Gemini AI for Google Workspace [Full Review]

Hey, everyone. Today I'm to go through how to add Gemini to your Google Workspace. And what are the benefits of using Gemini inside Google Workspace or G suite, as some people call it, if you've already got your Google Workspace account or even if you need to create a new Google Workspace account, you can then sign up for Gemini and get the free trial to give it a shot for 14 days. And I'll show you what Gemini is and what it is across the Google workspace. Gemini is the latest name for Google's A.I. system and it incorporates duet and a few other iterations of AI. And within Google Workspace, there's there's kind of a bit of a basic set up at the moment. Roll out, let's say, where there's still lots of opportunity, I think, for it to be even more powerful inside the system. But it's kind of like they're kind of, I think, dipping their toes in and trying to sort of differentiate Google Workspace or at least keep it up in the ballpark of what Microsoft is doing. I don't think it's as good as Microsoft, but maybe down the line, if Google keeps iterating it, it can get better. But I'm using Google Workspace, so I'm kind of stuck with what the AI system is for them, although I still use chatbots as well. So what you can do, there's functionality inside Google Docs like this, there's there's writing coach templates. You can easily create a reply to emails like this in Gmail, there's the opportunity to add in or stimulate or prompt for images inside slides and throw in some images. And there's also some very easy to use background generator for Google Meet as well, which you could. I think it's sort of overrated. I think a lot of these features are pretty basic, but altogether if you're in Google Workspace, then it can be quite useful to have some of these. I think my favorite at the moment is being able to just generate replies to emails and then edit the reply. It's much faster and easier than writing something from scratch. So this is this is Gemini inside Google Workspace. I'll give you some later on in the video. I'll show you some specific examples rather than just like a highlight like this. But let's start by adding in Gemini to your Google workspace. So we start by going into your admin. If you click up here, most pages inside Google, you can get to all the different apps. And so we want to go down to admin and we click on an open admin and then we're going to go through and click on billing and we want to go to get more services. And then from this screen we can see the different levels minor in Hong Kong dollars. So that's why it looks a bit extreme in terms of the numbers. It's about 7.8 HKD for 1 USD. But I can show you on the Gemini page you're looking at a cost of Gemini business, which is the the cheapest option at the moment. You'd be paying $20 a month or $24 if billed monthly or for enterprise, which seems at the moment to just have the additional translation element $36 per month if paid monthly or $30 a month. So that's the Gemini pricing. Once you're into admin, you don't want to change any of these at the moment. The best way to add in Gemini is to click on Gemini for Google Workspace and then you'll be able to click the add on here and purchase this. I'm going to be charged this amount, which is, you know, roughly 20 USD per month once it turns on, which I think actually now that I look at it, I think it's about 20 USD without a 30% discount. And I think that exists for a few months. And this starts after 14 days and I'm about halfway through this trial at the moment. So that's that's how to set it up, turn it on. It usually it activates within a couple of minutes. Once you've upgraded your account in Google Workspace and you can decide to upgrade one user or you can add everyone on your account to have the access to Gemini as well. So that's that side of things. Next, I'm going to go through some examples and real life examples of using the software with Gemini, using Google Workspace with Gemini, including docs, sheets, slides and Gmail. So now let's go and have a look at real life examples. In the Google workspace. Gemini exists in a few places at the moment, I assume, and hope that they're going to roll it out across many other areas. Many others offer many other features because at the moment it still really feels like a minimum viable product just to test it out kind of in a safe style. So I mean, I'm hoping that they'll be able to integrate the different software a bit more together, different apps a bit more together, and also have some kind of control from a drive perspective using A.I.. But this at the moment is just sort of a basic implementation, I think, from Google. But I'll show you, we've got docs, Gmail, slides, meeting mates, you know, meet or whatever, and and Google sheets as well. And of course you've also got Gemini platform as well, you know, so we can prompt the Gemini like chat app. Let's have a look at meet Google meet so we can the benefit of meets. I mean the feature that they've got all these backgrounds so many different backgrounds that you start with and you can select from and basically I mean there's a heap here already and I'm not sure the benefit of this feature, but you can generate your own backgrounds with AI. So if this isn't enough for you and you know, you can find what you're looking for here, you can generate backgrounds. I mean, I would say Google Mate should have, you know, automatic A.I. trends transcribing as default as summarizing meetings that you have with Google Meet would be a great application for A.I.. But at the moment we're just looking at this kind of feature. So, you know, Santa Claus and Elves, and then we can generate a background that we're looking for. Okay, pretty average as well. Okay, let's try another one. Okay. I see. Okay. I would say very strange. We're looking at I think we're looking at a combination of AI to generate an image. And then it's also telling it to apply it to a wallpaper or a background in some fashion like this. look at this guy. Cool. So let's Google meet and then we've got Google slides. And similarly, it's pretty lame integration at this point. The AI can only be used to generate images within by using Gemini. So and we can throw it straight in. So like for example, if we wanted to have a wizard working on a computer and then we can make it sort of illustration, let's do vector art. Cool. So we've got a few options here and then you can see it just drops it in like that. Let's say on a white background. Okay. And so we almost have a white background, but it's not, not quite. And then so what we would like to do then I think would be to remove the background. Yes. This is not an AI feature, as far as I know. Cool. So now we can remove this guy and then we've got this guy up here and then we can throw in this text that easy. So somewhat useful, but still a lot more benefit could be to help generate awesome slides. We got Google sheets, so this is pretty good. This is getting better. The we can start by creating a custom template or customize a template. So let's say we wanted to have like a project management plan for an upcoming networking event and then we end up with this. That's pretty good. Took about 20 seconds to generate, but I fast forwarded it. Yeah, we got to insert that. And so we have everything sort of really great starting point here with dropdowns status. It's very good to start with another feature of Gemini inside Google sheets is this enhanced smart file. And this is supposed to work like this. This is an example they give. They've added in the dates and the reviews that they've received for their restaurant. And then we've got a rating. And then as they add more ratings in the I suggest the last nine rows based on the sentiment mentioned in the review. Then we have Google Docs and Google Docs is probably the most fully formed app in Google Workspace. So if we do some tests, let's let me refresh this for a second. So when we open up Google Docs with the API with Gemini installed, we can see we start with these points here. We can start with a prompt here and we can say meeting template or meeting with an external PR agency. Okay. And then we've got this here titled date. Okay, pretty generic template. The other thing we can do is we can summarize content as well. So if we've got let's say you've got a lot of content, like I'm just going to copy this like this and you've got content in your Google doc, you can highlight the text and then this little button here, we can then change the tone, make it formal and more casual, summarize it, bulletins, elaborate, shorten, rephrase and make our own and use it to summarize like this. The only weird thing is it drops it in straight into wherever the cursor is, so it can be a little bit confusing sometimes. Let's have a look in Google sheets. Gemini's might smart filled tasks and now quite light incomplete columns. No more. Whoa predicts values to flow data entry becomes a delight, so this can be quite useful in terms of using AI inside Google Docs and saving time. Then the last area I want to show you is probably my favorite area, and this is within Gmail, so we spend a lot of time inside our emails every day and a lot of time we're writing emails or formatting emails in a way to be polite, to be friendly, and to include all the things you need. You should include an email to avoid sounding rude or gruff for insensitive or something like that. So we all want to do that. But it does take a lot of time and allows us to quickly format or create reply emails as well as creating new emails as well. So I really like it for the reply emails, but you could use it for anything, anything you like, just like having chatty pretty or Gemini within Gmail inside. So let's say we've got this email here that I've received and it's about an app that they've just released in there. They have a bit of feedback about some issues that they've got and I want to tell them that I have some ideas for something they could do to improve the app. Gmail automatically offers in the default in everyone's account, the ability to select some automatic replies. But if I click reply and with Gemini installed, you can ignore this. This is a HubSpot integration, so you can ignore that that you may not see that on this. Your is in the HubSpot extension, but down here we've got the Gemini integration and we can say help me write a reply and suggest an idea for allowing users to add blurring in the video software. And then we can see that Gemini suggests the full email. So we have. Hi, thanks for the update and glad to hear that the bug is fixed so it's responding to that email. The content in that email is only if you could add a feature to the software that will allow us to add blurring to videos. That would be great to add privacy to videos or to create a more professional. Thanks for your time and consideration bacitracin. And then it's ready. Pretty much ready to go. You click insert. You can make changes if you want to and then you can literally just click send and then the emails all set to go and you can do the same if you're creating a new email as well. So you can, you can basically start with email. John, who is just about to finish his course and will become a new head of sales. The company so we can see it hit. Congratulations. Which was very nice. Okay, cool. So we can we can also adjust this. We can make it formalize it more elaborate shorten And we can also recreate it as well if we're not happy with quite how it sounds. So let's elaborate on that. Okay, Let's formalize code now. We can edit in. So that's it. That's the summary as best I can of the features at the moment. As I said, still limited, but I think for me it's worth $20 a month just to be able to automatically write my replies and save me time inside my email. And I think some of the other features will still be good as well. I've tried the docs feature quite a bit Gemini in docs and I've compared it to Gemini itself and the Gemini in docs is not as smart, not as good. Doesn't summarize in a in a human like way, but instead, you know, like an old fashioned computer kind of way. So it doesn't really quite give the feeling that it's quite there yet although Gemini itself does. If you use Gemini, the Gemini app here. So it may be a different version or it may be some other limitation, but I find sometimes I just copy it from Google Docs pasted in the Gemini app and then it saves it creates better content for me. And so so again, not quite there. The whole point of this is that Gemini should be integrated inside Google Docs and if I'm going to copy and paste it somewhere else, I can paste it in ChatGPT or anywhere else. So it doesn't really save any time. So they need to probably fix that. They need to roll out additional features inside each of these tools and inside drive itself. And I hope they hope they'll do that soon. It'd be great to test that out. I'm really hoping by supporting this that there'll be additional features coming in and and can compete with Microsoft and Office and ChatGPT and Microsoft's AI.
