looking forward to it - it seems like it's gonna be really fun alright let me make sure and turn off all extraneous services running on my computer one drives and everything else I like the pause syncing feature yeah she's helpful for a bandwidth yeah okay yeah um cool that's good to hear Susan all right let's see I tweeted this out just gets us our little pre-show we got a few minutes and we make sure and get the actual link to the thing that we're talking about pull that up alright seems good yeah you all voted on this so I sent out that email yesterday with all the voting and I writ was originally gonna be just a bunch of team stuff but I you all didn't that crisis communication app came out and so I threw that in and then of course that was the thing that won the vote because it's uh it's very timely it's been impertinent especially if you have a larger company where you trying to deal with this on a grander scale so [Music] yeah that's true Brad I'm not sure this whole I have several conferences coming up and I haven't none of them have gotten canceled so far so we'll see just keeping an eye on it and so we got about six minutes so when I sent out the when I sent out the email yesterday with the voting in it I also put a link to this crisis communication app did anybody already trying it out and install it and poke around in there and yeah that's a good idea Susan just for the company to cancel travel so hmm yeah I guess it didn't really occur to me companies canceling their employees traveling to conferences it really occurred to me about the conference's canceling but yeah I guess if all the people that are employees at companies that are telling them to stop traveling they all start canceling their conferences then that would be a reason for the conference just to have to cancel so that's all just cascading isn't it yeah it's kind of bummer huh oh you're a Ryan says that your team is using it did you so you just started using it like this week well it just came out but it began Laurie Cowan is my friend here in Birmingham she works at Microsoft and she was a big part of getting she you know helped work on getting it all out there and getting it together and rolling it out and I'm not sure exactly what her role was but she she showed me a bunch of the cool stuff in there yesterday and so I installed everything and tested it out a little bit so let's see Joelle did I give you access to the admin in there the admin app let me you make sure put you in there as you don't have to get you don't have to make people an admin of the app because you're really a end-user but you're it's an ad the app is called the admin app anyway I just shared it with you so maybe Joelle while we're just kind of talking about stuff you could go into the admin app you should have just got an email about it and add just I added a couple of pieces in news just like random you know news and links and FAQ and stuff so you just add just one or two more things in there on different screens cool I'm just so it'll have like more stuff in it oh yeah Laurie mentioned it during chodz NetCast I was wondering I was pondering that in the back of my head since Todd just had his net cast if he was gonna be talking about this too so yeah um a couple more minutes till we get started Oh brad says work at a hospital told you can't travel I can imagine that a lot of travel that has to do with just having meetings would be canceled because you can just have virtual meetings so how important is it that you be in person for you know in a lot of situations so like I mean most of what Joel and I do I'd say 99% of what we do is remote so and that's we've been working like that for years just all our virtual meetings so companies that work in person now are kind of getting a taste of gonna be starting working Warren team so which is why Microsoft is doing this big push to kind of get I guess awareness of teams and how it can be used for all these virtual meetings that you need to have right didn't didn't they say teams is free for a little while Joelle did you see that yeah I did see that so teams is free I wonder how teams is free if I know there's like I noticed that there's like kind of like a team's has its own license like if you like you can it's like a either a cheap very cheap license or something but sometimes I've seen that in like the admin Center before where people just have that one like how would users last minute kids oh yeah I guess it'd be they all be guests maybe they're just already yeah I'm not sure exactly how they're yeah maybe it's guess maybe that's why what they're doing well it's just for some really bad huh yeah I don't know how that works all right all right I was looking to see if anybody else is sending in requests to join for the first time but it looks like we've got our good or our usual core group of people in here 20 I'm looking at the number of live viewers 27 so far so doubt to get started oh he says windows accounts so yeah that makes sense they're just Windows Live accounts that's the other way that you can use things like flow yeah it's just my dedicated with Windows so yep oh he said free teams looks like it's using outlook.com assets see alrighty I it's almost time to get started but yeah okay I'll go ahead and do my stinger [Music] hello everyone and welcome to SharePoint power hour this is our weekly show we do Wednesdays at 11:00 central I'm Laura Rogers and on audio I have Joelle say hi hello and today's topic you all voted I send out a newsletter before Power Hour the day before power hour every week and you all voted to talk about the topic of this Microsoft's new crisis communication app so this has just come out this week because of the coronavirus and a lot of people you know moving to work at home and a lot of big companies now just needing to have sort of a way to communicate company information about what's going on with the virus and also keep track of who's working in a home and who's not kind of where people are especially if you're a bigger company where you have hundreds of employees so this crisis communication app is awesome so this Power Hour is going to be all about digging through there and just kind of going through the steps to install it and then once we go through all the steps to install it there if we have time it's a lot but if we have time we can go through just a couple of the little cool things that are in there in the power app so even if you're not going to be using this communication on this crisis communication app in your company I highly recommend downloading it and trying it out and dissecting it and see what's in those apps because those apps have a lot of like gold as far as cool components and functionality and ideas just just like all the Microsoft templates do so that was my my favorite parts about all of this so before I get started just a couple of quick announcements I've got we've got the power platform virtual conferences coming up and it is online on March 20th and again virtual conference all power platforms so I'm put a link to my speaking engagements page in the power in the chat here and then so it's going to have links to all those in it and so it's my session is about power automate and then SharePoint fest is in DC April 13th through 17th I'll be speaking there Microsoft business applications summit I'll be speaking at that that's in Dallas may 6th or 7th and then the SharePoint conference is in Las Vegas May 19th through 21st and then there's tech 2020 Tec Spence stands for the experts conference in Atlanta November 17th through 18 that's a while from now but so you know none of these conferences have been cancelled speaking of the Coronis fire coronavirus but of course the power platform virtual conference it's virtual so it doesn't matter right you all be there and it's free all right so those were my little quickie announcements for just upcoming events and I'll go ahead and let's start talking about this crisis communication at all right let me share my desktop and oh by the way if you this is your first time joining Power Hour we have our lively chat discussion just good times throughout every Power Hour and answer questions and things like that so that that's what makes it fun being a live show ok here is my desktop and the first thing I did was I went to the so the link that I sent you are the link below this Power Hour or in the description of the Power ever wherever you are I put a link this is Microsoft's blog post about the crisis about this app and the just got some blurs some information about it but the meat of it is when you click to go get the full instructions so this is what we're going through these steps is really what we're going through with and I'm going to explain all of it as we go and I've already done it it is a little bit time-consuming so I have already done this entire set of steps and it some of it is kind of complicated and little weird nuances so but it's it's pretty cool so before I go through all the steps of setting it up I'll just show you kind of what the end result is and do a little quick demo so I've got my go to my power apps tab I've got my crisis let's go to the actual crisis communication app and see what it looks like to an end user it gives you two apps so there's the em user app crisis communication and then there's the admin app which is where you can set up some settings and things as far as just app settings so they just gave you a whole separate app for that all right so here is the first thing that users are presented with is the ability to share their status so the first thing I can just pick whether I'm working at home or out of office and then I can say I'm out of office on this date and then I would submit it and that is going to actually put it in a it's putting it a lot of this it's putting a lot of this in SharePoint behind the scenes so then it's going to take me to skip that I don't want to do that and then I'm going to go back to the home screen so then another thing that I can do is I can make a request was just a simple little form to ask a question and making a request and then I'm just going through just real quick some of the basic things that end-users can do here and then I've got emergency contacts we put a bunch of just fake phone numbers in here company news which is a little sort of a newsfeed of company news that your company would be writing in here to show all the employees for them to read about world news this is cool this is an RSS feed so this is a live RSS feed of the world news about coronavirus and that is a connector in the app and then we've got some helpful tips so handshaking don't do it that was my first tip and then so yeah handshaking large crowds don't even wash your hands stuff like that and then some links so I put a link to the Sikh map which i think is really cool this is very cool sort of bi intelligence type stuff so this is the live Sikh map that is out there just on the web that you know I kind of check it you know every couple of days see I'm in Alabama we don't have any in Alabama yet so that's the link to the Sikh map so you can post whatever links that you want for your employees to see and then frequently asked questions what if I want to travel and so I just added one to there alright so that is what it looks like for end users and then we've got the admin app which is where you're going to do just some setup type of stuff so nothing it's is this is all based on SharePoint lists SharePoint lists are behind the scenes storing most of this data but there's no you're not going to SharePoint to do any of this so even though this is just writing to a SharePoint list you're not going to the SharePoint site to fill out any of these forms it's all just you know power apps as a front-end like I always talked about so this is where you say who's the admin email logo URL the name of your Roth will talk about the active Active Directory group an ID and all this as we go through the setup but then here a bunch of settings where you can turn on and off different things like if you don't want that emergency contacts button in the app you can turn it off from here I'll go ahead and just save that and then then your users are not going to have that in their app so like I'll refresh see now the emergency contacts button is gone so a lot of the things in the app that the end user experiences they're letting you control it from the admin app it's pretty neat so you have all those little toggle buttons on the admin settings for a lot of that stuff and then company contacts this is where you add all this stuff so like the company news those little news things that I showed you and as an end user this is where the admin is creating all the news so this is their interface to create the helpful tips like new tip and then if it's got all of these have this cool little concept called depreciated so when you say that something is depreciated that means it doesn't snot going to show anymore so you don't have to go deleting stuff you can just make it so it doesn't show in the app anymore so like this what if I want to travel it's not applicable anymore I don't want people to see it I can just turn it off so it's kind of a reverse logic there okay so that and then also that besides the power apps that you get you get this ability to to do some stuff in teams so when I when I made a new request it actually put it in teams like this so it post it to teams and then so joelle posted a couple of things as news updates in the app just a minute ago and they came directly to me and a chat from flow in teams so this has all all the information that she typed and then read more will give me the detail link that she gave us so pretty neat right so that's where that's one thing that it does in teams and then I'm in this crisis communication team that I created made close some of these other ones and I've got the crisis communication app itself is embedded in teams in a tab so I can use it from here and then my presence status report is it's a power bi functionality there's there's me I'm the only one that is checked in so that's that little screen where it has four employees to check-in that little that very first box in the end-user app that is putting an item in a SharePoint list and I've only done one item and it marked me on the map so if you have a lot of employees you can look at this power bi report and see where they all are pretty cool right so let's go through any I'll show you what the sites are and how I created them and everything as we go you know through the steps of the installation all right so the first thing that it has you do is create just a SharePoint site just a blank SharePoint site so you can go to wherever you typically go to share to create SharePoint sites so you could go to your main SharePoint home page and click the Create site button or you can just go to if you're an admin you can go to your list of sites and you're just creating a SharePoint site now this first site I created two of them so one site I created is is where I'm housing all the backend data all the SharePoint lists that are behind the scenes in this app because and I'm keeping separate from the second site that I'm creating which is for teams which is the team site for Footwear it had the tab where people can go to the app and where we're having the communication about it and all that I'm keeping that in a separate SharePoint site so I don't want people going necessarily to the team site and then digging around directly in the SharePoint list so the first site I created I call it calm and I called it I saw I called it crisis and crisis is where it's gonna have all these SharePoint lists and then all I did was create the site just as a team site and then we're gonna get to another step where you create the team and I actually just used a completely different SharePoint site for that instead of just trying to put it all in one so that make sense so the first thing you do is you just create a site and then this is so cool you know this is the cool this is my favorite thing out of this almost my favorite thing out of this whole solution is they give you a flow so you download in that link that I gave you you download this crisis communication package and then it has you do this deploy SP list is a flow that you import into Microsoft flow so you just go over to flow and you go import and you import this go to my time crisis it's all gigantic here you import this deploy SP list thing and that gives you a new flow so then once you've done that all you have to do is put your new site so you created the SharePoint site first and then all you have to do is put the URL of that site in here in this target site for lists that's the that's sort of the magic then you can put the value of the app name and so those are the two things you need to put in there and then so you create the app you put these two values in there and then you just started the flow then you just run the flow it creates all those SharePoint lists and all those columns and that the coolest thing ever I always blown away I could tell Audrey did this Audrey Gordon and Microsoft I saw her name all in there but I was super impressed that it's so cool so like I was digging in here and looking at how it does its all using the HTTP requests action in flow so this one's creating a list and then it's creating each column it's a full name email business phone so if you have you know your nerd like me and you like digging in and see how they did this this creates all the lists and libraries in the site and all the columns in them just from oh yeah what was that I said that's just I was just saying that was cool oh yeah yeah being able to see it's huge so then this is that blank site that I just create and look it puts all these lists in here so then as I go through the setup it's gonna be up to me to add things to the list I'm doing it through the app though so I'm never just directly going to these lists and trying to do anything directly in them so this is my behind the scenes data for my app so that is the step you just go through and you just run the flow and it just magically does all this and then the next one let's see I'm scrolling through the steps here it just kind of describes in their documentation what all the lists are for so then it has you go import the app so you go to just power apps and you click import canvas app and then you're going to have the crisis communication and these are all these zip files that were in the one big zip file go back to my downloads and you have the crisis communication is the main power app for end users in the crisis communication admin is the admin power app so those are going to do each of those one at a time and import those as power apps in your environment and then it it is going to have just as you import it all the connectors to pick from so as you're picking connectors you're probably gonna already have say a connector for SharePoint in your own power apps and in flow inter interface so you would just where it says select during import you just click to select your own SharePoint connector and you click to select your own outlook connector and your own office 365 users connector but for each of these if you don't already have one you might have to do create a new connection so then there's a little button right there in the interface as you're doing this to create a new connection let's see proof where the files she sent general channel didn't send any files anyway I put a link in the link to all of this is where you're watching this video so if you're watching it on my website IW intercom just scroll down a little bit there's a link to click to go to all this and if you're directly in youtube there's a link and if you're in facebook there's a link so wherever you are I put a link to this stuff okay so so that's what you're going to be as you import each of these apps and flows that that this the interface for importing apps and flows is similar this exact same concept with all the connectors so if you already have a connector like SharePoint you're just going to go select it select your own and if you don't have one you have to create it so the next thing to do is you're going to be editing the app so and I'll just go directly in here and then they make sure and close these I'll go edit the app and show you now when you're dealing with power apps in SharePoint lists or in any kind of data source if you're taking that power app and you're putting it in a completely different SharePoint site or environment and you want it to point to a completely different set of SharePoint lists or sequel tables or whatever it is you don't want to go into the app and add more data sources for the new place that is a big no-no though you're creating a whole bunch of extra work for yourself so what you do want to do when it walks you through here is just removing your gonna go through here and remove and it seems like you're breaking stuff but you're not you're removing every single one of these SharePoint connectors that they gave you in here everything that starts with CI remove so I just remove them all and then I'm just going to add them back so the reason you have to remove them and add the back is because when you add them back they just give themselves the name of what the SharePoint list is and they'll all be exactly the same names that they were before and then since they're the same names they'll all work exactly the same so then I just go SharePoint and go I'm going to add them back now so I got I have my SharePoint connector and I have my crisis site that I'm connecting to I just check all the boxes the instructions just say to check all the boxes we're not using the documents about whatever it just says to check them all and connect and then look at that everything in my app lit back up so it's all working so you're gonna do that that same concept you're going to do that for both both of those apps that admin and the end-user app that it has you import you go through that same step of deleting all the connectors and then re adding them back in there okay so it goes through all it's very very detailed instructions now it's got just a sort of a little concept in here for location updates as far as the user's location it automatically by default does capture the end users location but you can disable this so this code here is if you want to disable the location updates so you would go to this specific control go to this on select property and then go to this and and take this code and put it in there but I didn't do that because I'm not disabling location updates I don't care it's fine the way it is so I didn't do this step with the code all right so then there's a flow that you get alright so what I did before I did the flow before I did this part was I went ahead and created that second SharePoint site and I just went into teams and created because you know when you create a team it automatically gives you a SharePoint site behind the scenes so just what I wanted to reiterate is that I didn't create one big SharePoint site and put all the lists and the team in it I created two separate ones one is like the behind-the-scenes where all the lists are and one is the one that we're using for the team here so this is I created I just click create team and created a team and just chose public and then just said this is our crisis communication if any of you are actually students in by the way in my iw mentor tenant that you're taking my class and you're my student this should be you should be able to see this too and it should be available to everybody in there to be able to use it if you want to try it out with your student account so this is the team that I created and then it has you let's see it has you go get the link to it because you had there's some data that you have to get so up to go to this channel and I go get get link to channel and I copy that to my clipboard because it's got a couple of important things that you're going to need to use in these to be able to directly post from you know using the flow that runs off the power app it directly will post things to this team's channel this is very very very cool stuff so I go into notepad and I just you know come take a look at this and this is my channel and it tells you all this in the blog post this little unique thing is that is the channel so that is this channel for general right here so that's the the gooood for it the unique ID and then i need to get my group ID which is going to be this thing so those are the two things that I'm going to need out of this so then I need to go into my flow so let's see that flow is that that flow that it gives you now the cool thing about this other flow is that this one is triggered from the power app from the end user power app and because this flows triggered straight from the power app it comes with the power app so you have to separately import this crisis communication dot request it will just be there after you've imported the power app so cool all right so it talks you through going into this flow and then you take the team ID that good that I just showed you you paste it in team ID right here and then you take the channel ID and you put that in here and I think that was it yeah then but beyond that it just does everything automatically for you that those are the only two pieces of information that it needs from you in here yes I would definitely putting making this an org wide team would be a good idea Jer Jer yeah Jer yeah that is a good idea to make it order ity team because you want everybody to be able to get to this ok so then after you've put those goods in there it's a lot of steps right it has a step in here for converting the current time but at the time that I downloaded this app it didn't have an action in here for the time the time zone the reason it wants you to do the time zone is because it's got this little place in here where it's putting the time so if you want to fix that and add in the convert time zone we'll go ahead and do those steps so I'm going to just I'm just going to put it right here and I'll do just do my current time to put that action and then do my convert time convert time zone and then the time you're converting is this thing keeps popping in front of me so annoying the time you're converting is current time the current time is always UTC so I have to go to the where did that go it's always just kind of buried in here somewhere there it is that one is the one you need and then my time zone is central so I'm gonna put central time in here so it doesn't really matter what format you put it in as long as I have it converting it so then instead of doing UTC now here got this thing this keeps popping up right in front of what I'm doing now I deleted oh here it is right here instead of doing UTC now you're gonna put your converted time in there so that's what the steps and the blog just have you do in the converted so there we go all right hilarious okay so then it has you go import the admin app and those same steps that I showed you of importing the other one you just import the admin app now there's one step when you are just kind of a gotcha here when you're importing the crisis communication let's go look at something maybe it's the other one let me go look let's see one of them uses I don't know why it's not listed here but one of them uses the the power apps notification connector and we go dig into this real quick okay so this is that one where I just you know riad it all the SharePoint lists it's also got this list of can of data sources is oh here it is that this is it right here I think what I'm looking for is the data source called power apps notification and basically it's going to prompt you to connect to it now you probably won't have the power apps let me just go in here to my connections you probably won't have the power apps notification connector I think it's the end user one that has that prompts you to install that it's this right here so you this is probably one that you won't have already in your tenant especially you know if you do power apps a lot I had the other ones already this one is usually a premium so this is usually a premium connector and what it does is it when people are just going out and about on their phone and they have this power apps app on their mobile device it will actually pop up a just like a regular app notification from the power app so that's a special connector called power apps notification and that is the one that it will prompt you to add so they've made this free temporarily I think it's a couple of months and maybe six months or so this was a premium connector but they've made it free especially especially for this whole situation for this app pretty cool right so when you're prompted to install this power apps notification connector you can go ahead and do it without worrying about getting charged extra or something like that so this is that extra one then it puts in the app that will do the the app pop-ups all right okay so let's see going through this steps here yeah um okay we've got the admin app that we installed and then it kind of gives you some parameters about what everything is in there and then once you install the admin app then it walks you through going in the admin app and and setting do you want doing all the settings in here the admin settings what's cool about this another thing to notice is that look at this this was created as a mobile size app when they created it in power apps but they've made it responsive and that's another cool nugget that you're gonna find when you go sort of digging in here and find all the components that they used the way they did the navigation and made it responsive so awesome okay so I go to admin settings and I just put my email address in here I put a URL to a logo I put one that I'm not sure where this is supposed to show up because I tried putting one that's too like to my public web site and I tried putting one that's to a logo in SharePoint and neither of them show anywhere in the app so that might be one of those things where it's not you it's the app because it's not showing anyway I don't see it anywhere so then it means my active active active directory group now this is the second SharePoint site that I created the one that I'm using for teams so this is the team's one and this is what its gonna use to send out those notifications to users so your team's whichever office 365 group you use for that one that's the one you need to put in here so it actually walks you through going into because you need to get the unique ID for it to be able to put it in this app because the flow needs that so it actually walks you through in their instructions going to that group and as your active directory and getting this crisis calm and getting this right here so again there's a screenshot of that but this is what you'll need to put in where the admin the admin setting so put crisis come and then the name of it and then this is where I put that gooood so this is I mean it's pretty nitty-gritty right I mean it took me at least an hour to just go through all these steps and set it up which is why I couldn't do all that live on Power Hour and just kind of showing you in extreme detail and then my team's channel ID remember I got that in here in this in this gooood of the channel that I want to post to and we're learning a lot about all the cool functionality between power apps and sharepoint and teams and flow and flow posting to teams and all this neat neat stuff then there's the app you or all the app URL is the URL of the end-user app so the way you can get an app and I think I might have put it wrong I put it as a GU it instead of a URL so let me say I go to my details of the in user app and I get my web link that's the app URL so oh yeah I did it right it's right here so I just pasted my full app URL in here and then the government RSS feed it just tells you in the instructions that this is the one you can put in here for English so I just copied and pasted that exact RSS feed just right out of there their instructions and then for the notification method you can switch this how do you want to notify people so if it's push notification that's the one that's gonna pop up on their phone as a powerup but you know if you're using teams that's gonna pop up on their phone too and there you're using email it's also gonna pop up on their phone so but either of these it's just the preferred method of how you want it all all to go out so then you do all those admin settings and you save it so talks you through how to do all those things we just did and then it tells you how to go through as an admin and just add stuff to all these lists so I go company contacts and this is where we've got you know all the people and you can edit them directly in here my company News which is where it can go post all of our internal company news and then helpful tips that I want people to see and again if I have company context but I don't need people to see the company contacts I can just turn that off so that's all these little toggles are so company news maybe I don't want to post any company news maybe I don't want to see the world news I'd only want to see company news so I can choose all those things in here I don't really care about helpful tips but I do want world news so anyway that's where you do all those settings so it just kind of talks you through how to add all the things to that and then then we've got the notification flow one more flow so then it has you import another flow and that is also in the zip file that is and it's got good name crisis communication news notification and that's the flow that I'm importing so then this one is the one that I imported so it says notify users on new crisis communication news so this is where it talks you through you have to put a couple of specific things in here and this is the one is this the one that does the yeah okay this is the one that uses that connector the send push notification so the trick about this is when you're importing this flow you can't import it without that connector so you it's pretty pretty much if you want this last flow you're going to have to go ahead and create that free connector to do the push notification just to pull the flow in and then potentially if you want to get rid of it you can just delete this whole action delete this whole option of having a push notification and and then take that connector out of the flow and get rid of it if you are worried about it so but that's where that one is used and that's why it will prompt you to create one and you have to create one when you're going through this import so you're importing the flow you're creating the power EPS notification connector and then in the connector you need the target application and that is where you're going to use that application ID that I just showed you here it says link the link or so that's where you're going to paste that as you're importing that flow and that's gonna that's where that's going to prompt you okay so then that flow is pretty cool it's it's triggered off of a new item being posted in the company news so that's that company news list so this will first it's going to go look to see if there if you have company news turned on if you are allowing you know company news to be added or used so then I don't we're gonna get in and kind of if we have time we're gonna get in and kind of dig through what all I don't know how much time we're gonna have to go through every single part of the power happen that's all the flows but this is the one that notifies users when a new piece of news is added so just for fun I'll go add so I'll go to the admin app so I can tell them in the admin app I would want to make this a different color by the way make the admin app have red or something like that I'll go to the admin app and I'll add a new piece of company news see that's what's going on in my world right now the dogs taking it out behind me not very creative so you can make this you can use just formatting in here if you want to and then later when it's not important for people to know about this piece of news you can depreciate it okay so I went ahead and added that which would have triggered the flow which would have gone out in here let's see oh it went out in chat so this is the one that actually sends it get its all the people that are members of that team and sends them all a specific notification when you click read more then it takes them straight to not only opens the app but takes them directly to that one item in the app so you're gonna have this passing see it's passing a parameter here so you have another cool thing you can learn from this app is how they pass the parameter to it so that's gonna put that in the link in the team's notification in that need what do you think of this this is so cool it's just got so many cool little tidbits in here we could probably spend power hours for the rest of the year digging into showing you how they did a little neat things in this out okay let's go back to the instructions okay so we went through how in the news notification goes and then we have the power bi report so I I have power bi f2 power bi desktop now this is gonna if you want to roll out the power bi report which to remind you about what that is that is this present status report if you want to roll that out and you want people to be able to use it you're going to it will be helpful if you have the power bi licensing so but it walks you through opening up their presents rapport which is also part of this package that you're downloading so I open it up and it now when you first open up this app it's going to have a big yellow error across the top saying that you don't have the right credentials because it originally had Microsoft's credentials in there so what it's doing is it's using a SharePoint list so one of the first things you need to do is go directly even if you see an error at the top you need to go directly to the advanced editor so it tells you to go over here and go to the advanced editor and then it tells you what you need is the SharePoint list gooood so I have to go over to SharePoint and so that power bi can use information about data in a SharePoint list I need to go to that SharePoint list and let me go pull that up and that is going to be the employee status so as each employee checks in and sent and clicks to the very first box in the app where they just kind of check in and say what their status is and say where there are at home at work whatever that's putting items in this list now before you start doing the stuff with the power of bi I recommend if you're doing this if you have kept RBI licenses I recommend going ahead and go to the app as an end-user and let's see is this the user interface I probably better refresh that apps crisis communication share status so go ahead and do this at least once and share your status I'm working from home today click Submit so that you'll at least have one item in SharePoint because mine was giving me all these errors and I it was just because I hadn't put the thing in SharePoint yet the the it had didn't have any data in the list so it was very confused so that is going to be the employee status lists they have to go to the settings of the list and get that list ID so that's what you need and it talks you through doing that then you go into the power bi advanced editor not the permissions hold on I'm not you can tell that I don't work in power bi all the time and it query yeah pulls up another window you go to my advanced editor here so this is where then you have to go put your SharePoint site now this is the site where you're storing all of the list data this is not the site that end users are using the team's ends this is the first one I created and then this gooood that you have to put this is where you paste the gooood to your SharePoint list and it has three different places and again it's all in the instructions so as you put the SharePoint list in here so then it just magically of course I'm the only one that is checked in we have one person and it shows me on the map but you know you can see how cool that would be in a global company if you're a global company you can probably you probably have bigger companies usually have power bi implemented and have you know very using it so um but if you if you don't have a power B light bi license and you just want to try this out you can you just have to when you publish the power app when you go publish you just have to publish it to your workspace your own personal workspace and that one is I have an e one license and that one it works fine an e one license it's just me personally creating a power bi report and publishing it to my own personal workspace and I'm able to do that but that wouldn't be feasible if you don't have power bi licenses in your company you don't want each individual to have to go open up the power bi report and paste it and publish it to their personal workspace but they could just open it up and look at it I guess and just open it up directly in power bi without having sharepoint or teams involved and that if they all have power bi desktop that is feasible and that is free it's a free app and just in the Windows Store alrighty Annie let's see let's talk about any questions that you all have it is a huge is a really good tool to learn from [Music] questions questions yeah I mean I guess you could create a private channel for the admin SP list I don't I mean it it's fine just creating a different site I'll show you what I did is I went to I went to the site that I created that has all the one that's got all the lists on it so it's this one and here's what I did is I've just got people who you don't really have to add any members so what I did was and you could do this is I went to site permissions and I just went to good old old-school SharePoint permissions and I went to this crisis visitors group and I just added everyone except external users now you notice that that group has read-only access to the whole site but I went ahead and added that group at the site level as visitors and I went to and you don't even really have to do that step because all they really need to have is contribute access on all the individual lists so I went to let me close this I went to each individual list like this settings permissions and I just added split it off so that has different permissions and as long as you give that everyone except external users group contribute access individually on each of those lists you don't have to give them access to the site at all and I'll wrote a whole blog post called power apps as a front-end and I wrote just all extreme details about stuff like that let me go just grab that for you because this solution kind of uses that concept because it's building you're building all this stuff and not sending people to directly to the list to do anything so you could post never posted that chat you could use that concept to just give people contribute on every individual list that your app is using and not even give them access at the site level so they never have to go to this site at all they just are using those lists behind the scenes in their app makes sense so I went through a whole bunch of steps about how you go through to implement that if you went ahead and did that and you know in your world okay let's see does that get so many tabs open but all that the stuff the way it communicates with with the team thing and I mean that's all the little integration between the power up and the flow and the teams and that it's just it's really good to see kind of all that in action in one big solution okay so I'm going to go through now that we have about 10 minutes left I wasn't sure how long it would take to go through the steps and the instructions but one more thing is it tells you to go through here and just add a tab if you don't if that's not obvious you go add a tab called power apps in your Microsoft teams and then you go find your your crisis app and then that's how I added the app directly to this tab here and then I click the plus and added power bi and that's how I added this this little power bi report to here as well so those are the kind of the last couple of steps and then I recommend just going in the admin app and adding at least one thing and all the different lists so you can see what it looks like from the end-user standpoint now let's go look at all the coolness in here we have it to about 10 minutes to go look at all the like my favorite part about all this how long did it take me to build it took about an hour to go through all the steps and and build all this out do the adaptive cards and the team's post open the power app yes the adaptive card when I go into my adaptive card here that when I posted this news update and I click read more this is that cool thing that I was talking about where not only does it open the app but it takes you directly to that specific piece of news because it's passing the parameter and they've got a parameter in here so that it will know to take you to that specific page pretty cool right so yeah that directly opens the app okay so let's go in to see what's going on in here one of the first coolest things in here is all the components that they're using we did do a whole SharePoint power our about what components are and a couple of weeks to use them but this sucker has got a lot of components and there's a lot of just good ideas and things to learn in here so for example just simple things like having a search box so this is a search component and so everywhere in your app where you have we zoom out a little bit well let me see oh here we go everywhere in your app where you have a little search box with the text box and the little magnifying glass that is just a component that you can just plop in different places in your app so all these ones that have this icon that you see with this little boxes those are all components so my header control here is a component and this whole app is also responsive so you can look at when you look at it in the app you it just looks like it's mobile phone size but when you open it up just in the desktop app it's full width and notice that it shrinks down so according to whatever my size my screen is it shrinks down and notice all that descriptive text even disappeared when I went below a certain size so it's all responsive too but all those components are going to be really useful to kind of understand how they're doing those I notice that yeah where did it go see we've got that calendar control that you see when you're picking what date that you're going to be out of office that's a calendar component they used they used and these are kind of slow when you click between them but the menu is done as a as a component and then I like this preloader one this is useful it just says loading and it's got a little spinning wheel so that would be good I'm going to take that and use that for some other apps that I have the pre loader and then the header control is just going to have just the title of whatever page you're on and we went through in my other power hour about how to use components and how to actually pass parameters to them and things like that I noticed let's see where did it go in the other one let's see it open up the admin app and notice they had some a good bit of stuff having to do with the apps colors in here to that there's a good learning tool to use Jerr the sharepoint group that i created that is the the group that's the public the one that i'm using the team with that's the one that you would just make that like when you create the team itself you can have that be an organization team or have it be a public so that way everybody is just easily going to get all those communications that make sense [Music] okay I was looking at some here okay what did I say I was theme selection screen now I noticed that there's a theme selection screen in here and it let's see if it does anything it yeah I think they put this in here but I don't know if it actually oh yeah I think maybe it was like an afterthought as they put the theme selection screen in here with dark and light but it doesn't it's not used in every single place in here and there's no link to it there's no link to it just in the user interface so change it to dark and then it says something about theme changes only applying in mobile devices so I'm not sure what that's a good idea another thing I noticed in here in the components is the [Music] well of it wasn't it they have something to do with the they had the colors in here too so when I go to the on start there's a whole bunch of stuff going on in here it's looking at the user profile it's looking at what their local language is and it's setting English as a default if that's not already their default and it's doing a few collections now if you have not done the configuration of all those admin settings the app will not work it won't have anything showing for when M users try to use it it will just be a big empty screen so you do have to go do go to the admin settings screen and fill those fields in in the admin app so if this is gonna basically give you a big error letting you know if you haven't done that and then here look at this so here are some colors so fill press fill color press color so this I'm assuming is that blue color that's everywhere in the app so this is my know it says green button style is what they're calling it cancel button style navigation button style so on the on start of the app there's a lot of cool things you can learn about - about power apps as to how they're just setting all these certain styles in one place just as soon as the app starts running and then they're even looking to see if you've selected a previous you have a previously selected theme already and so then it's putting all these colors basically all these colors in here that neat so I haven't dug too deep into what every single one of these things is but it's got its got theming in here so it's again be a good learning tool my navigation okay so here's my navigation where it's building that Michael my navigation is in a collection and this is what what I did in that other Power Hour where I went through and we showed how to use Component specifically for navigation so that's what this is doing it's using a collection co l nav for the navigation and it's giving each piece of the navigation and ID it's saying what screen it goes on and it's giving a description and the name of the screen and an image and all these images they've uploaded into you have media in here so if you wanted to change this and put all your own images you could either just you know make your images have the exact same name as theirs and that way when you upload it you could just delete theirs and replace with yours or the same name or you could go just add your own you know more images to it there are there aren't any videos or audio but there are a lot of built in images in here alright that was really neat and again the link to this whole set of instructions that I went through is in the Senate wherever you're watching this it's in the YouTube channel and Facebook and on our page and everywhere alright any less questions that was a fun one let me go switch back over to well what do you think any burning questions or cool tidbits not my head it's just really neat there's a lot of a lot of cool stuff that I'm for sure so yeah the first thing in here that popped out at me that I thought was awesome was the flow that created on the SharePoint lists and awful yeah that was like the one note for myself to go dig into that yes Thank You Audrey I'm taking that using it and thank you to whoever created all those components I'm taking those so um so yeah do what you will with this even if you're not using it for an actual crisis you know go in here and dissect it use it as a learning tool like I'm
