hi welcome to today's training on Primavera p6 once again my name is Oberlin and we project profession out the planner also a scheduling consultant so today we're going to be taking a look at a very interesting dimension typically I get emails from viewers all around the world I'm asking me to work on setting requirements or asking me certain clarifications on Primavera p6 and then also an it is that I usually get an influx of nails from people who are attending interviews or preparing to attend interviews based on Primavera p6 and typically they send me certain questions and ask me how to treat it or how to go about it so I've said to do this particular video so this is a special one for people who are preparing to attend interviews of people who possibly may have attended setting interviews and then also in the course of the interview they were given a hands-on demonstration using Primavera p6 and actually implement for example you're giving a project for example an axe to shatter it with Primavera p6 so what we have tried to do in this video is to choose one of the most popular set of questions I've gotten in the past I've got in this particular test question of more than 10 times in my email people asking me exactly how to go about the the test question in the event that they come across it in the course of the interview on Primavera p6 so for you to download the exercise file that's the test question it is in the link below so if you read in the link below you're gonna see the test file so click on it to download it and then of course once you've been able to download it you may decide to print it or have it be you you know on another screen on your laptop so that we can go over it one step after another and we're going to start from the very first step up onto the very last one so that if at the end of the day you're presented with a set in a similar situation if you attending an interview or a test for example on how to use from our pieces you'll be able to answer such questions effectively and then of course not just answering the questions also you'll be able to demonstrate your ability to use primavera pieces to carry out such such exercises or to carry out such projects aside from that even if you're not preparing to attend an interview this lesson would also be a very important one for you because to align just and I particularly chose this particular test because of the fact that it collapsed a whole lot of aspect of Primavera p6 and then if you are able to demonstrate it then to enlightened you will also have built your capacity said let's start so typically you login into your Primavera p6 using your password and then Trevor app takes you right in ok good so this is from our p6 and we're looking at the interface right now so here's the last carrier that has exactly where we have it in the exercise so the first task is to create a project with a project ID not as p6 test so to do that it simply good Co fowl and then of course click on me so the moment you do that Tamara will ask you to select an EPS so in this very exercise we were not given any specific instruction on under which EPS to you no proof this particular project NIDA where we asked to create a new IPS for the purpose of this project so to be safe we leave it at all initiatives so let it be on the enterprise level so if that's the case and you just click Next so this time around were asked to enter this on our gonna enter the project ID so the project ID here is p6 so I entropy six tests and then of course the project name is construction program so I simply type in construction program under the project name so after entering the project name then you click on next so where to from the exercise that the plants that did for the project is first December 2015 so I click on the Browse button and then I select year then I go to 2015 select December and then I select first of December then click on the select button so the plants that beat for the project is first December 2015 don't also forget that we have it beat added which was going to change much more later then the exercise also says that the MAS finish date for the project is dated September 2016 so I also click on the Browse button and then I go to year and then of course I go to 2016 I select September and then of course September 28 and then I click on the select button so this is the most finished date for the project which is 28 September 2016 and then of course you can click on next and responsible manager we're gonna leave it at enterprise since we're not giving any instruction as to responsible manager also click on next the rich type are gonna also leave it at the standard rate since we are also not giving any clear-cut instruction on the red side then I click on next so you get the congratulation message saying that you've created a new project and then when I click on finish you'll notice that the new project I created shows up here under the all initiative start under the enterprise EPS in remember our p6 so once you've done with that then you would also need to create set in default so we're true that some of the defaults include that so you go to the under the detail view you click on the default tab so from the before tab where to that calendar is a five-day workweek calendar so you click on the drop on the Browse button and then another select default forget calendar you selected five-day work with calendar and then next web so that the activity types should be tax dependent so this is activity type and then in this case our activity type is already showing us dependent otherwise you can click in the drop down and select the relevant activity type then next what would that the duration type is fixed duration and unit so I look at my duration type and then I've got this is fixed duration and unit so I measure isn't a fixed duration and unique then under the percent complete type where true that a percent complete type is physical so I click on the drop down and then I select physical they not also forget that we need to change our database to test of December 2015 so I click on the date tab in the detailed view and then I got so data date you can see the date and it is showing the day I'm preparing this particular project forward to that it should be that December 2015 so I go to the click on the Browse button then of course I click on year I go to 2015 sorry 2015 and then I select December and then of course first of December so I change my date a date to December 2015 so why is this very process quite important well your data date is very important because if we did not change our data edit if we begin to enter our activities or begin to creat activities in a Primavera p6 it is shows that the start date for the project or the start date for those activities that we are creating is from these dates that I'm creating this particular exercise which may not be the way axle or which may not be tickets that you were supposed to have in your shadow so that's why it is quite necessary you always remember to change your detailed it so they're detailed it should actually be in most cases a reflection of when you are actually entering the data in your poem where pieces which in most cases should always sync or synchronize with your plans that did so once you're done with this would have been done with the exercise one point one in the exercise in the test that you have so once you're done with the exercise one point one the next thing we're actually do is to create the work breakdown structure that is the task one point two in the exercise file so to create the work breakdown structure you simply right-click on the new project that you've created and then you click on open so from a very would open the new project that you've created don't forget I you can stretch your guns to open the top so that in the event you need more space you will be able to have your activities page a lot more cons because so at this point what we have done is after we open the project robotics or straight to the activities page so what you are seeing now is the activities page however we are asked to create the WBS so to create a WBS i simply go to my directory bar and then click on the WBS icon there so once i click on the WBS icon it opens up the WVS page for me so this is the work breakdown structure page so you can see it's shown at the top so i'm at the work breakdown structure on you seen that here among GW BSP so typically I like expanding you know my table so that is a bit more cause because also we axe to create the following work packages that we have represented in the chart in the exercise file so once again please click on the link below to download the exercise file just in case you've not downloaded it so that you can follow through as we carry out this very exercise okay good so the work breakdown structure reacts to create increased toss so you know also do that you simply correct click within the empty space in your table and then click on add so the very first one is our p6 test one so that is exactly what you have your under D WBS code so we now go to our WDS name and enter the very first work package which in this case is project management where I type in projects management and then I hit enter on my keyboard then next I was asked to create another work package which is p6 test2 so I can simply right-click on my project name again and then I click on the Add button so you to create a second phase of the project for me so because this second phase pieces test tree should come after the first in a work package which is PCs test one I use the move down arrow to bring it down so come after the pieces test one and then under the WPS name I type in the name of the WDS which in this case is design and approval design an approval did it so once I do that I hit enter I repeat the same process again by right clicking and clicking on add and then of course I bring it down to the third level and I'm asked to enter the network package which in this case is construction so I type in construction and then the final part I right click again and then I click on add and then I take it to the right position so next I enter test test and Commission test and Commission okay so once you're done with that should have been done with the exercise or rather we task 1.2 in the exercise file so we also want to display our work breakdown structure in the chart view want to be sure it looks exactly the same way we were given in the test paper so I simply go to my directory I simply go to my twos bar and then I click on chat view so no matter I click on chat view you will notice that my chat view exactly looks the same as the one that we were given in the interview test file ok good so what's wrong with that you would have been done with exercise or task 1.2 then we're gonna be looking at the next task which is task 1.3 so in task 1.3 were asked to create activities and milestones and that's exactly what we are going to be doing next so of course I probably want to get back to my Gantt chart view so that you know you notice this is the Gantt chart we just in case you don't know how to come back to this page where you are before so you just go to your toolbar and then click on your Gantt chart okay good so let's not create the activity so to create the activities I'm gonna navigate back to my activities page so you can do that simply by clicking on activities so you click on activities it takes you back to your activities page don't forget sometimes your activities your work packages may look a bit disoriented in your activity speed if that's the case you simply press f5 on your keyboard so that it will refresh the data or you can go to file and then simply click on refresh data so that it would arrange your work packages in the correct manner okay so next we're gonna enter the activities and to do that under the very first work package but you learn less under the very first work packet which is PCs test one we're asked to enter two activities one is contract award and then the second one is system definition so contract award is type mountain so we do not designate that as a start milestone so I select my I right click on my first work package which is project management and then I click on add so I type in the very first activity in this case which is contract contract award and then we're told a contract award is a stop milestone so in the detailed view under the general tab under the activity type you click on the drop down and then you select start milestone ok so once you've done that you would have been able to carry out the very first function there now don't forget that to 'true that the activity ID is 100 so I also change my activity ID to 100 next is activity 200 so I right-click on the last activity I entered in the work package and then I click on add again so I change the activity ID to 200 and then of course the activity name is system definition so I type in system definition hour to that the duration of system system definition is 40 days so under the original duration I change it to 40 so this shows that this is a 40 day duration task so next is for the second work package which is pieces test to a package and here we have three activities here so I can right click and click on add and do that real time so that it gives me space to enter these activities okay good now the first one is activity 300 so under the activity ID I type in 300 there and then that activity is detailed design so I type in detailed design then after the detail design the detail design has a duration of 40 days so in the duration part I enter 40 days then the next is 400 so enter 400 there and then of course 100 is design compliance so I type in design type in design compliance and then the design compliance has a 30 days duration so I type in 30 days there then the next is activity five hundred so under the activity idea in five hundred and then under the activity name I type in procurement and on up recommend I type in the duration which in this case is thirty okay so once you're done with that you are done with the activities for the second work package so the next one is construction construction has just one activity so I click on construction and then I click on add and on that that I type in the name of the activity which were given as construction as well and then the activity ID is 600 and construction has a total duration of 80 days so I enter 80 day and then the final one is for work packet p6 test for so I reckon if there are two activities there so I I add two spaces right click and add and then right click and add again so the first one is activity 700 so I type in 700 under the activity ID then I type in the name of the activity which in this case is commissioning and hand over so this activity has a 30 built duration so under the original duration I entered set and the final activity is project completion so I type in project completion and where to that this is a finished master so once again I go to my activity type a click on the drop-down and this time around I select finished milestone and then I enter the activity ID which is 800 and then you click on enter ok so one key P may have noticed about the milestone activities in mountains which include them activities 100 and activities 800 is the fact that they have zero duration so notice that milestones are indicators so that's why milestones have zero durations they are not activity space the simple represents major accomplishments they are basically indicators to show whatever ween able to accomplish certain things and because of the project that's why they are referred to us milestones and like I said milestones have zero duration so if you want to display your guns you simply double clicking your guns and then you're gonna see your gun charge you know show up and like I said early on you can notice from what we have done so far that our contract award which is a master you can see the icon here Shana's Eastern Lennie ton of the progress line so that is a bit more cost because okay we can notice my my mouth on looking like a stone like you're seeing it in the Gantt also for activity 800 it's exactly the same thing okay so once you're done with that essentially you have been able to complete the task 1.3 that you have in your exercise file so the necklace that's 1.4 on the task 1.4 we're asked to add the following relationships so with only creating the relationships as captured in the table in the exercise file so to create a relationship typically I like creating my relationship using the relationship tab in the detailed view so if I take a look at my detailed view at the moment I do not have relationship tab there so I may want to add my relationships tab so I simply right click on any of the tabs in my detail view then I click on customize activity details I usually like and in everything getting not so much columns so I just you know click on the double arrow so it adds all the columns all the tabs that you have in the detail view then I click on apply and then ok okay so notice that all the tabs get displayed so next I go to my relationships tab and then click within my relationships tab so the first activity we have to create a relationship on is activity 100 say in my table I make sure I'm clicking on activity 100 which is exactly what I am clicking at this moment so a true that is success for that activity is $200 activity 200 with a star to start relationship so I come to the success as part of my relationships tab in my detailed view and then I click on the assign button below so when I click on the assign button the assigned successors window pops up a typically I like dragging it down to this part of my screen so it doesn't obstruct the relationships I'm trying to create and then I also like making it a bit more cons because so you can click and then expand so it's a bit more cons because ok great so notice that what you have in the table the same set of activities is also what disclaiming under the assign successors window so first of all remember where prettiness success of activity 100 so I click on activity 100 it's already clicked on in my table and then I come to the assign successors window and select activity 200 and then I click on the assign button so once you do that let me shift this up a bit we notice that under the success of activity 100 you are now seeing activity 200 now don't forget that from the table in the exercise fowl where to that it has a spot to start relationships under the relationship type click on the drop down and then I select touch to start so you notice that pieces crease the relationship for me as a start to start relationship okay next is activity 200 so I select activity 200 from my table and I was true that activity 200 has access all has activity 300 also with a start to start relationship so in the assigned successor window I click on activity 300 and then of course typically click on assign so notice that it also has science activity 300 as a successor to activity 200 also part of the things you may notice says that if remember we created we say that activity 100 has activity 200 as the successor therefore also means our activity 200 Hauser activity 100 us his predecessor so that's why under the predecessors part of my relationship style in the detailed view for this activity 200 you noticed that activity 100 is showing us the predecessor that is the one that comes before it ok so back to the success of which I am creating that for activity 200 remember who said the successor from the exercise we were giving his activity 300 which is what we have just done and then also has a tax to start relationship so I've seen my relationship type to start to start and then this term along were told that it has 20 days lag so under the lag I now type in 20 then I hit on enter ok good so next is activity now also for the same activity 200 who also to that it has activity 400 as well as activity activity 400 as is a solar activity 500 as successor so I can simply select activity 400 hold my control button on my keyboard and then select activity 500 so this way I can you know assign multiple activities then I click on the assign button so notice at the same time it has science activities 400 as well as 500 so for the form that one that has it start to start relationship so I go to a relationship type as usual and then I change it to start to start and then don't forget the lag which is 30 days lag so I enter 30 days lag day so for the successful activity 500 it is a finish to start relationship so that's the finished our relationship and then of course there is no information as to the lag so the light will remain zero very good so next is activity 600 so we click on activities 600 and this term Aurum we were to that activity 600 has activated 300 activity 400 as well as activities 500 as its predecessor so I close my assigned successes window and then I go to the predecessors part of my detailed view and click on the assign button then as usual I make it a bit more conspicuous okay so from the table where total activity 600 which is what we as selected already here has activities 3 4 and 500 as its predecessor so I simply click on activity 300 hold on my control button click on 400 and 500 and then I click on assign all with a finish to start relationship so you can see the finish to start relationship so one kitten is the finish the third relationship is the default relationship that is automatically created when you are using your Primavera p6 then also still on the same activities 600 we were to that it has a successor of 700 in other words activities 600 has a successful activity as activity 700 so I again close my assigned predecessors window and this time around I go to the success was part of my relationships tab in the detail view and click on the assign then I select activity 700 just like you have in the table and then I click on assign which is to tell you what you have what we have there and then finally we have activity 700 and where to other activity 700 has a successful activity which is activity 800 so in my assigned successor window I select activity 800 and then I click on the assign button don't forget that the relationship type for this is finished off finish so I click on the relationship type and then I select finish to finish so once you're done with that you have been able to complete task 1.4 in the test exercise so you can close the assigned successor window next is task 1.5 so under passed 1.5 we were asked to add constraints so to do that I go to the status table in my detailed view and then I drag it up a little bit so that the constraint portion of that eventually appears so from the table where to that activity 100 we should create a start 1 or after constrain on it so I select my activity 100 don't forget we are in task 1 point 5 so I select new activity 100 so under the primary constraint portion I click on the drop-down and then I click I select start on or after so I look for start on or after yet as he starts on or after and the bit we were giving his 10th of December 2015 so under the date I click on the Browse button and then I select December 10 2015 ok great so with that I've been able to create a constraint for activity 100 then also for activity 800 we actually create another constraint so you select activity 800 you click on the drop-down and select finish on or before because does it confirm where I stood create and then the date is 27th of September 2016 so I click on the drug drop down button and then I grew to 2016 this is 2016 then I select September 27 and then I click on the assign button so once you've done that you have been able to create the constraint as captured in exercise 1.5 in the tests file that we have ok cool so the next is task 1.6 in transport policies were asked to assign Terrica resource to activity 300 with budgeted unit of 1000 ok good so I first of all like to create the terrorcon resource so in your directory but you're gonna see a resource kondeh so click on resources so it takes you to your resources speech now simply right-click your resources page and then click on add now notice that for some activities of a some project you need not do your display here before display may not be our resource so when we click and click on add it possibly might get a prompt that says we do want to display our resources if that's or if if that pops up simply click on OK so to display all project resources now because this is my own resource and I wanted to be separate from the resources that I have here by default in p6 I simply you know move it left one step and then I also move it up so that it comes top as the activity that I have in pieces so true that the resource name is tarek ow so I type in the resource name which is Telecom all right away actual and e'terica resource to activity 300 so once i've been able to create the teracle resource and navigate back to my activity speech so once I'm on my activity speech I select activity 300 in my detailed view I click on resources then below in the left-hand portion I click on and resources and from the we assign resources window that pops up i selected terrorcon resource and then i click on assign part of reason why I had my trekker resource comm office is that it saves you time actually time in searching for your resources and all of that because there are lots of resources that calm sometimes if you you know have the default project installed in your PC so if a data resource is created before so this is one way to distinguish your resource so I said let my territory sauce and then I click on a science moment you do that you notice that your tariqa resource gets assigned to your activity 300 now we're true that a budgeted unit for what Erika sauce is 1000 so under the budgeted unit I change it to 1000 okay great so that means my budgetary needs have now been changed to 1000 and that's exactly what we were asked to do in that very exercise so one saddam with that shield i've been able to complete task 1.6 you can close the assign resources window so next we move to task 1.7 in the test file so under tasks 1.7 were asked to designed it for in layout so first of all we do not have to dupe by WBS so to do that you simply go to your choose bar and select group and sub I and then under the group and sort by you're gonna see group by their so make it click on the drop down and make sure I select WBS which in this case is what is selected and then you now click on OK then we click on apply and then ok so next we were asked to sort by activity ID this is pretty straightforward so you can simply click on the activity ID column make sure that this small icon that looks like an arrow is pointing downwards so that is how you know the column that's how you know the column upon which your opponent your activities are sorted so this is quite important well on any column I click on it would sort according to that column you can see when I click on remaining duration is sorts according for remaining duration so notice that my certain changes here and then if I go back and click on the activity ID column it's also cutting some activity ID which is what happened exactly so make sure that the arrow is pointing downwards as I described earlier on then we also told that the column should be in the following order activity ID first which is what we have here so we have activity ID first and then followed by activity min which is also correct what I have here then the net should be start saying my own case that is here so in order to you know make starts the next in your column I simply click on it and then I drag it through after original duration so you can see my step column comes next now after my activity name and then next is finish so I also click on the finished college it directly after original duration so that arranges it in that order so after finish to have original duration which is exactly what we have the original duration and then the next column should be remaining duration which is also what we have there and then the next column should be total float so as a letter to float and then I also drag it to the left and then the next column should be physical percent complete so what I have a shadow percent complete so I may want to remove the shadow count percent complete and change it of physical percent complete so to do that I right click on that particular column then I click on columns in the in the in the pop-up then I first first select my shadow percent complete and I click on this remove from list so remove from list means I'm removing it from the columns that are displayed in my basics so once I click on it it removes the shadow percent complete and then were asked to ant the physical percent completely if you look at this place we have the physical percent complete now don't forget that if the physical compression complete is not showing just exactly like man is showing constantly go to available options and click on find then type in physical physical percent complete then hit enter so once you do to select the physical percent completing and close this window so you can add it so the list by clicking on add to the list then don't forget it has to come after total float so that's the essence of this move up and down arrows so for example if for example you have it somewhere here you can say the moon de niro to have it after I go to town flute so you can click on apply and then click on okay so you notice that the physical percent complete column disappears or other appears in our table so notice columns so I select the original duration column then I click on add each column so I delete whatever I have there and type in OD that is for original duration then I click on OK then for the remaining duration I also do sin I remove whatever I have there and then I enter algae there and then as well I click on OK so and then I click on apply and ok so if you notice my regional duration column changes to OD and then my remaining duration column changes to our D which is in line with the test instruction so once you've been able to do that you'd have gone past one point seven in your in your exercise file and an activity 1.8 way axe to shadow and view the Shadow Lord so to do that you click on the shadow icon in the toolbar so once you click on the shadows icon in the toolbar first of all check lock to file so once you've checked the log profile then and click on this browse button and select where you want to change save it in your laptop and then path of all your shadow so once you shadow it will shadow your activities then you can now go back to shadow again and should I a lot to file is checked thing and click on the view log so when you click on the view log it shows you your log content so you can see the project which is the PCs test project and then of course that's the construction and the name of the project is construction program and gives us some very nice information there for example whether this has been shadowed and then also some very protected for weaker then it also gives us some information on the activities for example this is one project and I have eight activities yeah its activities in total here then also each of the activities are not yet started none is in progress none has been completed and created a total of nine relationships and don't forget we have two activities that we assigned constraint to that act between 100 and activity 800 if you were following our instructions one after the other I notice that we performed these very activities they also shows us you know activities without predecessors and then also activities without successors this is the activity 100 our very first activity obviously the only any producer saw and is the last activity and in the last activity which is activity it on that and they're also the ones necessarily be any successor so we don't have any activity out of sequence and all that so this is essentially what the p6 or other what the shadow log does for you and the information it gives us as usual you can also decide to see your shadow log at any portion in your in your p6 ok good so and simply click on file and then save as and then of course if it's with no name which is a Bellini and then I click on save so the shadow log has been saved and then you can close this window and again you can click on the shadow like on ok good so that's exactly what the task 1.8 here talks about then next were asked to creat the baseline using the current project as follows so under the project type we under please linetype we act that it should be initial planning the baseline so this is past 1.9 in our exercise so to create the baseline we simply go to the project menu and you click on maintain baselines so the maintain baseline window pops up then you click on the Add button it will give you to add a new baseline what would you like to do save a copy of the current project as a new baseline so you click on OK so Provera would create the new baseline for you which is construction program v1 that is the baseline that has been created now we ask that this particular baseline on that baseline type on this line type should be initial planning baseline so I click on under the baseline try if I click on the drop down and then I select initial planning baseline and then of course once you've done that you've been able to create the baseline then you can click on close so next is to assign the baseline so we go back again to the project menu and this time around we click on assign baseline so we're - that already assigned baseline that we should assign the baseline so the project are the primary baseline so first of all I select I assign into the project as a baseline and then also I assign this new baseline as the primary baseline and then I click on ok so you men should do that we have written a baseline we have also assigned the baseline to the project next we're not gonna do the third fast there that is still on task 1.9 which is to display the baseline in our gun so to display the current baseline our Gantt charts into right click in your Gantt chart then click on bus so in the bar window that pops off check primary base line and then also check baseline milestone then click on apply then click on OK so you notice the baseline bars just appear on my on my Gantt charts you know the dr. yellow pada you see underneath the the green bars that you seen in my Gantt chart so that's exactly how to display your this line so if you finish that you have so once you're done with that then you're done with task 1.9 next is task one point one zero so that's one point one zero access to status our project using the following data so once again we go to the toolbar and click on the Status tab we we have to start off with us using data dates for 30th of January 2016 so I click on my browse button and then I go to year and then I moved to 2016 January 30th select it and then I shadow so the moment I do that it shadows based on the information that we have so you can see that activities here none show all red meaning that these are activities on the critical path and if you check my total floats column you can see that the activities all have negative float which indicates that typically we're gonna need an and modest to be able to get this that value over same so when we shadowed based on the new date who were given what our simply means is that as add that new date which in this case is dated of January 2016 what has not started so that's why you see all of those Pantani's is going so Nava you see as time is being spent work is not being done most of the activities become critical and then you begin to lose time and that's why you're seeing the minus as part of your total float ok so we also ask that the start master now as to report actual so for start milestone were to the actual date actual studied for that milestone which is activity 100 is 24th January 2016 so a select activity 100 then I come to my status tab and then I check started now romantic but notice that Finnish also gets checked that the reason is because this is an activity on the critical this is an amount on task with zero duration so that means once you started it gets finished automatically so this dotted beat is 24th of January
