How to Use Zapier - Beginner to Expert Tutorial

hey it's nathan williams with crazy marketing in this video we're going to do a zapier master class now that basically means that it's a tutorial that'll take you from beginner to intermediate slash expert slash you'll feel more comfortable using zapier after watching this video so if you feel uncomfortable with zapier this video is here for you and the reason i'm making this video is because i get a lot of questions about zapier and to be honest zapier is not that complicated it's a pretty simple straightforward tool but i think it's kind of intimidating from the outside looking in it's like there's so many options it integrates with so many different applications like it feels overwhelming but i think once you watch this video you'll see that it's actually pretty simple pretty straightforward and easy to use so anyway in this video i'll do a quick intro of what zapier is then we'll do an app to app integration so you can see how that works and that's you know how most uh zaps are created then we'll do a web hook to an app so you might want to do this if like your tool is not in zapier like if you don't have an application or tool that can be found in zapier maybe your tool still pushes web hooks if it pushes web hooks you can still use zapier to automate a bunch of different tasks and processes and all that other stuff and so we'll use a built-in app to do that so we'll talk a little bit about the built-in apps that zapier has to offer and then we'll talk a little bit about helpers in particular paths so we're trying to cover everything in here um again give you an overview and understanding of the of zapier and how it all works so you can be comfortable so anyway this is zapier again connect your apps and automate workflows so basically what it does is allows you to connect one app to another app and to another app and another app and another app if you want to you can make very sophisticated zaps but basically what you why you might want to connect apps together is like if you have somebody filling out a form like i don't know on click funnels fill out a form on click funnels and you want to push that information onto like a google sheet for example so there's no easy way to get a click funnels form fill out onto a google sheet unless you use zapier so that's one instance of when zapier could be handy and you know there's dozens if not thousands of other opportunities but you go ahead and check out this page if you need to um i just want to show you some of the apps that it works with you know there's over 2000 apps so i'm obviously not going to show you all 2000 apps but i'll show you the concepts behind using zapier and then hopefully you can make it work but see google sheets is a big one again you're pushing information from one one system one platform into google sheets and you know you can do a lot of stuff with a spreadsheet so just a matter of getting that information on the spreadsheet and zapier can help you do that and it grates with gmail google calendar twitter active campaign airtable facebook pages calendly gravity forms dropbox shopify pinterest todoist you know the the list is endless so anyway a lot of different applications that you can go ahead and connect together i'm going to go ahead and log in real quick so that way we can go ahead and set up a zap together so let me go ahead and log in and so here i am all logged in now i want to come up to the left side here and just do make a zap and this is where the magic happens this is where you create the zaps so the first thing we need to go ahead and do is when this happens we need to choose an app so what we're going to do is we're going to pick an app and we're going to watch for something to happen with that application so you know here we go we select our apps so activecampaign aweber calendly click funnels you go ahead and search for applications you can show more applications you know let's list is endless here's the built-in apps that we'll kind of go over in a minute here so we'll check that out in particular the web hooks option but anyway we're gonna go app to app here and for my particular example i'm gonna go ahead and select click funnels now the same concept applies whether you select click funnels or some other app basically you're watching for an event in this application so i'm watching for an event in click funnels and i got to go ahead and choose my event so we got a bunch of different options here like new contact activity new successful purchase new fail purchase and what i want to go ahead and do is go for new successful purchase i'm going to select that option so what it's doing is going to watch for a new successful purchase in click funnels right that makes some sense hit continue and then we go ahead and select whatever click funnels account we want to go ahead and watch so i'll go ahead and select my particular click funnels account and if you haven't connected your account yet like it'll give you steps to follow if you need to go ahead and connect your account or you can go ahead and edit accounts and you can go ahead and add new accounts over on this page if you want to you'll just find whatever application you're looking for and it'll tell you how to go ahead and connect it to zapier it's usually very simple step-by-step process so depending on what application you have you know the steps might be different but zapier gives you good clear instructions on how to connect that application i've already connected my clickfunnels account so i'm good here i'll go ahead hit go ahead and hit continue now and now we go ahead and pick what options we want to go ahead and watch for so we can do you know what funnels we want to watch for and i'm going to go ahead and select funnel here and go to aliexpress funnel so i want to watch my aliexpress funnel we can go ahead and pick which funnel steps we want to watch for so the steps in my funnel i'm going to go funnel step i'm just going to do my initial offer now obviously if you're using a different application in click funnels you're going to have some different options here you're not going to be selecting your funnel or funnel step if you're not using click funnels right but you know it'll be self-explanatory we'll come on down here hit continue now and now what it's going to do is want to test to pull in some test information so i'm going to go ahead and do test trigger and so after waiting like 30 seconds or so it found a purchase so i can come in here and i can kind of look through this information and see like what it found so like i have to see the name i see how much was paid and i see all this different type of information that was brought from click funnels into zapier here so there's a lot of information that was captured and i can go ahead and do stuff with it later on now one thing to note if you click to test your trigger and it's like sitting trying to find data for a long time like you might need to go to your tool your application that you're trying to connect and go ahead and trigger it so in my case i might need to go over to click funnels and do a purchase real quick so that way zapier could catch that information and you know use it and reference it for building your your zap so i just want to point that out there if it can't find data you have to go you got have to go do something to trigger it so whatever that trigger is that you set up you need to go ahead and do i'm gonna go ahead and hit continue now and so now we're on to step two so do this so once this happens a new successful purchase and click funnels then do this and in my particular case i'm just going to go ahead and push this order to a google sheet so i'll select google sheets here and so i can go ahead and create a spreadsheet row update spreadsheet row create a worksheet look up spreadsheet row where there's seven more events and you can browse through here and you know select what's relevant i'm gonna go ahead and do create a spreadsheet row and continue and then i gotta go ahead and select my google sheets account so same type of steps previously used so i'm going to go ahead and select my appropriate account and continue and then it asks me a few questions like what spreadsheet to update and which worksheet so i'll go ahead and select the spreadsheet so here's my spreadsheet that i created so i'll select that option here and then i go ahead and select which worksheet i want to go ahead and update and it's just sheet one right here and then what it did was it pulled in all of the columns i've already created in that spreadsheet so let's take a look at my spreadsheet real quick so i've got order date product paid first name last name email phone yada yada right so it pulled in all of the information on this first row here and now i see it here in zapier and so the first field i have is order date and i could go ahead and click into this box and i could go ahead and search for some information that clickfunnels passed over into zapier here so i could look at all options and i could scroll through here and see if anything says something about date or time or anything like that i could search for it so i could search for like date and see if there's anything that says something about order date or anything like that um i'm not seeing anything i've already looked before so i know that it's not in here but what i could go ahead and do is like zapier does have some codes we can go ahead and use it's like i have zap meta human now i could go ahead and grab this code right here and when i enter this information into here basically it's going to enter the current date and time in this particular field and i'll be sure to link to this article over here so if you want to use timestamp information you could go ahead and use it there's some other options as well so i'll try and link to those articles below this video so you can learn more about some of the the zap fields you could go ahead and use so we got that one there then we'll come in here and we can look up like product product it's a product name right here so get their product name in here if you want to or a product statement descriptor you know you can select whichever um variable or field makes sense for what you want to track so just for my particular case i'll just throw product name in here and the next field is paid so this is like the amount somebody paid so maybe i'll search for paid uh or maybe amount so sometimes it takes a little bit of time to try and figure out you know what the correct field is especially when they pass through a lot of information like click funnels passes a lot of information into zapier so there's a lot to go through but some other programs they don't pass as much information and it's a lot easier to kind of sort through things but here we go original amount sense so i could throw that in there i also want to point out that you can do like math so i have you know 1 493 cents or and i could go ahead and divide it by 100 so then it would put in like 1493 into my google sheet so you can do math in these fields as well and basically i'll just go down this list and add you know name so here's contact first name and throw that in there i could do the same with last name email phone etc i think you get the point you just go through here and match up the information click funnels pushes or the first app and you match it up to where you wanted to go in the second app which in my case is google sheets right so make some sense i'll go ahead and hit continue now and it gives us some sample information and it wants us to go ahead and test to make sure that it is working so send test spreadsheet row to google sheets so i recommend testing it you know make sure it's working like you think it should so i'll do test and let's see what happens over here in our google sheets so we have our test information coming through so we got order date we got our product information we have the amount they paid and so there's a little issue right here it looks like right because it should be doing some math and then we have the first name and then of course if i filled out the fields you know it pushed that information as well but that's essentially how it works if i needed to go back and edit it i could come back up here and click into here and be like okay so i should put an equal sign at the beginning of this field so that way it'll do math in my google sheet so i just want to point that out that you can go ahead and add you know custom language on either side of these variables that you're adding here if you want to as well so it's real real flexible i can go ahead and continue now and i can go ahead and retest my action if i want to so boom boom let's come over here and now we see that my math actually worked properly it passed information over and now i see 14.93 so awesome it looks like it's working so when i'm happy i'm just go ahead and turn on zap and now your zap is on i can go to my zaps now and now i see all the zaps that i've created and of course you can go ahead and add them to folders and organize them turn them on and off and all sorts of other stuff that's pretty self-explanatory concept i'm not going to spend time showing you how to create a folder um it's simple press the plus button put the zap in the folder easy enough to do so that right there is how you connect one app to another app as you can tell it's pretty simple once you actually get into it like it makes sense you grabs information from one app and you push it into another application pretty self-explanatory it just it does seem intimidating with how much information gets passed over and how many fields and how to connect them and all that stuff but once you've done it once or twice like it's pretty simple thing to do the next thing i want to show you is web hooks to an application so you know zapier they have over 2000 apps that they integrate with already however you know that means there's thousands tens of thousands of apps that they don't integrate with already however a lot of apps do push web hooks somehow so back in the olden days woocommerce did not integrate with zapier i see that they now integrate with zapier so that's cool but in the olden days woocommerce did not integrate with zapier but woocommerce would push web hooks so i use those web hooks to connect to zapier and then to push that information into other programs so webhook it can be very flexible and helpful because a lot of programs do push web hooks so if your program that you're using and trying to connect somewhere does not connect to zapier see if it has a web hook option if it has a web hook option you can you're still you're still good you're still in the game so that's why i want to show you this is because uh web hooks can be very valuable especially when the app isn't in zapier all right so just to test it i'm going to use active campaign because i can easily create a web hook in activecampaign so that's why i'm using activecampaign but if you're using a different tool that pushes web hooks the concept remains the same i'm going to come back over to zapier now i'm going to go ahead and turn off this one zap that we just created because i'm i'm at my account max and i don't want them to yell at me or charge me more money and i'm just going to go ahead and do create a zap and so now we're going to select our trigger app so when this happens and we're going to come down here to these built-in apps and i'll spend a minute to talk about these built-in apps so we have code by zapier so if you're familiar with code you can go ahead and write code that zapier or execute and do stuff with so that could be handy if you're familiar with code i've never used it myself but it's out there email parser this one's pretty cool basically how it works is if you you send an email to a zapier email address like they're going to give you an email address and like you can use your program or tool to send an email to that email address zapier can read that email and extract information out of that email and then use that information to push to another application so if you don't have a web hook as part of your tool maybe your tool sends emails out in which case you could send it to zapier here and zapier can do stuff with it so email parser by zapier could be beneficial as well as web hooks by zapier so i just wanted to show you or talk about that real quick because that can be very handy i'm at by zapier something with email never done at rss by zapier so it can read rss feeds scheduled by zapier so if you want to zap the fire off at certain dates and times you could go ahead and set that up so that can be very handy like if you want something to run you know every day at noon or something like that you could go ahead and use schedule by zapier to go ahead and do that so that could be handy weather by zapier also can be very handy like if you want to know when it's raining or hot or whatever you could go ahead and use a trigger right here based off the weather so you know that's been official web hook which we're going to use here also email by zapier so zapier can send emails on your behalf we do show more and there's a couple other ones zapier manager and push by zapier i'm not exactly sure what either of these ones do never done them but they're out here and if you want to experiment with them by all means go for it all right so we're gonna do web hooks by zapier again because a lot of tools they will push a web hook even if they're not a zapier tool if they push a web hook we can play with it all right so we got web hooks by zapier so we can retrieve a poll so pull url and look for new entries or we can catch hook which is what we're going to do here so we're going to wait for information to get pushed into zapier so that's what we're going to do or we can go ahead and catch a raw hook which is basically like catching a hook but there's like a lot more information and it's kind of complicated we're just go simple catch a hook and hit continue now and so it gives us a web hook url right here so we want to go ahead and do is copy that url and i'm going to come over to my active campaign and i'm going to come in here and set up the web hook and web hook down here throw in this url and hit save and again just because i'm using active campaign doesn't mean it work doesn't work similar in another application so if you have another tool like for that web hook area paste your web hook address in that in that field so basically what that means is every time this web hook is triggered it's going to send information into zapier and zapier will catch it and we can do stuff with it all right let's come back over here real quick so i did that we have silent mode child keys not not important here if you need to read more about child keys and all that stuff by all means you can do it we don't need it we can go ahead and test our trigger now so let me test the trigger and we couldn't find a request okay so i'm gonna need to go trigger my web hooks i'm gonna go ahead and trigger this web hook real quick by triggering this automation so i'll just go in find my contact and add them to this automation which will trigger the web hook so i'll do that real quick all right so i just sent someone through this automation to trigger the web hook so i'll come back over here test trigger again and we see now i have information so we see that we have like the contact id the email address the name so all this information that this is all the information that activecampaign pushed to zapier via the web hook so other applications they're going to push information from that tool that program into zapier via the web hook so that's how web hook essentially works is by pushing that information over here we'll come on down here and continue and then the process for the the do app is the same as before so i'm gonna go really quickly through here i'm just gonna go ahead and select the google sheet we'll go ahead and create a spreadsheet row hit continue and then i go ahead and select my google sheet account and i'll hit continue now and i'll go ahead and select my spreadsheet and the worksheet i want to go ahead and update and then i go ahead and i select my fields right so i can do first name and it's like my name here i can go ahead and do my last name last name and we got my email address so i can come in here show all options email address and so on so just down the list just like normal come down here hit continue and we'll test and continue and i could go check out my spreadsheet real quick and we see that it populated my name and email address and it didn't do any of this other information because i didn't fill those fields out right so that seems to work so i'll go with turn on zap now and now go back to my zaps and so just like that i've gone ahead and set up a web hook in my application which was activecampaign which pushes information into zapier zapier reads that information and lets me pull out whatever variables and data that i want to go ahead and push into another application which in my case was google sheets so hopefully that's making some sense on how to use web hooks and so now let's move on to the last part of our video here which is using helpers or pads or making more complex zaps so come back over here to zapier and i'll go ahead and pop open my zap here and you'll notice now that there are plus buttons between my my trigger up here so i'm catching a hook up here and i'm doing this over here but i got a bunch of different pluses here so i can add more stuff if i want to so for example if i want to update two different apps so i want to update google sheets and another application maybe i want to update i don't know like salesforce or something like that so i could go ahead and connect salesforce as well so i'm updating both google sheets and salesforce at the same time i could do that within one zap so that's pretty cool handy stuff if i want to delete it just click these little three dots here and delete it out of there and really delete and boom just like that it's gone but i just wanted to show you can update multiple apps all at one time so that could be very beneficial if you need to you know pass that customer information into a bunch of different platforms and now let's come back in here and talk about helpers for a minute in particular pass so i'll show you how pass works in just a second here but then we have filters as well so filters allow only allow exact to proceed when certain conditions are met so you can set up a filter that if like a certain field so we catch a hook in here so at first name you know contains and n in it in that case we'll go ahead and continue with our zap so filters can be very beneficial if you need to like exclude information from coming through your zap filters could be a great way to do that one instance where i've used this is like with stripe payments like stripe will send you like a lot of information and you might need to filter out some of that information and so using a filter like this can be very beneficial so filters can be be beneficial i think i said it several times i think you can imagine how they could possibly work and then definitely come in handy if you need them a delay can be good as well so if you need to like delay between two different steps happening you could add a delay pretty self-explanatory of how that works you can select different minutes hours days etc between the different steps as somebody would go through your zap you could also use the formatter to change how incoming data is formatted for later steps so if you want to make it all capitalized or something like that you can go ahead and use the formatter to capitalize like the email address or the name or whatever it might be the formatter could be handy for that paths so this is like a newer feature but it can be very very beneficial so basically somebody comes down here and based on whatever conditions you set they'll go down different paths so maybe you set up a path for somebody that spends like over a hundred dollars and another path for people that spend less than a hundred dollars or something simple like that right you want the the cheaper people to go down this one path and the more you know expensive people to go down another path where you might give them you know you might call them and thank them for their order or something like that right so that that's one situation where you might use paths just for hypothetical purposes there are many other reasons to use paths but i wanted to just show it to you real quick because it's very cool very handy especially if you need it so we have path a and path b we come in here hit edit and now we're editing path a so when this happens path a we want to go ahead and do something and we go ahead and set up our filter so this works just like the other filter so we catch our hook and just for the sake of example because i don't have dollar values i'll just say if the contact first name contains an n in it then we'll go ahead and go down path a and i'll just say continue real quick and let me come back up here to the name so uh name contains n so that way i know path a his name contains n i'll hit done editing and do this so what i want to do if the person's name contains n while i'll push him to a google sheet and i'd go through this whole process uh that we've gone through several times so that that's what happens if the name contains n i can go ahead and close this out now and then if the name does not contain an n so path b we can do something else and be like ignore those people because they're probably bad people so name does not contain n and then continue and i'll set up my filter over here so catch hook first name does not contain n right so continue and then i just go through the same process do this i'd go ahead and well maybe i wouldn't do anything maybe i'd ignore them be like i don't like those people at all or or whatever it might be right so hopefully that makes some sense uh basically it gives you the power to create different paths based off of your filters that you've set up so in this case name contains n does not contain and you can add multiple paths um depending on what you're trying to accomplish with your zap but i think you can see how powerful and beneficial these paths can be and so that's pretty much it for this video i think we covered quite a bit of stuff and hopefully you can see now that zapier is not as complicated or as intimidating as it kind of seems yes there's 2000 different applications you can connect with each other you can you know add a bunch of steps in here they have delays and filters and paths and formatting and they have a bunch of different stuff and it seems overwhelming but when you think through whatever problem it is that you're having like you want a contact to go from this application to this application well then you just go to zapier and you figure out how to make that happen like it's it's not as complicated as you might as it might seem just go into it play around with it it's pretty intuitive pretty easy to use as you can see by this example video right here hopefully you found it helpful if you did i appreciate any sorts of likes comments subscribes anything like that and
