in this video we're going to go through a couple different ways that you can use the dashboarding feature in parbi we're going to go through them one by one and how I've actually utilized them in real life in the past all of that and more so without further Ado let's get started hi my name is fernan and welcome to the solutions abroad YouTube channel where we cover tips tricks and best practices when working with powerbi I upload new videos every week so make sure hit that subscribe button and the bell icon to get notified when a new one is out so dashboards in parbi is a feature that lets you curate your stories by letting you pin visuals from your reports into dashboards and adding details and insights to them dashboards in parb is not the same as reports which is what is commonly referred to and this weak naming convention makes it very difficult for new users or beginners to even know that there is a difference between dashboards or reports so from my perspective it's a very underutilized feature that exists in powerbi and as I mentioned it's not a very new feature it's been around for a very long time and although it's not a widely used feature of powerbi I have found myself in a situation in the past where I've had to use dashboards and today I'm going to go through some of those use cases so that hopefully it can help you as well so the first and most obvious use case of using dashboards is to create one pager reports or dashboards for your departments or for your users and this is basically the main use case of using dashboards with reports so let me actually just show it to you using some very simple examples so here I have created a report is a very simple report which is a HR centered sort of people analytics overview so it gives your organization some understanding over certain metrics and how they are performing in terms of sort of human capit Capital Management and we have drop down here the department drop down so at the moment it shows us how we are doing as an organization and we have a drop down here that lets us see how that performance is based on different departments so we might want to see finance department how they are doing or you know how it department is doing so from my experience when you're working with head of departments or SE Suite Executives usually when they look at reports they are looking for reports that just tells them the story with minimal interaction and you know having the ability to filter is great but sometimes they just want to see the story without needing to see the other options which are the different departments so the dashboards or creating the dashboards is one way to do this so let's say for example we are trying to create a summary for the head of finance and they're typically just interested in seeing the insights that are pertaining the finance metrics so they might not want to see the different options or what the headcount is for the whole organization they're only interested on the finance numbers so one option that you have is the dashboards so from here for example we have already filtered finance and we have the active headcounts card here so from here what you can do is Click pin visual which will let you pin the visual into a dashboard and we can create one here that is specifically for finance and what this pinning does is it pins that visual into the dashboard while saving the filters that you've applied to it so in which case since we have saved or we have filtered Finance it will always save the filter to always apply the finance filter to our active headcount card and what it can do is you can put it in a dashboard and call it Finance which means that every single visual or insights that you have in this dashboard will just be related to finance so this gives your executive a One-Stop shop of where to go if they want to get a summary of how Finance is doing so I use dashboards like this in the past because it has given me a lot of flexibility when it comes to kind of curating stories that are normally not typically easily done in a reports that Services you know the whole organization you know I've had instances where I've had to use dashboards because some of the inside that some of the Departments wanted were too specific for that department but doesn't apply to all of the Departments or maybe just that the design or what they wanted to show on the reports just didn't have enough space in the reports to actually put in the second way that I've used dashboards extensively in the past is by uh using the triggers for alerting in dashboards now this feature is something that I covered in a previous video already in a couple of videos in the past actually and what's interesting about this feature is that it it's not very obvious where it works so it only works in dashboards so not in reports there is a new feature uh with the data activator but this alerting feature in dashboards have been around for ages but it's very difficult to find first of all as I mentioned because this only works in dashboards and second of all it doesn't work on all of the visuals so the typical visual that I use it with is with the card Visual and essentially you will find it by clicking the ellipses icon and clicking manage alerts on the visuals that you've pinned in dashboards so these alerts let you set some rules and alerts to happen when certain thresholds have been met so maybe you have a headcount that you're trying to reach or maybe other other thresholds that you want to check and get alerted with so this feature is very handy for those types of scenarios so the third and last thing that I've used dashboards in the past is a way to navigate between different reports within organization app so organization apps if you don't know yet is a way to bundle up you know different parbi items within the same workspace into a sort of one app bundle which lets you see all of those items in one place very easily now because these items that you have in the organization apps are separated by default because they are essentially a collection of reports and dashboards having a way to navigate around them apart from you know the obvious left hand side navigation pane is not the easiest thing or I don't even think it's possible by creating buttons in between reports so for sure if you can create buttons in these reports that link to other reports it will open up a new tab but it doesn't work as you know as you would expect because it doesn't just open up the report in the same tab where you have the app open so let me show you an example of what I mean so we have let's say an app here here so let me just see if I can update the app and let's get a URL to show you how the app looks like so this is how the app in the content section looks like so we have two reports here which are both sort of HR Centric reports and let's say we wanted to have a button in this page that goes to the recruitment page now you might think it's just a matter of setting up a button to go to the recruitment reports but if you do that and just copy and paste the URL for the report it won't work in a means that it will just navigate you there it will open up a new completely new tab which sort of breaks the illusion of all of these reports being sort of One Suite so the dashboards give you a very simple and easy way to create those navigations for yourself and fairly easily if I made ads so let's let me show you how I've done it so I'm going to create let's create a new dashboard just so that I can um I can show you so maybe we we'll just repurpose the finance one I'm going to delete this tile I'm going to edit let's add a new tile okay and we're going to add let's just add a text box for now I'm just going to call it go to people and diversity so just to keep it simple I'm not going to do any editing we're just going to add simply add tiles here and just add links on them so that you can see how they actually work in real time so go to recruitment but obviously you can make it look more fancy make the dashboard look you know better than this but I'm just going to show you the function and how it works so in this Tile For example we'll click edit tiles and then at the bottom you'll see that uh you can take this option set custom link now you can set up an external link or you can set up a link to go to a certain report in the current workspace so let's just say let's go to people and diversity that's it that's all you need to set up so let's do the same thing in this one let's set the custom link link to a report go to recruitment if now you hit apply you go back to your app add it add it as a landing page so typically it will be like the first one so the first one that your users will will see so we just move everything like this so that's the first basically landing page that they get to hit update and now let's go to the app and let's see how that works okay okay so here we are now in the app itself we have the landing page here which which is at the very top typically it will be like table of contents or landing page kind of page we've added the dashboard now in this app and we have these two buttons so if we click on this one as you can see it takes you to that report and you click the second one it takes you to the the second report without opening up a new tab and that's really it so those were some of my ideas of how you can utilize dashboards you know within your implementation so I hope that has given you some inspiration of some of
