let's start using co-pilot in our Outlook to start drafting emails start editing our emails all of artificial intelligence and a lot more with co-pilot integrated into Outlook we can go ahead and start sending emails quickly we can generate summaries of our emails that we've received and a lot more let's jump into today's video so if you're familiar with for playlist here we're diving into all the apps in Microsoft 365 and seeing how we can integrate co-pilot each one today is going to be the Outlook one which is like a mailing system it's like Gmail but Microsoft's version I want to point this out this was pretty impressive compared to what I saw the other ones up to this point this one really feels like you could really expediate time and get more productive in the context of handling emails comparative to how we traditionally used AI in this context that being said make sure to check out my Twitter here it's down the description down below simply click the link let's see how we can leverage Ai and Outlook today now I also want to point out check out that video right there if you don't even have Outlook and co-pilot integrated together or just in general that shows you how to integrate co-pilot into your entire Microsoft 365 family or personal plan but to begin here all we're going to do is hit new mail once we hit new mail here and we've had co-pilot enabled you'll see this little button here as you'll notice the default version or the version we have access to allows us to draft with co-pilot and Coach with co-pilot so we're going to use both of those functions but just to give us a general idea of one of the use cases let's click a email we received on like an onboarding email and simply just summ summarize with copilot so all we need to do is click this button as you see once we click summary it's going to basically take all the content found within the email so if you get in a long email chains or just a really big email you don't want to read as that much we can go ahead and find the highlights here as you see the email is from the Outlook team welcoming you on your new Outlook account they also mention the built in calendar to-do list and so on one thing we can't do or it seems like we can't do is we can actually we can actually Proctor how this summary outputs incur for example if I wanted to add maybe just tell me if this exists in the email that doesn't seem to be possible yet but saying that nice way to summarize let's go into the more powerful features though which is the ability to actually create entire emails and on top of that actually enhance our emails so saying all that we're going to go ahead and just create a new email right now we're going to say draft with co-pilot and let's learn how we're going to go ahead and talk to co-pilot in order to get the best responses so been doing this for a while and I think the best way to always Proctor when talking to language learning models is to give context first so we're going to start off by doing this we're going to say context we are writing an email to about not being able to come in work Friday I want to say let's keep this casual so we're going to set a tone here and make it brief so we can use that kind of terminology but also what i' like to add here is a formatter block so we're going to do format we're going to say Max of four sentences to give it like parameters of like we don't want this thing to print out three paragraphs in this context also there is ability to actually add tone here direct neutral casual form make it a home uh I guess you can send a ha coup medium length so this is like their version of formatting but to be honest with yall it's typically better just to add the dictation in your underlying prompt so it really understands what's happening here we're going to generate and let magic happen all right so here we go we have Dear John I hope this email finds you well I wanted to let you know that unfortunately I won't be able to come to work on Friday I apologize for any incon inconveniences this may call it thank you for understanding so real quick like I don't want to type that out push it out nice we can also add changes here so let's go ahead and say add a reason being I am going out of town to New York so what this does is that if you don't like the output we can go ahead and say regenerate but we're adding this additional layer of information as you see it actually didn't work perfectly we actually need to add additional context here so what I'm going to do is I'm going to rewrite this because it didn't mention New York we're going to say let's keep it casual make it brief and say the reason is I am leaving to New York as you'll notice here in the beginning it feels like a this feels like more time than writing the email itself but I'm going to show you a little trick of what we're going to learn after we've done this process now I also want to point out that notice how it says best Corbin AI That's because my Microsoft profile is called that so whatever your name is up here that's how it's typically going to leave a signature we could actually identify how we want signatures as well but for now as you see we got New York here it has taken into that so I can say keep it there we go so we got a draft email here now I'm actually curious as I don't know if it's able to do this I'm curious if it can actually give me an example subject line as well to do so I'm actually going to start a new email here and see if we can actually Proctor it from the beginning I'm going to say draft the copilot so went ahead and added this additional line here in addition generate an example subject line let's see if it's possible it may not be possible let's see if it can help us here okay so it's not possible but I have a work around here so what I'm going to do is this though I'm going to come up here and I'm going to come up to notes and add a note I'm GNA paste this and what we're going to do is this we understand now we have a structuring so if you you know that every single email that you typically respond with is going to be like max four to six sentences perfect we've already written it out or maybe this is more of what we've deemed as a casual template so this kind of seems the best way to approach this as this is going to be the fastest way so we don't always have to type it out right so we have casual template and we have uh client lead template so we're going to leverage this notes feature I think this is really powerful as let's say for example you know the Casual template is all we need is going to be our initial context here just copy this real quick we're going to need our context here and we're going to just need to put maybe a variable for us to understand a short description and now every time we've realized that hey we got a casual email we can come over here and simply grab this command C okay we got a casual email here come over here draft boom I just's put in the additional information of stuff I've already would have written it's going to be grammatically correct cor and basically we can generate that's cool because think about it now we got a client lead template maybe in the client lead template it's not a short description it's a long description and on top of that maybe we want to respond with eight sentences here and then everything there is typically something standard with every type of lead that we say at the end of the email provide this scheduling link and the new semicolon and then put the link there oh put the link here and then that makes it so that we get a lead email okay perfect command C command V good to go so that's really going to this is why I'm like okay there's value here in the context of productivity as it really integrates AI well where most of the times when writing an email it's just about getting it grammatically correct and getting a message across so that's nice that being said though as we noticed we weren't able to get a subject line but let's go and leverage co-pilot front end so if you're familiar with that tutorial that you saw in the beginning or you've already integrated co-pilot you're familiar with this UI where basically we're talking to it like it's just chat gbt we're going to go ahead and just simply ask can you make a subject line for the body of this email enter and then we can kind of copy and paste from here this is kind of like a fast way to leverage AI in multiple contexts boom there we go got our subject line got our body we're good to go we could send this to John let them know we're going to New York Friday let's learn about its second feature which is coaching I went ahead and just shot something right here and I'm gonna see if it even works I even gave it to a little bit more discretion on filling in for certain variable points so we're just going to do context business proposal to Michael I want to ask for 10% equity in their company and in return I will provide XYZ value you will fill in the best options for this context make it a sentences I have no clue this is going to work but let's just see and what I specifically don't know if it's going to work is whether it can fill in value points for XYZ so let's see okay return I can bring value expertise okay yeah it actually can do that so that's pretty cool it can have discretion with limited information of the best way to approach that here we go so I'm going to hit keep it from here though what we can do is we can use its other feature which is coaching and what this does is that let's say you don't want to use the draft feature but you want to use the coaching feature so you write out an entire email but you're like you know what I need someone to check it but you don't want to pay for grammarly you don't want to pay for these other external Services you can have co-pilot check it and it'll give you suggestions and there you go so one the one suggestion it has for this one is could be more respectful the tone of the email is too direct and insertive which might come across as rude and aggressive to the reader from here we could go with the context of basically drafting again with co-pilot and adjusting for this suggestion if you choose to do so so that just about does it on co-pilot in the context of not paying for the business version which allows us to reference files to but to be honest with y'all I think you're able to basically get the full value out of Outlook using this version because of the fact that a lot of times the context you need to refer to is the email itself so you can just gohe and copy and paste the email that you received for the context right so that's a perfect way just to leverage that and you don't necessarily need to reference files that being said I will make a more advanced version of this tutorial where maybe you're an email chains or in emails that you do need to reference files and there is data you need to find in an Excel sheet in a doc whatever it may be or is it DOC is it called word here I believe it's called word word Google Docs Word Microsoft different
