How to properly present PowerPoint slides in Microsoft Teams

hi everyone my name is Kevin today I want to show you how you can best present PowerPoint slides in Microsoft teams and is full disclosure before we jump into this I work at Microsoft as a full time employee now all too often when you join a Microsoft teams meeting you see people present PowerPoint and it looks like this I don't know if you notice but there's a lot of PowerPoint Chrome there basically what people do is they open up PowerPoint they open up their slide deck that they need to share and then they go into Microsoft teams and they go and share the PowerPoint window now the problem is you have all the Chrome from PowerPoint there you have the ribbon you have the slides on the side the slide sorter so you have all of this distracting content appearing right along side the content or the slides that you want people to focus on so ideally what you want to do is you want the slide to use up the full screen when you're sharing your presentation now the problem with this is when you go into full screen presentation mode you can't see the team's chat you might miss out and people who are raising their hand and Microsoft team so that's why very frequently people will just open up PowerPoint share the window and then sometimes they'll try to reduce the size of the window or maybe they'll minimize the ribbon but today I want to show you a better way to do it so I'm going to show you two different ways where you could present your PowerPoint content and it'll use up the full screen and you can still engage in the chat you could still see which participants have raised their hands and it's actually very easy to do so why don't we jump on the PC and I'll show you step by step how you can do it all right here I am on my PC and I am in a meeting with my two friends Emily and Adele and today is my day to present a deck to both of them and so the typical way that most people share a PowerPoint presentation is you click on the share screen icon down here and it opens up all the different items you can share and frequently what happens is someone will simply click on the PowerPoint window or in other cases you could simply share your entire desktop which will also capture the point window I'm gonna go ahead and just share the PowerPoint window so here you see my presentation window and it seems nice I could see my slide here but let me show you what Adele sees so here I'm going to open up a Dells view and here you can see I have the PowerPoint ribbon on top I have all of the slideshow up on the left-hand side and once again all of this distracts from my content here which is the slide that I want people to pay attention to and so some of the things I might do is well maybe I reduce the ribbon maybe I reduce the amount of space that the slide sorter takes so I try to minimize that as much as possible but once again I'm going to open up Adela's view here and even here I still see a lot of distracting content on the side so how do we do it better well there is a way to do it better and what I'm going to do let's go back into Microsoft teams and I mentioned that I'm going to show two different methods one of them is we're gonna go ahead let's click on share screen again and within share screen you have desktop you have a window and then you also have PowerPoint as a category now right now there are no files available but what I could do is I see this text that says browse over on the right hand side I'm gonna go ahead and click on that and now what I can do is I could browse for content on teams and channels I could browse for content in my onedrive or it can even upload from my computer so let me go ahead and I'm going to click on upload from my computer and I'm gonna select this slide presentation now teams is uploading the slide in directly into teams and it's opening the presentation and so here you can see my presentation now so what I'm gonna do let's open up Adela's view once more and now what you see is it uses up the full screen there's no PowerPoint Chrome it's just a very clean and neat way to show my presentation back here in adele's view what I can also do is here Adele can even navigate through the slides as well so let's say that I'm really taking a long time describing this slide number one and Adele just loses her patience she can go ahead and navigate forward in the slide deck in fact another thing she could do is she could even take control of the presentation and take over from me this is the easiest way for someone L to jump in and then present on perhaps their portion of the deck you don't have to share screens back and forth instead you upload one copy of the deck and then Adele can take control and then she could also pass control back now one thing I could do is if I'm presenting maybe I don't want my attendees jumping throughout the slide because I want people to not only see what I'm seeing but I want them to hear me on every single slide and if they jump ahead they might be multitasking and they might not be paying attention I'm gonna go back to my view here in teams next to the slide advancement button or the slide forward button I also have the option to prevent participants from moving through shared presentations on their own and so if I click on this this will disallow Adele and Emily from moving ahead on their own so I'm gonna jump back in to Adele's view and here you see that I no longer have the ability to move forward and I no longer have the ability to move back so this is one really nice way to share a presentation it works really well and it's designed specifically for PowerPoint slides but let's say you feel more comfortable in the PowerPoint app can you also share in PowerPoint and have that look cleaner and yes you can do that so what I'm going to do let's stop presenting here and now I'm gonna go back to PowerPoint and show you how you get set a PowerPoint in an optimal way to share slides so let's bring the ribbon back here I'm gonna bring this back I'm also gonna expand the slide sorter over here on the slide and what we could do is here I'm gonna click on the slide show pivot and within the slide show pivot what we want to do is click on the option that says set up slideshow and within setup slideshow so by default the setting here for the show type is presented by a speaker full screen so typically what will happen is when you click on the present icon down here or even if you click on from beginning up here and you start a presentation what will happen is it takes over your full screen now what you could do once again on the slideshow pivot and set up slideshow you can change it to browse to by an individual window and you can change it to that and I'll show you what happens so now I'm gonna go from the beginning in my slide and you'll see here that PowerPoint is now presenting in a window instead of using the full screen and one thing you might have to do here if the window is a little larger so the height is greater than the width here for the slide or doesn't match the dimensions of the slide you'll get this black line on the top and bottom so what ideally you want to do is you want to basically set your window to match the dimensions of the slide here I have the slide ready to go so now what I'm going to do is I'm going to click on share again in Microsoft Teams and now I'm gonna click on PowerPoint so now it's sharing this window if I click on Emily's view you'll see that it's a very clean view of the PowerPoint slide and if I go back here like I said before you want to make sure you get the dimensions right because here if I have the height greater than the width and I go back into Emily's view I'll also see those black lines so ideally you want the dimensions of your window to match the dimensions of the slide now one thing with this approach is here if I go back to Emily's view you still see that I have the chrome up on top here from for PowerPoint and then I also have some chrome down here on the bottom but it's already a big step above what you get if you just simply share the PowerPoint window without putting it in presentation mode all right well that was a quick demonstration of how you can best present in Microsoft teams if you have a PowerPoint slide deck that you want to show others the benefit of this is you remove all the Chrome and it just leads to a cleaner presentation and people are able to focus on your content if you're gonna use this moving forward to present your PowerPoint slides in Microsoft teams please give this video a
