the week starts on a monday and have only two other sub-sections and on the right will be based on the calendar where the week starts on a sunday and also have two sub-sections [Music] [Music] you can also duplicate multiple slides at the same time by selecting one and while you are still holding the slide tap on the other slide that you want to select then lift your fingers from the screen the option will appear and select duplicate if you want to select more than two slides you need to hold your current selection and while holding that select the other slide then lift your finger from the screen then select duplicate from the option that will appear during the time of this recording and based on personal experience you can only select one slide at a time but if i'm wrong please correct me on the comment section below and kindly share with me and the community on how to do that let's improve and learn together [Music] [Music] [Music] this project is really very time consuming i hope you are fighting through this for our last section since we have five sub sections here we are also going to add five pages and while we are doing this i decided to make some backups for the future so for the first subsection of my other section i will use it to place my monthly others page both from 2021 others pages my monthly others pages and my other sections others page that's little confusing i'm sorry as you can see here i am adding a slide of the others page per month we are finally done with the layout but we are not done yet for our last part we are going to add links on every tab and buttons that we created until now here as you can see i took out my physical notebook and append i will take note of the slide numbers where my tabs will go to if i tap on them for example the first tab i want my first tab to access the first page of my 2021 section which is the slide number two the second tab should access the first page of my january section which is the eighth slide my third tab is linked to my 17 slide and so on if you are following my exact layout from the beginning i will add the slide number guide in the screen for your basis to add the link let's open the master slide option first and then tap the shape and the option will appear and select link then select the option link to slide and select the slide number from the list do this in every tab that we have [Music] [Music] this is the first speech of the 2021 section and let's add links to the circle here and we cannot add a link to a group so let's ungroup them first i'm going to add the link on the circle so tap on the circle then select link and the slide number of the five circles is on the screen right now for the links of the tab for our 2021 others page is the same as mentioned a while ago but nonetheless i will show them on the screen again when that is done let's go to the future log pages my plan for the future log is that i can go to my monthly calendar on the specific month when i tap the name of the month in this page so if you have been following along this slide number for the link per month is on the screen right now and of course do not forget to put a link on each tab and the home button [Music] [Music] [Music] for our monthly section i want the order of the pages start first with the monthly cover page then the monthly calendar where our weekly link and trackers buttons are located then followed by the habit tracker then the financial tracker and then the weekly pages afterwards so on our monthly calendar where our tracker and weekly buttons are located go to it and let's add the links if you have deviated from the tutorial you can again check your presentation to take note of the pages where these subsections are located but if you have been following the tutorial the slide numbers are ago i also need to add the labels for the different tabs but i'm gonna need to finish the links first so while i am doing this i realize adding the link in each tab of each page is really time consuming so i decided to just copy the tabs with the links already added from the previous pages that i created and paste them on the pages with unlinked tabs and also before pasting i deleted the unlinked tabs first then rearrange the copied link tabs to the correct arrangement so yeah just gonna continue this process and i will come back once i am done [Music] and i am done with the tabs and presentation tap this three dot icon here select export then pdf this is the settings for the layout option and when that is set just tap export in wait for it [Music] you can choose the option open in goodnotes if you want but for me i am going to save it first to the files open the goodnotes app then click this plus icon here select the import option then find the file and select it and here it
