after being an attendee on so many zoom calls it may be time to host your own online gathering being the one in the spotlight on zoom is a very different experience in being a participant and it takes some preparation for you to get the results you want how should you prepare for it how can you engage your attendees what steps can you take to make sure your guests have a great experience that's what i'll be talking about today how to host a really valuable virtual event thank you so much for watching this video i'm cheryl tan the founder of master video today a community that offers training experience is to figure out your goals for your event is it a webinar designed to get strangers to sign up to work with you is it a conference of paying attendees and you're just trying to teach them something while trying to keep them engaged is it simply a virtual party to create connection or is it a q a type call where your students or clients have the chance to ask you questions live is it a virtual panel discussion no matter what type of online gathering you're planning figure out what the goal is first because then you'll be more prepared to meet your audience's expectations step two in this process is to always have an agenda by that i mean a list of things you'll be talking about people who will be speaking polls you will create breakout sessions you will conduct in order you can call it a rundown of events you can put your rundown in the notes app of your phone or write it down on a piece of paper i don't wing events even if they're just hour-long q a sessions i always have a plan for a live call it's because i've learned the hard way what happens when you aren't sure what you will say or where you will go i map out an opening monologue usually in bullet points and then i know what i want to start out the meeting with every single time i also share the rundown with guests so they know what to expect if it's a three-hour zoom call i let them know what happens in the very beginning and if it's appropriate like a three-day virtual conference you can give them the agenda a few days in advance and if you expect them to keep their cameras turned on during the entire call let them know that ahead of time as well they would appreciate it a side note on this i know many people do q a calls myself included i let my community know that i want questions submitted ahead of time so i can create a thorough answer but let's say you have a number of people on the call and still there's silence no questions nothing have a bank of questions ready that you can answer so if one doesn't come up live you have something you can share that will provide value and the questions should come in after that next create some anticipation for your event people are signing up for zoom calls left and right so be really clear about the benefit they will receive if they attend your event will they learn something special will they get a certification a chance to meet other like-minded people or a chance to get their questions answered live and give them reminders through email direct message on facebook or linkedin and in some cases text to encourage them to show up live the next step figure out the tech issues beforehand when i first started using zoom it took me embarrassingly long to figure out how to share a powerpoint and i did this during a live webinar it was pretty rough for you do this in a practice session alone or with your team figure out the important tech pieces how to spotlight people who are talking how to show guests how to raise their hand in the chat how to use the breakout rooms make sure you know how to set up your microphone so your audience can hear you clearly how to record the presentation and of course how to share your screen to show a video or a powerpoint presentation if you're not sure how to do these things and if you'd like me to create a separate video addressing these topics please let me know in the comments just say zoom in the comments below and i'll know what you mean this leads me to the next step create engagement opportunities for your audience zoom calls can be so exhausting not only for the host but for the attendees make sure in your agenda you give them time to ask questions or respond to a poll or just talk with you or each other i talk more about boosting video engagement in this video and it can give you other ways to create engagement with your viewers the breakout feature has been a really really successful option during zoom calls it lets you break up your larger group into smaller groups so people within those smaller groups have the chance to interact with each other get to know each other it's a great way to let your attendees meet each other and create a real connection the next point is to send out surveys getting feedback is critical to the development of your online programs the surveys can be simple ones you create with a google doc they can also be questions you ask your guests to answer by replying to an email you sent survey questions can be a mix of really general and really specific for example what did you like the most out of this event and put that together with a question like how valuable were the breakout sessions rank them on a scale from 1 to 10. altogether the answers will give you a better idea of what to keep and what to do away with before your next live event and the most important thing is really to get started record your calls even if you're not giving the replays out record them for yourself and watch yourself handle the
