[Music] hello everyone welcome to productivity central today i'm really excited as we will be building this beautiful app with powerapps and with excel as as the end this is a beautiful inventory management app and this app allows your organization to track and manage your company assets in a very efficient way i have provided the time stamps in the description for you to navigate easily so please feel free to navigate accordingly this video is divided into two sections in the first section i will be giving you a demo on how this app works and in the second section we will be building the app from the scratch so let's start the demo with this inventory management app we can add assets we can delete assets we can edit the assets as well uh over here we have two tiles that i've created so when you click on view all items it will give us a beautiful layout of all the history of all our uh inventory so if you click on over here it will give us whom this asset is assigned to and what exactly is the category of this asset and what is the cost of this asset you can delete this entry you can even edit this entry and when we go back the beauty about this app is you can even search for your items so let's say you have a history of assets of like let's say 100 assets in your organization uh you can just type in the name or the code and you can search it from over here if you have added any new assets to the inventory you can just refresh this page and it's gonna extract all the data from excel and if you click on the plus sign over here are let's say you have a field technician in your organization and they can enter all this information right within this mobile app and this information will be in the excel database and the next one over here is the view dashboard when we click on it we have two beautiful dashboards which are really really helpful for managers uh to have a quick uh look out for information the first dashboard is for the current inventory like how many do we have in storage and how many do we have missing and how many we have decommissioned so the second dashboard over here is the cost per model number these are all the model numbers that have been deployed in the organization let's say you have dell xps you have hp monitor uh you have and this is the cost per the model number so we have uh ten thousand dollars that we have spent on the dell xps compared to an hp keyboard or an hp mouse or an hp monitor uh so this is this information is really helpful um in determining how much do we need to spend every year or every quarter i will be guiding you on how to build this beautiful app with powerapps step-by-step instructions and if you have any questions please do comment in the comment section and i would uh i would be glad to instant notifications whenever i post a new video um all right let's get started let's start building the app the first step is to prepare your data and organize in a specific format i have the sample data over here with me the first step that i'm gonna do is i'm gonna organize this data so i have these dates over here what i'm gonna do is i'm gonna make sure uh it is categorized as long date and same over here apart from that over here on the right hand side under the cost i'm gonna categorize this as currency all right perfect now our data is organized now what we need to do is we need to create a table so just click on the first cell over here and drag your cursor and now go to your insert tab and click on table just make sure my table has header option is already selected click on ok and name your table over here as data all right perfect so our table is ready and now what we need to do is so we need to go to the step two and we will be connecting this data to our powerapp in the next step the first thing that i'm gonna do is i'm gonna upload our excel document uh to the onedrive here comes the exciting stuff so let's uh create the powerapp uh on the home page of powerapp on the left hand side click on create and once you do that click on excel online now uh in your onedrive for business just uh search for your folder and once your folder is there just select it and select your excel file over here this is the table that we created please select that and on the bottom over here click on connect so powerapps has already created some of the app for us we will be customizing it according to our needs and we will be including new stuff inside this so now uh on the top right hand corner if you click on play so this is how it will look right now when you click on this option over here it will give us what exactly is the data and we can even add a new item we can add a new inventory item over here and we can customize all these options so we will be doing that step by step uh so over here on the left hand side you will see uh there is a browse screen this is the screen number one and then you have the detail screen and then you have the edit screen so as of right now we have three screens so what we will be doing is we will be adding two more screens one would be our home screen and the other one would be our dashboard screen so let's customize our first screen over here under the gallery this is the entire gallery over here and if you look on the right hand side these are the fields which are selected automatically we can change these fields according to our needs so as of right now it is title subtitle and body is selected so what we're gonna do is we're gonna change this title we're gonna change this to uh location or even model number let's let's put the model number so under the subtitle category name is fine and under the body one let's change from comments to location all right so now uh we have customized our uh screen number one over here uh what we're gonna do is we're gonna name these uh screens uh as screen one screen two screen three so we will be having let's rename this one and we're gonna rename it to screen one so let's uh rename this one over here and we're gonna rename this to screen two and we're gonna rename the third one as well we're gonna rename it to screen three so we have customized our first screen screen number one all right so now let's start customizing screen number two this is uh over here when you click on the detail form we can even edit the fields we can even add the fields that we we want so let's say over here we don't see the model number we can add the model number we can add the status of it as well and this will change and we can even organize these options we can move it up we can move it down so let's say you want to move the model number up so just hold it and drag it to the top that's it all right so now we have customized our screen number one and screen number two now what we will be doing is we will be adding a home page and to add a home page we just need to uh click on new screen over here on the top left hand side once you click on new screen click on blank and let's rename this to home and what we're gonna do is we're gonna move this screen to the top so click on these three dots and click on move up all right let's start customizing our home screen over here the first thing that we're gonna do is we're gonna add an image over here so when we click on this over here on the left hand side this is the option for media and over here you can add all your images once you click on upload just select the one that the image that you need to add and click on open and it will be available over here for you to use on in your power app just click on this click on the image and now we are going to resize it over here on the top all right so now we have resized this all right the next thing that we're going to do is we're going to bring in a label over here and a logo so for that we just click on this this option over here which which says tree view and over here click on insert and we are going to insert a label over here so just drag this label over here on the in the middle and we are going to name this so on the on the right hand side under the text we can change the name of this we're going to name it inventory management we're going to change the font size from 21 to 45 and the font we want to change it to latter black and now we're going to resize this and we're also going to have it centered in the middle all right that's good so now our title is there um in the app now what we're gonna do is we're gonna bring in our logo so uh as you would be working for a company you can add your company logo over here and uh so for that we're gonna do the same process again we're gonna go to media and we're gonna click on upload and now we're gonna bring in our logo all right so our logo is over here so now we're gonna resize it all right perfect so our title is here our logo is here now what we're going to do is we're going to create two tiles so we're going to click on rectangle over here and let's bring this over here on the bottom let's resize it and now we're going to change the color of this one from blue we're going to change it to light gray so you can play with the colors as you like and now the other thing that we're going to do is we're going to change the border color from this blue color we're going to change it to this purple color and what we're gonna do is we're gonna increase the border size from zero to five all right perfect that's good so now we're gonna just copy it so just click on it and do a ctrl c and now we're gonna paste this inside our app so that we have two tiles all right perfect so now what we're gonna do is we're gonna insert a button and a symbol so first let's insert the button let's bring it inside this box now we're gonna rename this button we're gonna rename it as view all items so now what we're gonna do is we're gonna change the font color from white to black and the other thing that we're gonna do is we're gonna change this uh blue color and we're gonna change this to white so now let's make uh another copy of this so click on it and do a control c and select this box and do a control v all right so let's rename this and we're going to rename this as view dashboard all right so we have customized our button so what we are going to do next we are going to bring in uh the icon so just click on icons and we're gonna select an icon which is for all items yeah that's perfect we're gonna bring this icon over here in the middle and let's change its color to black as well just click on on this color option over here on the right hand side and just click on black all right that's good and now for the dashboard we're gonna bring in another icon so just click on icons and we're gonna select this option over here so let's bring this icon over here in the middle and same thing we're gonna do we're gonna change the color to black if you like the video so far please don't forget to click on the subscribe and don't forget to like the video alright so now we have created our home screen we have our image we have our logo we have our title and we have our two tiles now what we are going to do is we are going to connect this home page to the other screens over here so view all items this specific button right now if you look over here on the top on select it is doing nothing so what we're going to do is we're going to navigate this option so when you type n just select navigate and over here what we're going to do is we're going to select screen number one so just type screen one and comma and none so this is the command all right so now when we play this so uh when we click on view all items this will go to our screen number one that's perfect that's what we want so now if we go back to our home screen so now let's create a new screen for our dashboard so i'm going to minimize this menu so that it it looks clean so now let's create a new screen and we're gonna do it uh in the same way we're gonna select a blank screen and let's rename this as dashboard all right so the first thing that we're gonna do is we're gonna design this so uh over here we're gonna we're gonna create a title and over here we're gonna have two charts so you can even uh select uh we're gonna bring in a button so just click on this and just resize this all right and just change the name from button to dashboard and that's perfect and now let's change this color from blue to purple all right once we have created our header over here now what we're gonna do is we're gonna bring in the chart so on the top just click on charts and click on column chart now we're going to resize our chart and now we're going to re remove all the unnecessary buttons that we don't need so i'm gonna select click on this and click on delete on my keyboard and we're gonna keep the chart title over here and now as you can see this data is connected to a different column chart sample over here on the top so we're gonna change this so for that just select this chart and over here click on advanced and under the items just change this item to our table that we created so which was data in our example so just select data so you see now it has already changed and over here under the labels just click on let's select uh we want to see the status as to how many do we have in storage and uh which items uh what what is the status of those so over here let's select quantity so perfect this is uh this is what we need so in storage we have five of them available and we have deployed three of them we have two missing so it gives us the exact um data in a dashboard so under the chart title what we're gonna do is we're gonna change this name and we're gonna change this to current inventory all right and now what we're gonna do is we're gonna increase uh the font size of this from 14 let's increase that 220 all right perfect so we have created one uh one dashboard so now let's create another dashboard that would be for our cost uh per our models so for that we're just gonna click on column chart again and we're gonna bring in this and let's resize this over here all right we're gonna do the same thing we're gonna remove the all the unnecessary options that we don't need and we're gonna and we're gonna just click on delete all right so now we're gonna change the data uh we're gonna connect it to our data so just go to advanced and under the data option under items just change this to our table which is data and now under the labels we're gonna select the model number and under the series one we're gonna select the cost perfect so now let's change the title over here as well so click on this chart title and go to properties and just change the chart title to cost per model number all right and we're going to change the font size to 20. and we're gonna resize this a bit all right perfect so now uh you can see in this uh second dashboard we have all our model numbers dell xps we have the monitors as well and this is the cost associated with them and as you can see dell xps we have many quantities and it costed us ten thousand dollars uh so this is in this way uh we can keep a track of the inventory uh over here in the first chart and in the second chart we can keep track of the cost and this is helpful for every organization uh in keeping track of the cost as well as the inventor all right so now what we're going to do is we're going to um add a back button over here so that whenever we click on it we go to the home menu so for that we are going to click on icons and we're gonna find a back a left icon over here all right now we're gonna change the color of this one to white and let's resize this properly so now what we're going to do is we're going to navigate this right now on select it is not doing anything so we want to change this and we're going to do the same thing as we did earlier so we're gonna click on navigate and then we're gonna select the home screen and then perfect all right so now we have created our dashboard screen and we have created our back button so now let's test it and let's preview the app so this is our dashboard screen when we click on back it goes to our home screen that's perfect now what we're going to do is we're going to change the navigation of this view dashboard and we're gonna connect this to our dashboard all right so i have clicked on over here and i have pasted this command so navigate dashboard comma none so now this is gonna navigate to the this specific screen which we have named as dashboard all right so now what we're gonna do is we're gonna add a back button over here on the screen number one as well so we're gonna add so let's move this to the side and let's click on icon in the same way and let's find the left button over here so let's bring it over here and let's resize it and let's change the color from black let's change it to white we're gonna change this let's type in navigate we're gonna navigate it to the home screen and then just type in none close brackets all right perfect all right so our uh beautiful app is ready so now if you preview the app if you click on preview you will see the home screen and over here when we click on view all items it will give us a beautiful layout of all the history of all our inventory so if you click on over here it will give us whom this asset is assigned to and what exactly is the category of this asset and what is the cost of this asset you can delete this entry you can even edit this entry and when we go back and if you click on the plus sign over here are let's say you have a field technician in your organization and they can enter all this information right within this mobile app and this information will be in the excel uh database and when you click on the back when you click on back over here we have our beautiful dashboard when we click on view dashboard this is the dashboard we have created our simple and minimalistic dashboard and this is this gives us the
