morning saying I'm speaking at 7 a.m. and nobody's gonna be there I was so worried I 24 years I've been in this business and I've never had a speaking engagement at 7 a.m. so I thought alright because we got the video camera here today I thought all right well you know if 20 people show up 20 people show up right so thank you so much for getting up really early today my name is sherry Jevons I'm president of power presentations my company does presentation and communication skills training whether you're standing seated or virtual been in business 24 years as I just mentioned and really happy to come and speak at Sherm this is the first time I've been invited to speak at Sherm International so I am very very excited to be here I was walking around the room a little bit earlier today and one of the things about when I speak like this particularly on a platform is I really want people to walk out with something tangible and most of the training that we do is very hands-on lots of personalized coaching lots of helping the individual become better right so when ice like this I'm always wanting to say what are the Nuggets what are the walkaway factors because I can certainly get up here and tell you a bunch of things but what I really like to do is have you see transformation occur in order for that to happen I am gonna ask for volunteers today so first I was worried nobody was going to show now I'm where he know he's gonna volunteer because the room is so big all right but I will tell you the power and what I do today is really not just telling you how to take command of the room but actually coaching somebody to take command of the room and that's what's powerful so as you're sitting there watching me present and you're thinking about your circumstances all I'm gonna say is I am gonna ask for some volunteers and I will tell you this I will make you look good up here I promise all right I will not tear you down I will definitely build you up and for those of you that are in circumstances where you're really wanting to elevate your career where you really have that leadership position or you're moving into that leadership position the way you command the room seated standing small group large group really does impact your bottom line career it does so I want to talk to you about a couple things that can really help you do that so let's get started oh this is up there there's a little sheet I just and I realize I left it on the floor so I'll get it and a lot of you've been receiving this it's just a little sheet that you can fill out we're going to give you lots of things tools to take away we have free webinars that were educational webinars I have organizational formats that I'm going to be able to send to all of you that I'll be referring to if you decide you'd like to have that we're happy to send it to you these are up here and on the two side tables and on the back table and then they've been handing them out so if you want to be able to do that please make sure you fill one of these out so this is really it standing out from the crowd really having that impact what is it what does it take well the situation might be guess you got to really push it the situation is the very first thing I want to talk about is content how to put high quality 60 second wow content together when you're in those meetings whether you organize it and put it together on an agenda whether it's off the fly right off the cuff so I'm going to give you some tips on that that's gonna be one of the handouts that you can also have as well the second thing is we're going to refer and just remind you of the various kinds of meeting rolls you can take a couple of you when I was speaking to you said you know I've just moved into a leadership position and I really want to have a voice I heard one of you said you know I get into the meeting and I feel like I just kind of drown in like everybody's talking everybody's trying to take control and I don't feel like I have a voice what can I do so I'm going to talk about various meeting roles not only when you're in charge but then we're near participating the meeting to make sure that people see you as credible as as knowledgeable as somebody who is a go-to person then I'm gonna start to have some fun we're gonna think about the volunteers I'm actually going to do speech class one-on-one for just a little bit and talk about the physical skills that really have the impact and I'll talk about those skills and you'll say okay geez you know this is really basic but hang on to your seat because yes I'm going to talk about those but then I'm going to ask for volunteers now I think we'll do the volunteers so that it's not too intimidating I'll probably have the volunteers speak down here unless they say they're okay coming up here because it's a little bit you know you're up here and you see all these faces and you can kind of get distracted by that and I don't want that I'll make the room small off she cut up the room a little bit for the presenter and we will just say don't worry about the back of the room they don't exist pretend there's a wall and you'll just be talking to like twenty or thirty people okay and then they'll have my volunteers so let's get started 92nd while to crowd meeting kickoff so let's set the scene you're going into a meeting and sometimes those meetings can get kind of round-robin right like everybody starts talking it's hard to get that voice in there what I want to be able to do is have you every single time have a new cadence when you're in those meetings so this is the handout that you're gonna get later on if you'd like to have it but let's just it's real basic and the reason why I like it nice and simple is because when you're seated in a meeting and maybe you didn't properly prepare something or maybe it's just your turn to comment on a project that you're working on you want to have that impact so in 60 seconds here's I want you to say first thing is goal statement second thing is current situation third thing is what is what is my agenda today or what is it that I want to talk about now let's go over each one of those and I want you to know what I mean by that and then we'll kind of experiment with that all right you're in the meeting somebody says Talia what there's Italian in here by the way because I met her where is she hi there she is Talia I know you're working on the ABC project give me a high-level overview right and so sometimes we just kind of jump into these things what I want you to be able to say is think first and foremost who's in the room who are attending this meeting what is it that's most important to them what do they need what do they want what do they care about so it's a little bit difficult because you're sitting there thinking about the ABC project but I'm sitting there and saying to you think about who's there okay then they say tell me about the ABC project and you would normally launch and well the project is this and we're doing this we're doing that we're doing this no that's not what I want you to do what I want you to do is say what's most important about this project is the value of this project it will be so you immediately start using language that says here's why you need to know about this project so if you're thinking about who's in the room director of operations finance people who was ever there you're thinking why would they care about this project the what's in it for them their big takeaway why should they listen to you so if you want to have impact you say well what's most important about the project project ABC is that it's going to save us time and increase our productivity when we're working on of above they go oh tell me more so this one sentence statement is the kind of statement that that executive or that manager or that person in the room would say hmm tell me more it's not well the ABC project is this this this this that's not what you're gonna lead with you'll say what's most important is ok now I've got a series of lead-in statements that I'm gonna give you in the handout as well and I think there I think there might even be posting the handout on the website but I'm not sure so but I definitely if you fill up the form I'll definitely send it to you the whole thing now the next slide remember I still haven't gotten into what the project is yet the next slide or the next thing I want you to say is here's the challenge or circumstance or problem that we're trying to solve here's the challenge circumstance or problem we are trying to solve so you lead off and say what's most important to you about the ABC project is increased productivity reduce fish up increased efficiencies alright reduce cost and then the second thing you say is the problem we're trying to solve is we've got too many people we don't have automation we've got challenges with because that's what matters to the people in the room the third thing you say is so therefore let me tell a little bit about the project so what I'm really trying to do is I'm trying to increase your impact by just adding those two steps on the front end now you may have noticed that this deck is designed that way too in the beginning I said what's most important to you is take command of the room the situation is some of you are in high-profile meetings you might be new into leadership you might have been in meetings for a very very long time and had some issues or challenges so I would love to hear and I know the room is big and people tend to not want to volunteer as much but I would love to hear some of the challenges that you are facing in some of your meetings anybody willing to volunteer I've got to go ahead there's one way in the back I saw a hand way back there yep yes you the dark haired yeah with the glasses that's you okay can you stand for me please okay yep yes yes yes yes yes so she's in a board meeting and the board member because this is what executive do say get to the bottom line and I'm gonna go right back and you know what the bottom line is the first thing that should be coming out of your mouth that's exactly my point is it they're gonna come to meetings they don't want to hear a step-by-step ABC project they want to know why is this good for me okay so if you go to meetings and they say things like just bottom-line me by the way this is what I say to my team all the time bottom line me how much is it gonna cost me what do I need to do what do I need to sign you know I'm I am that person right so my team now uses this process every time sherry I need you to sign this because we're gonna be able to do this it's gonna cost you this much money Mike okay and then I'll say why you know and then they'll explain it to me but that's exactly what you want to do is lead with this one it's one sentence okay and other problems I saw some hands I saw yes ma'am you and all her in all guys some of you can relate yes The Observer mm-hmm okay so what she is saying is is that she attends the meetings that she's in a small company she's one female with a roomful of gentlemen and even though she's supposed to be in charge of that meeting they take over right they take over so a couple of things that you can do I just have a few more have a couple questions for you when you're having these meetings you said are there five to six did you say five to eight people that I hear that or not okay so it's her and three other people so I was gonna suggest in some of those circumstances that you can stand and present your ideas so that's what the first thing that I would try to do even if it's three or four people it can still be casual and you're not gonna first and and present the whole time you might say you know in order to get through this I want to cover take ten minutes and show you this information and you can just stand up so that's the first thing that I would start to doing is just taking physical command of the room right the second thing is is that I would be starting to talk about what is that agenda for the day and what are you trying to go through for the day but I also have some suggestions that are coming up here just right right in a few seconds it right after this about roles you can play in a meeting so even if you are not the one presenting or communicating but you want to still have a voice or you want to get your voice back in into the meeting like she's indicating they just kind of take over there's some roles that I want to remind you of that are going to be a value okay if you want that form you can fill that document on okay let's move on meeting rolls just goes right to the question that we were talking about she's in the meeting somehow it's gotten derailed she's lost control of the room what can she do in order to get back into the game so there's a variety of roles and you some of you see Gnaeus look some of this is review for you and I know that right but it's good to have them as reminders because you might say to yourself you know I'm pretty good at the mediating but I'm not as good at motivating right so be thinking about the various roles and the four roles I'm gonna go over our mediator neutralizer clarifier motivator you know what these are let's just hit them quickly that mediator if you're getting into those situations where they're taking over and one person's talking and another person's talking actually the two examples that I picked one of the rules you can take instead of trying to get back in there is just to mediate and to repeat back and say you know John I hear you saying this bill you're saying this these are two different viewpoints maybe we should spend some more time talking about these various viewpoints so getting your voice in there by being a good listener and deciding to help the room decipher what's going on because I do think that they tend to spin out of control and it kind of goes sideways if you can start organizing the meetings for them and just organizing their thoughts they'll kind of step back and go oh yeah no you're right Judy yep let's stay focused on this then so being a mediator is a very good role to have clarifying I have people go off on tangents right they start talking about things they go one direction two directions you can actually sometimes I'll even sit and take notes I'll be at a business meeting kind of witnessing what's happening because I've had me come in and I'll start taking keynotes and then I'll say so what I'm hearing saying is one two and three they'll go right yes so I'll literally write down what it is because they are going like this and sometimes it's hard to understand so that's a potential role you could take on either neutralizer reducing the defensive behavior what can you do how many of you play the role of neutralizer yes but sometimes that can get exhausting right particularly if there's lots of negative energy one of the first things I tell people their new neutralizers that's trying to change the energy in the room is again go back to my statement goal statement situation this is what I think we should talk about that goal situation agenda doesn't always have to be a Jenna could be topic it will rescue you so many times what I'm hearing is most important to the group is and it's a positive value statement I'm hearing that we've got some issues some challenges some problems I'd like to suggest we focus on the first problem problem number one so you're bringing them back together right be positive this is where we need to go this is where we're trying to head and then of course the motivator you know using positive language I think we all know that we're in human resources we we understand that but again I'm going back to that goal Simon what's most important to you is the value of understanding this is how we can help you we'll be all right so talked about content a little bit talked about rules you can play what are some of the other problems that you might have in meetings I'll come to this side of the room since I've given love to that side of the room yes yeah distractions with people on their iPhones or their computers it's really out of hand I this weekend I was at in actually in Asheville North Carolina and all my girlfriend's were taking their phones we're doing power walks they have their phones I make it my mission I leave that phone look I tried to pick a day where I'm not looking at it they're like they on their Facebook's I'm like why are you guys doing that just get away from it but how do we manage that how doesn't even manage it I'd like to know yes how do you manage it yeah and just puts it away yes how about when we go into the room and everybody's doing it how about people in like the middle yes oh so you put the information so they can get it on their phone oh I like that okay so if they're gonna be on their phone I don't be on their phone but make sure they're on their phone with the stuff that you want them to look at pretty good was there a suggestion over here I thought I saw a hand see I saw somebody move over there all right yes right right so I think the bottom line is here's we're not gonna win that battle right we're not gonna win that battle so what we really need to be doing is giving people the opportunity to do what they need to do which is check their phones okay so as much as I say start changing up these meetings I was talking to that she was over here the dark haired woman I was speaking to but she said they have three our executive board meetings well right there there's the problem okay so I will tell you meetings we're chunking information down of course I speak at all the training events ATD and training 2017 and all those training events and the bottom line is is everything has to be chunked down so it used to be would have hour-long meetings in 90 90 minute meetings you just you can't get people's attention anymore so I'm liking chunking things into thirty minute meetings and I'll tell you another thing that I've really moved my clients into and that's of virtual meetings and the reason and you'll say well wait and then they're really multitasking I'm talking virtual meetings where they're on webcam and I'm talking virtual meetings are on webcam where you're sharing a document and it's 30 minutes short small snippets of time so some of us have to rethink our culture and how we want to communicate information because anything past that 45 minute mark we're losing them they're feeling the need to urgency to go check that email right so switching up how we're putting our days together is is one of the first things I tell people to do anybody else I would suggest and what they do with the phones yes did you have a question okay you can ask something else right Wow getting people to show up they're not showing up what are you doing they're working at their desks okay do they just forget with it we won't ping them what we're gonna have to start giving presents oh by the way speaking of getting them to come to the meeting like I'm super excited I did not think that this room and get this full but in order to entice somebody to be a volunteer I'm gonna give presents I have to in time een literally it's like a game these days right but I have a present a good present that I'm going to give to entice people to come to meetings you know I haven't heard that um people not coming to the meetings I guess really maybe giving him more of a role in the meeting so that yes oh she has a suggestion yes please yes yes so she's talking about for those of you in the back she's talking about how to get people to a meeting and and people are digging into their work right so what she's saying is is it LinkedIn but what's it what's the mechanism what's this it's linked okay so it's a it's an automated system in link that she's talking about that it comes up on their computer and says this meeting will start in two minutes gives them the highlight tells them what the dial in and so forth so the the computer is prompting them now that you have to come to that meeting that's a very good idea yes yeah right she's talking about having the right people at the meeting you know that's a very good point people come to meetings they're like why am i there again I'm going back to that original statement of the goal current situation and agenda and that goal statement why are we here today what's in it for you it should apply to the people that are there and when you start thinking about who's in this meeting if the if the information that you have really doesn't apply to what they need to know then maybe they shouldn't be at that meeting right okay can I have a time check because I don't have my phone up here anything good because I've put my phone down same 727 perfect okay so I'm gonna move into these physical skills and it's gonna sound and look like speech class 101 hang on it's not gonna be speech class 101 I'm gonna go over these for about 10 minutes and then I will take I'll have plenty of time for those volunteers I'm probably gonna have three or four volunteers today and the fun part about being a volunteer on this coaching is it you'll walk out of here with very specific information about what you need to do to change your style tomorrow in a meeting okay so you'll say eye contact walk and plant square up and stand tall breathe and pause vocal variety and gestures and hands now I acknowledge that some of you are trying to have this take command of the room seated as well as standing so I'm going to be talking about these qualities seated versus standing bow I'll go back and forth between both okay first thing I want to go over with is eye contact you notice it says eye contact three to five seconds on individuals now most of you are mature business professionals that's why you come to conferences you're taking it to the next level you're saying wow this is so basic I'm gonna tell you something people go into meetings and what they do particularly if they're at a board meeting is and let's pretend this is my table and my board members are right here right because that's you where they are so my tables the blue carpet what happens is you're looking you're looking you're looking people bounce their eyes they bounce bounce bounce bounce how many of you lose your train of thought in an important meaning whether you're standing or City you lose your train of thought show of hands lose your train of thought okay I can fix it for you right now okay gonna fix it for you right now when you feel like you're losing your train of thought standing or seated it's 90% sure that you are moving your eyes too fast whether to the ceiling to the floor around all over you are moving your eyes too fast and when you move your eyes fast and of course if I were up here right now and I was doing this and I was doing this and I was looking back and moving forward moving my head around really quickly guess what else goes fast if your eyes go fast just shout out go ahead the brain so guess what happens if the eyes are going fast the brain is going fast what eventually happens after a while of doing that you freeze right you can't you're like yeah I caught the train wreck you're like you're going going you're muttering on and then boom you hit the wall so I can assure you if you're the person that gets into a meeting and you feel like particularly an important one one that you're feeling nervous about I'm not talking about your everyday regulars I'm talking about those meetings where it matters that day the very first thing you want to be thinking about beyond the content because of course content is king is staying physically settled and putting yourself in the room where you can see most of the people in the room and you're holding that eye contact really slow when I teach this and I'm going to teach it today by the way it transforms people and you are going to witness that today so you say well geez I contact I am telling you it's the dial it's the dial mover when I sit on a plane and people ask me what do you do for a living oh what's the number one skill or what's the what's the most important skill I need to know this is the one I tell them because when you have good eye contact your body aligns to an individual and when your body aligns to an individual your regular speaking pace tends to kick in then your gestures will kick in then your thoughts are more settled and your thought process will kick in when they go fast everything does not do well when they slow down everything goes well so if you want to take command of the room the two things I'll tell you that are big nuggets are number one most important the content goal current situation agenda and holding your eye contact longer on individuals you do those two things it'll be noticeable in the meeting tomorrow now how many of you do stand and speak to obviously crowds like this are a little bit unusual but how many of you actually do have to stand and present at your executive meetings or your board meetings and things of that nature good anybody speak more than ten people in the room yes fantastic you're gonna love this then and I'm doing it right now by the way you take a big room all right I've got a bigger right now I have three pockets and three pockets on each side I have my front pocket my middle pocket and my back pocket and I even have people standing the back so I got one two three here I've got one two and three so I have six pockets in this room that are going deep all right here's what I want you to do you mentally go in the room and I was doing that today you mentally go in the room and say what are my pockets you just you look at the pockets and you say okay what I need to do as a presenter I need to focus my energy to a pocket now notice and I'm overdoing it right now cuz now you're listening when I go to a pocket when I go to a pocket notice what I'm not doing I'm not looking at these people over there at all I'm not looking at them I'm not even looking at them I'm on my pocket and what I'm doing is I'm actually finding people in the room and even though I really can't see you that walk is it on my glasses on in the back I do see heads okay I can't see your eyes but I know you're back there I'm literally going to a person's face in the room and I'm looking at them and then in that pocket I'm going to a second person and then I'm going to a third person I am NOT moving around a lot I'm holding my energy on a pocket now the reason I do that is because fast eyes fast everything right fast eyes fast everything it doesn't go well when you go fast I don't care if there's five hundred people in the room it doesn't go well and today usually when I'm normally what I speak I'm moving all over the place and in fact when I came in here today guess where this was it was right here I'm like that's the worst spot for it because that means I can't move so I was gracious I said ma'am could you move as she looked at me like it's got a lot of wires I said yeah I know I'll help you because I wanted this thing out of the way because I need to move a little bit right I just need to move a little bit that's my style because I'm going to my packets I'm going to my packets now what's interesting is when you go to your pockets and you look at the diagram here you see all the other dots that aren't getting looked at but they're in the range of the pocket those people feel your connection and that's how you take command of the room you're not trying to look at everybody cuz you don't look at anybody when you do that and you'll notice people on TV if there's giving speeches you'll see you'll see some really hold and then you'll see some kind of doing this and you watch the individuals watch what happens to them when their heads moving like this they're usually gripping the lectern okay and they're and you're usually a little bit fast and their voice is using a little flatter okay but those that are looking out to the room you'll see that they'll have more annum now same as then you move you and you physically move now some of you go I don't like to move ok well then you've got to move your body your toes have to go alright here's my pocket your toes have to go your toes have to go I want to go you see I'm literally almost ramming into this thing here because it's really crowding my space right now now seated she's at the head of the table you're not always at the head of a table though for this example she is going to talk about the best place to sit when you're in a in a boardroom environment but she's looking over at one person I'm gonna go back ok she looks at one then she looks at another person on the same side of the room really holding on that same center then she's gonna look down at her nose that tricky one right there the looking down to the notes you have to look down there might be something to reference here's the key to your success to take command of the room that is finish your sentence when you're talking to somebody in the room stop look down silently silently read what's in front of you which by the way should take about 2 or 3 seconds not a long time then as you bring your eyes back up you resume speaking again why because the eyes need time to concentrate on the content so that you can have a good fluid flow of content and you can't talk and read at the same time hey what the newscasters are on do you watch the newscaster or their ticker tape which one you watch ticker tape newscaster here's the deal you can only watch one you've got two eyes they go the same direction they cannot look at both okay they're gonna look at either one or the other so when you are trying to take command of the room and you're just in a regular meeting I'm not talking anything fancy and you want to have definitive meant to make you stop talking you resume speaking and it's quick and it's sharp like that and what's interesting about that start stop start stop is it has a little bit of power to it has a punch like whoa you're talking talking talking what's most important we want to talk about is boom you hit it so that little stop start stop start really does have that punch now obviously this is only for walking when you're moving around here's what's very important eyes and toes have to go together eyes and toes have to go together if your head goes there and you just chose to go there and moving forward with normal strides now you sit normal strides really seriously you're telling us to have a normal stride it's interesting you know people will start to walk but don't want to go over there they'll be like sneaking they'll hold their eye contact here but they'll be on the sneak like this I'll be back I'm just gonna go see these guys just go you know and it's it and by the way when you do this when you haven't done this before it feels very stiff and robotic because my head's gonna go my whole body is gonna go okay my head's gonna go my whole body is gonna go and it feels really stiff to do this normally we're a little looser than that but when you're presenting on the platform when I say not this platform but when you're in front you want everything to go I'm gonna tell you why here in a second yeah you're gonna walk to people Oh turn it silently walk out of a u-shape u-shaped hardest type of room to speak and how many of you tend to have you shape the rooms where you speaking in them okay good luck with that I know I don't like I know the participants like them because they can talk to each other but you know it's hard because you get in there and they're like how do I get out of there what am I gonna do and then you're kind of you find yourself sort of backing up like this a little bit and you're talking and you're kind of easing back listen you get it over you there's only one way out turn around and walk out okay don't ease yourself back because you look tentative right you're kind of walking backwards you don't look incoming to the room so if you're gonna get in there go stop talking turn around walk out same with going to the screen you got to go to the big screen can't go to the big scar I can't go right now because I'd have to go down the steps but we'll pretend I'm walking on the screen you got to go to the big screen and point to it here's what you do you finish your sentence you stop talking when you walk and turn your back you're not going to talk like this once you get there you wait - you have eyeballs on somebody and then you start talking again that's a very take command of the room so I'll show you again you're you're standing on here talking you want to go back to the screen you've got lots of financials to present totally normal to do you can't remember the numbers folks don't try to memorize the numbers you'll won't you won't be able to it's very difficult unless you're like a super brilliant person which some of you are but most of us aren't you stop talking you walk back you read that number silently and you turn around and you deliver it okay there's no walking backwards squaring up and stand tall you're gonna see me again whether you're seated or standing shoulders hips toes all have to be square it all has to be square you're saying why is that I'll tell you why I want everybody in this room to stand up we're gonna play a little have do a little exercise it's right about now you're saying man I really need to go to the bathroom or I really need a cup of coffee yeah there's yeah let's stretch we might as well we just broke up okay all right here's what I want you to do I want everybody to point their toes towards the screen okay everybody and your body and your shoulders everybody's pointing there okay now what I want you to do keep your body there I want everybody's head to turn towards let's say towards me well you guys are gonna go farther go to the far corner as far as you can yeah okay now what I want you to do is I want when we talk to people we like to gesture towards them okay so I want you to take your hands and point them towards where you're looking put your hands were you looking yeah okay so you're twisted up right alright so here's the thing when you're presenting what do our hand when we gesture where do our hands go they go in front of us and they go straight out right so if your body's facing one way your hands are going to want to everybody stick their hands out kinda like this your hands want to go there but if your eyes are looking over there guess what your hands do they lock so your body will go here your head will be there and your hands these guys they get confused like what up what where can I go they don't know and so what happens is they lock or gentlemen they put their hands in the pockets because our hands want to go where our eyes are okay you can sit down so what does that mean to you in taking command of the room that means is is that just a little slight movement you look to the right you got to get the toes there because look at the body look at the movement of the hands so as I'm here look how little the movement is for my feet of course you can't see my feet waiting about but it's not moving a lot okay you move your toes but look at this it's like a three-quarter move it's almost like 45 percent okay they go forward that's all they do they can only go out towards where you're looking so this whole alignment piece is a big deal and when you're seated it's the same it's the same so that's why I said when you're in it when you're in a boardroom table you may not be able to be in the front but where do I want you in the boardroom table where do you think is the best place to sit in the boardroom table besides the very end the very middle the very middle nope not a good place you want to sit as close to the end as you possibly can so if you can't sit at the very end because maybe that's not your role maybe you're not the most important person in the room and that's not where you sit you want to sit as close to that end as possible because that gives you the most visibility to look as many people as you can so you're seated right on the edge of the end okay not in the middle because it has to do with eye contact it allows you to turn to as many as many people as you possibly can because the bots the hands just are forward and if the eyes got to go slow okay now interesting huh you never thought about that digit that your body's all twisted up that's why I don't lock me that's why I can't gesture that's why I wonder about my hands when I'm presenting what are nine words just shout them out ah you know all right so the second biggest credibility Buster that doesn't take command of the room is if you have a lot of these and let me tell you this I go back to that number one skill I say eye contact the more you have sustained eye contact with individuals in the room the fewer the non-words the faster your eyes move non words will increase because peoples are losing their train of thought so they'll say I'm in awe more often now you're gonna say well how do I get rid of these things you need to breathe and pause but it's not normal particularly if you're being in a room where everybody's talking and you can't get a word in edgewise but I'm going to tell you holding the eye contact sustained taking a breath by looking down at your notes looking back at the screen just those little tiny breaks not only creates a strong command for you but allows you to think clearly and be more decisive how do you have a fast speaking pace yes how many of you were told in a fast speaking pace that you need to slow down you just need to slow your roll right okay guess what I am giving the fast talkers permission to not slow down you're speaking pace yeah that's right yay why do you think that is when you try to slow down your speaking pace for that okay just somebody that's close by they can you you told your speech your child you speak fast okay have you tried to slow it down yeah as you get nervous it gets faster yes yes she comes becomes preoccupied with the slowing down and she's not thinking about what she's saying what else happens when you actually physically try to slow down you forget what you're saying but also things become a little stilted right like you start to lose your personality like everything slow I'm gonna speak slower now I'm gonna slow it down make sure they get it two things happen one everything goes flat everything is it sounds a little teacher like like okay children let's get focused here that's not gonna be your natural personality so I do not want you to slow down your speaking pace I want you to keep the same pace but what you have to do is be more thoughtful about taking a breath at the end of a sentence now I've given you some tips on that when you look down at documentation take a breath when you look back to a screen you finish what you're saying here you stop you turn around you take a breath like this you resume speaking but you've got to keep your pace going and insert the pauses then you'll sound slower you won't really technically be much slower when you actually speak it'll just sound slower to the room but then you'll maintain your authenticity because guess what voice drives hands so if the voice goes flat and down and slower so does the body so the gestures respond to what's coming out of the body the voice of the body all right I think I already said that we want you to project your voice now this isn't an obvious one but one of the things some of you were here when I was doing the the check the voice check and I one of the things that you become aware of when your speaker in here's I don't want my voice to be like bellowing out like I want to be able to have a speaking voice it's probably a little stronger than normal but I want the mic to push it out I don't want to be going okay for you those are you in the back of the room and you're like God you know chill out you don't need to shout when you're people this first I have two mics on today but you know the microphone will take the voice back there you don't need to shout back to them you want an authentic voice you want your everyday regular voice when you're speaking you can tell a story you can speak to the back of the room use people's names all of those things will help you look natural the gestures in the hands I started to demonstrate that and the big one is this you have got to have everything aligned in order to have good gestures these guys don't work unless the body and the eyes are going the same direction if the body is here the head is here the hands they don't do this and they don't do this they do this they lock all right I'm getting ready from and then above the table I'm getting ready for the volunteers yes I am okay so I'm gonna tell you the first thing I'm gonna my first giveaway come on oh it's in here so I can't be here tomorrow night I hear Harry Connick Jr's here did you know that okay well guess what the first hand I see go up gets my ticket I saw that hand right there you're gonna be my volunteer though right okay all right so I'm gonna get gonna be super cool so your name is what sir Rob okay Rob I saw some other hands too but I have presents for you not quite as good as Harry Connick jr. all right Rob other hands for volunteers I'm gonna take the gentleman right back there in the back yep and I spoke to you what is your name Preston that's right and I'm going to come over here right here your name brandy oh she says brandy you know the brand yeah I do know I know what that is and I'm looking forward to it too and I'll take out ladies right yeah I'm on the way in the back anybody okay gentlemen just go ahead and stand up yeah uh-huh what's your name Leo and I'll go away Oh ladies wait in the back I got you lady mm-hmm waiting a bit yep stand up what's your name grace grace do I know you I know it there's a lot of graces all right let's see how we do here I do um well my first one's gonna be Rob because listen I gotta make sure Rob gets up here cuz he and I earn is Harry Connick jr. ticket here so here's I'm you later but just focus on the people that are like right here and the people that are right there don't worry about the back right now okay so they don't exist pretend there's a wall there all right cuz then it just makes her a little bit smaller here's what you're gonna do you're just gonna state your name you're gonna state your title and you're gonna tell us about a project that you're currently working on okay that's it that's all I need you to do you're just telling these people very casually I know that you I'm not gonna mic him I guess I could mic them couldn't I but actually I know I don't want the handheld but thank you so much I'm actually gonna ask you to clip that on your pocket yeah just kind of clip it do I need to turn it on okay probably should have turn it on before I gave it to him yeah very good and there's an on button right there I just don't want your good with me touching you okay I just did so I just did you didn't really touch me okay well you know this is Society for human resources and I know all the touching them but all that's very sensitive so I want to make sure I'm following the rules all right so you're just going to tell these folks my name title a little bit about a project I'm working on hey guys you have a job and here's your job your job is to point out the qualities that you like about Rob's style just say well you know I'm liking that eye contact thought he did pretty good moved around a little bit although he's doesn't have a whole lot of room to move you are to point out the positive qualities by the way can I have a work in that talent management and one of the projects I'm working on right now is we're building a career ladder for our division so we're gonna create a tool we're not a traditional career ladder where people just see a vertical chart but mixing in videos mixing in real descriptions courses they need to take what's the job about to really help people get to the next level we have many different divisions that's all I need give me hand everybody positive feedback for Rob if I could just see some hands in the front here yes you like to sigh conduct yeah he was doing a pretty good job right what else did he do well he started to use the gestures you thought the vocal was pretty good okay I asked I also like the eye contact and I noticed he was being conscious about making sure he was really looking at people so I want to have him continue to grow that skill because I see him working on it and it was working for you all right so what I'm gonna do is just you're gonna be talking about a project so you can continue talking about this project so I just want you to be thinking about that right now okay so now I'm going to what I call the skill enhancement portion of the program and that is I'm going to teach him something new so we're not in the towel anymore we're in the teach so I need four people to help him out on I'm going to pick four people lady in the yellow sweater right here yep can you raise your hand nice and high for me please okay that's one okay yes I had a volunteer right away yes you'll raise your hand please yeah and then I'll pick somebody right here this lady right here you yeah you're gonna raise your hand and then I'm going to pick all the way in the back the turquoise shirt gentleman yep yep okay so four hands can I see the hands like that all four hands keep them nice and high just like that right now here's what's gonna happen I need you to go in order you're gonna go one two three four you're gonna hold your eye contact on her until her hand goes down you guys can put him down for the moment now okay until her hand goes down and when her hand goes down I want you to just calmly move your eyes to the second hand raiser and get her hand out then you'll move to person number three and get that hand done in person number four piece of cake all right hand raisers what's going to happen is Rob is going when I say raise your hands not yet though you'll raise your hands Rob is gonna come eyeball-to-eyeball with you you're gonna see his eyes come right towards you as soon as he locks in his eyes and you're gonna lock in like lock in right you're gonna lock in there he's given he's given it to you like that lock and lock and lost his dignity exactly panned razors you're gonna go 1,001 1,002 1,003 1,004 1,005 put your hand out ok now 5 seconds isn't the rule 5 seconds is the teaching mechanism normally be anywhere from 3 to 5 that you do it but you know random is tough to teach so you're gonna hold 5 seconds 5 seconds 5 seconds 5 seconds ok you just got to get the hands down alright and remember what you're talking about one little tidbit there all right here we go hands up all four hands go up let's watch and watch what changes so we've just started on the project and it's it's a little challenging because I've got a large group of folks that don't report to me that I need to do some some work for me and in order to do that they have teams that work for them so I'm encouraging them to use the folks that work for them in order to make that happen but we're coming along nicely sorry didn't mean to ignore you but it it's a fairly large job we have a lot of positions and we need to acquire all the information that we need for each one of those roles so we expect to be done hopefully by the mid to end of August it's an important project to my boss good give him a hand everybody all right how's it doing pretty good everything's moving on we're gonna know it was rambling thank you for bringing that up I don't feel that you were rambling but here's what is happening and so I want to talk about how to the an so's and and as you can hear them they're connecting right so we talked about taking command of the room your eye contact was pretty good and by the way I thought his eye contact was pretty good before the reason I had him do eye contact is because of what I'm gonna have him do right now all right so yeah no not the mirror so here's what we're gonna do you're gonna do the same for hands this time I want you to be aware of you do have a tendency to kind of go to one leg if you can I'd like you to stand a little bit taller on both feet yeah just it'll feel a little stiff so it feels you know when you used to kind of seem like this and you stand like this you feel a little bit don't lock your knees I don't need you to faint although I do know CPR okay but I'm not gonna need to do that today okay so you're gonna stay a little bit taller but this time the hand goes down I want you to finish your sentence with that person okay so it'll be longer it'll be longer than the hand you'll stay you'll say it you'll finish the sentence at the end of that sentence you'll spheal pause no talking and you'll move your eyes to that other hand and then you are allowed to resume speaking you cannot start with and or and so or the word so or the word and right for you I just want him to it's gonna feel choppy it's gonna feel like you're talking then there's gonna be this dead air then you're gonna start talking again then there's gonna be this dead air then you're gonna start talking in so you'll feel herky-jerky when you do it and if it's herky-jerky you're doing it right okay okay four hands go up here we go let me get all the way so the first step of the project is we have to gather data on all the different positions we have several different divisions that we were utilizing each division probably has 15 to 20 positions that we need to accumulate the job information for so it's what kind of courses are they taking what's the required training what what do they need what what's involved in the job we're going to use the videos to actually show what they do we'll put we're gonna put a GoPro on on their head and in their job function and they're gonna do a rough cut video of what they do it should be really exciting we're really excited about it we're going to build it into an app that people have on their phones it'll be stored on our website that's good give them a hand everybody thank you [Applause] duty square up no yeah yeah no he was crying yeah you were moving does he look better yeah he doesn't now he was pretty good before I was not like he was you know going from A to Z but here's what I'm saying these minor little changes do have an impact and I believe for you I believe your eye contact was pretty good before I think you need to hold it just a little bit longer but it's the and um that's gonna take command of the room just make it a little bit stronger and how you do that is you finish with the person you move your eyes to another person in that space you don't speak and you have a real word start the sentence okay thank you very much so you can take a friend to Harry Connick I got it Oh fantastic well there you go his wife gets to go with him okay you know what grace I'm gonna bring you all the way from the back we used to our clerical staff to see what skills they have and if there's a downgrading we need to do at this point we're not sure if we need to do any layoffs but if there's gonna be layoffs so we need to talk to the union of course because of clerk Oh staff they are union members and if there's gonna be a layoffs we also need to talk to the labor relations at Yale University and have them involved I shouldn't use all that's enough give her a hand everybody how's she doing everyone pretty good huh another good speaker I like it when the volunteers speak oh by the way she's gonna get a present too she's gonna get a tip through talk book I forgot to mention it yes a present gotta get presents I don't have candy but I just felt like 7 o'clock in the morning is too too early for chocolate all right so here's I like wait a minute before I said I like what do you like I contact wasn't bad again she's smiling what about Hama in the back which is like yes nice even tone yes all right what do you things I want to work on with her is I do want to work on Stan's I thought our eye contact was pretty good I'm gonna work on a little bit of the Stan's taking command always with women I'm like you know I'm always doing this like flexing muscle standing nice and tall I don't need you to lock or stand but when I want you to be aware of I'm gonna I'm gonna paper-trained you again scale enhancements right it's not the perfect world we don't have a ton of space when I have you start back here what I'm gonna have you do it's shaky so just be aware of that right you're gonna walk up here you're gonna take a couple steps and have you kind of start here yeah you're just gonna take a couple of steps you're gonna go one two and three and you're gonna plant really firm you're not gonna look over there weights gonna be nice and even and here's the big thing the hands if you start to feel them lot just calmly drop them down or open them up okay don't go like that but just open more light you know get those hands a little bit looser right so you're gonna walk up you're gonna plant right here I'm actually gonna pull it back a little bit I'm gonna have you step back just a little bit more yep you're gonna walk here and then you're gonna go one two and right there just be very aware of your space okay be very wary of your space I don't want you taking a tumble okay all right so she's gonna do what we call walk and plant she's gonna square up and try to get her Center more open here we go go ahead engines they are not sure where they're gonna be laid off and we are not sure okay I'm gonna pause right there grace don't worry about the Unzen off so we company become very self-critical one of the things when we're learning I'm gonna come up here with you when you're learning a new skill or you're teaching somebody a new skill give them permission to focus on the one skill they're working on you you might become aware of other things but we're not working on that right now okay and by the way once we settle some of this other stuff down Dom's tend to go away by themselves so that's why I don't always worry about them and they will so I wanted you to be thoughtful about taking command of the room you're kind of coming up boom boom boom and plant everything's going out here then you take you take a rather significant turn in other words you turn and go it'll feel a little bit like you're charging at them okay it'll feel a little like you're churning you won't be but it'll feel like that unless of course you do charge and then then it will look but you don't have to okay good to go back to school if they do not have a bachelor degree they should Yale has a very good tuition reimbursement program and all they need to do is to up the money info up front go to school and when they pass each course they will get their money back and it will be directly positive as part of their page huh give her a hand everybody how's she looking yeah so it's just a little bit of a move a little bit different like walk walk walk and plant and what you'll find when you do a little bit of movement for all of you so that as you walk up and you stop because there's energy there the hands will pop open that's the normal energy as you're you're walking walking walking the feet don't go the body goes boom okay walk walk walk if you don't go the body
