Calendly tutorial (free tool) for easy appointment scheduling

hi I'm Christy Bilbrey I'm a marketing and story strategist and today I wanted to talk to you about a tool that I use that has saved me a ton of time and made it so much easier and faster to connect with a ton of people this is called calendly it's a web-based app calendly dot-com and this is a great tool so basically you go on here and you create an account I'm gonna walk you through what you get with a free account and it allows you to send somebody a link and that shows them the availability that you have specified for whatever type of call it is I scheduled a lot of virtual coffee chats so either a quick 15 minute catch up with someone I haven't talked to you for a while or it could be someone I haven't met and again just a quick get to know you chat and so I use this so that I can avoid just like you see on the screen here all of the back-and-forth emails that you typically have to send when you are scheduling an appointment a call with someone to find out oh does this time work no does this time work no you just send them a link so that they can see your availability they click the time and date that they want and then it is emailed to both of you it is so simple easy and precise so I'm going to go ahead and walk you through right now how to set that up so when you first go to calendly comm this is the screen that you see and then when you send someone the link this is what they will see so they open up the link they're gonna see your availability and you can see that I only have availability on Wednesdays through Fridays because those are the only days that I want to set up these types of calls so they won't even see Monday and Tuesday as an option so if we go to Thursday the 22nd then they can see the time I have available to talk with someone and they can click on one and then they would just click confirm and it would you know they fill out their first name last name email address phone number and then I ask them if they want a video call or a phone call you can set that up I'm going to show you I'm going to walk you through how you set that up and then you would just they would click scheduled event and it would automatically populate on your calendar it would send you an email and it would send them an email the other great thing is that it's automatically in each person's time zone it can auto detect your local time zone so if you're scheduling calls or meetings with someone in a different time zone you don't have to guess oh I think it's this time for them but this time for me each person who goes in will see it in their local time so that is another huge benefit ok so let's go inside and let's go to event types and let's edit this so with the free membership you can only have one event type live at a time for the paid there's two paid versions one that's $8 a month one that's twelve and those allow you to have multiple time event types which are different lengths of time to schedule for you can have multiple live at once I do a ton of these 15-minute meetings right now so I'm fine only having that live but if we go into edit that and when you go in to initially set it up you will click on an event type you will go in and that's where you can name the meeting I've just named it 15-minute meeting and then you can add a little message that you want each person to see and then you can even customize the link so mine I just have 15-minute makes sense to me save and close and then you can go to the next you can customize each of these so when can people book this event so I have it so that people can see up to 30 days of my calendar now they don't actually see my calendar with the events but they see availability for the next 30 days you can limit that to a week you can make that 60 days whatever you want you can edit it right there and then just click apply so next it's your time zone which I've already set and you can set that and then you go down to availability and so that is where as you can see I don't have availability showing any time on Monday or Tuesday and I can go in here and I can change this availability to any time that I want I can apply it to one day only or all Wednesdays so that's great so you can think about how long do you want to be available for those types of calls and on which days and then the person scheduling will only see your availability within those windows and so then you would save and close that portion and then you can add questions that you want the invitee to fill out and you can specify if they're required with an asterisk or not so first name last name email address phone number you can write a little message I want to know if they want a video call or a phone call and you know you can go in here make updates you can add a new question you can say is it a one line question multiple lines radio button you can completely specify what type of question and then you name it you apply it and you use these arrows for wherever you want it displayed on on the form and then you save and close that and then the notifications so I have that the invitee will receive a reminder before the scheduled date at the specified time and so even with the free free membership you have that available to you let's see custom links that requires you to have a paid account if you want to have additional links in there and also if you want to collect payment that is something that requires a paid account if you want to collect payment through calendly so that's it then you have set up your times and your questions and then you all you have to do is send out the link and then remember people are going to just see your availability click on the date they want select the time they want confirm fill out the questions and that's it and then there's no more confusion over oh I thought we scheduled this day oh I thought it was this time for you it you guys both receive an automated email with all the details and you don't have to do any
