Using Power Automate to Refresh Data In Power BI

[Music] [Music] hi my name is zoe douglas and here i'm going to demonstrate how you can use power automate in power bi to create a button within the report that will actually refresh the data for the end user so here i have my power bi report and this is a grab the top 100 last post in the power bi community desktop forum um and here you know i don't need this on a regular refresh just when i'm going to look at it do i want to really open it up and then refresh the data okay so to go about doing this what i'm going to do is i'm going to go over here to get more visuals to the app so app source and i'm going to look for power automate [Music] okay so i see power automate here and i'm going to click add [Music] okay thank you so we see here the power automate is over here in our available visuals i'm going to click on it and it will create one on my report there's a lot of information here but all you have to do is click down here on the three dots and choose edit now what this does is it opens up the power automate screen in power bi just like it would if you went to flow.microsoft.com and created a flow that way here i'm going to create a new flow and i'm going to do an instant cloud flow [Music] and that just means there's no real trigger except for the button that i want to press in power bi so here you see that power bi button clicked i don't have to do anything here um it's already figured how to do that um and i'm going to do next step and i'm actually going to go to power bi and click here in power bi and i see i have four actions available i want to do the refresh data set because it already knows who i am it's already authenticated i just have to go here and it will show me a list of all my workspaces i published it to the community one um that's one i already created and it's where i've published a report and i'm going to go ahead and pick the report which i named refresh with power automate then i click save [Music] so at this point it's saving over here it's all saved and my flow is done so i don't hit back to report just yet i'm going to go ahead and click the back button up here and you'll see this is my flow but i want to actually go back to my list of flows and now i'll see that one that i created so i'm gonna click here and i can hit apply here and if i zoom out a minute you can also click the check mark over here to apply it so that's how you associate here so i see the green message that i have successfully applied um this flow now i'm going to go up here to back to report [Music] now i have a very large button on my report so i'm going to make that a little bit smaller and put it up here in the top still a little bit smaller there we go okay and then i can go over here into the format and i can change the button text here so i'm going to change it to refresh data [Music] and i can change the fill so i can change it to say let's change it to this blue color now you see my button is now if you wanted to test it out while you have it in power bi desktop it's just like any other button just hold down control and click on it um but i'm not gonna i already i think it's gonna work so i'm just gonna save it and publish up and show you what it looks like on the service so here we go i'm going to publish it so again to where i published it before replacing what i had done okay now i'm going to click on the report to open it up here okay and now i'm going to click this button and it's going to trigger that refresh now it's not going to be able to report back if it succeeded or failed it's just really going to trigger the flow if you want to check out the status if you know how long a report refreshes you just wait and refresh it to see if it updates or not but you can also go to your flows here is so if i go to flow.microsoft.com log in you can see the one i just created and if you click here it will show you the 28 day history so i can see that i ran it took about a second and it was successful and if i go back to my report and refresh it i think it goes 1102 down there and refresh it and see if this new data coming in and we see the new data we see some stuff from 7 p.m and i can click on and you can see the data and all is good um hope this helpful to you and um have fun with power bi hey everyone thanks for tuning in to enterprise dna tv if you enjoyed the contents covered in this particular tutorial please throw the video a like it really helps us and we really appreciate it also don't forget to subscribe to the enterprise dna tv channel we have a huge amount of content coming out all the time from myself and a range of content creators all dedicated to improving the way that you use power bi and the power platform lastly check out enterprise dna's website plenty of resources and further learning that you can access very easily all the best take you
