Quickbooks online is a cloud-based accounting software developed by Intuit. So this is very popular in the USA but is also being used in different parts of the world. But most users of quickbooks online are from the USA. Okay? Quickbooks online help us, as a bookkeeper or accountant to record, sort and
store financial transactions of our client in one place. Yes. There we will record all the financial transactions of our clients so that we can prepare a financial report for them, at the end of the month or on a weekly basis
or on a yearly basis okay so in the future your client might ask you which version of
quickbooks online is right for them. We have three to four version of quickbooks online so first, is just simple start, essentials, plus and if your client is in the US there is quickbooks advanced. These versions are, you or your client pay them on a monthly basis. So simple start is for small businesses. So if your client business is just starting and what to use quickbooks, then you can suggest that they can use simple start. It's just one user plus the accountant he will invite. Okay? Simple start you can track income and expenses send custom invoices and quotes
you can also connect your bank That's what we call bank feed and you can track your VAT. In essentials, if for example there are more than two users who will use quickbooks So I would suggest to choose essentials for your client. So, In essentials you can also track income and expenses, send custom invoices and quotes, connect your bank, track your VAT and you can manage your employees, it has multi currency and up to three users can use quickbooks online plus your accountant. Okay? So, we also have plus, this is the recommended if there are more than 5 users and if you want to track inventory. So if that, track inventory, projects and to manage your clients budget. So plus is what we will use. So that's the three versions of quickbooks online. You'll pay for it monthly and if you're still not decided which version of quickbooks online you will choose, then you can start first in the 30-day trial
so it's free for 30 days and then after 30 days then you can decide in my version and anytime you can
downgrade or upgrade your uh subscription here in quickbooks online. So who will pay for the subscription of quickbooks online? it really depends. So you can include it in your rate or in your contract with your client, or it is also possible for your client to pay for their subscription. The goof thing here is if you're the one who pays for the subscription of quickbooks online for your clients, there is an affiliate wherein you will get a discount once you add another subscription under your current subscription So, if example simple start is $8/month, you can bill $8 with your client, but that truth is you're only paying, for example there is 20% dicount, that's just how much you will pay, so you have an additional income in paying for your client's subscriptions. But if you want the client to pay, no worries at all. Okay? So what does quickbooks online look like. So it's like this. As you can see you can see here the company name which is long for success event planning so this is a
sample company. So once you create your quickbooks online you can access their sample company and you
can try there, how to upload bank statement how to create sales invoice, you can do all that in the sample company of quickbooks online okay? So on the left side, you will see new. So when you click on that, there is customers, suppliers, employees and other. So in customer's there's everything related to your sales, so invoice uh fs you receive payment, quote, you can also adjust quote, sales receipt. refund receipt uh delayed credit and
charge okay? So it's the same if we have income, we also have expenses. So, you will see here expense,
check, the bill, pay bills, purchase order, credit credit card and supplier, okay? We also have
employees and time sheet okay and then he other is you can create bank deposit, transfer, journal
entry, statement inventory and pay down credit, okay? So we can see all this in new. This new icon is a quick way for you to create the ones you see here. These invoices, expense, etc. Okay? So that's it. As you can see, we also have dashboard. In dashboard, you will see this exactly, getting things done, business overview and you will see set up guide and then it also has shortcuts, bank accounts, so you can
hide this or since this is very uh confidential, you can hide it and then turn on privacy so it's hidden. Okay so we also have business overview. In business overview, you will see there the profit and loss, your expenses, your
invoices and your sales, so if you want to hide this okay now then just click on
this and that's it. So uh if you want to hide your navigation bar on the left side you can click on this three line, just click it and then it will disappear and your view will be wider, Okay? and then as you can see we also have here help so there you can type the keywords or topics related to your questions and you will also see the answers there. Okay? We also have here search button. In this search button, you will see here your recent transactions. So what was the last thing you did or recent update in your quickbooks online is here. You can also do advance search, and then on advance search, you will see all transactions, and if you click on the dropdown, you will see different types of transaction that you can search. And then we can choose amount um display name, reference, etc and then
you can also put conditions, contains, equals does not contain or not equal so you can enter
and then just hit search and it will show all the results seen by quickbooks online, okay? and then we also have here notification bell. So all notifications are there for you to see. We also have here settings icon, so if you click on that, we have three main column here which is your company, your list, the tools and your profile, okay? So your company, in account and settings you can set up your company so you can update your company name, so you can create a logo and then update your contact information your address and then there is tab for sales, if you like to modified your sales, your invoices, and then we have expenses tab, advanced tab. So you can see all that. So there is time tracking if you want to turn it on and off, it's okay. And then if you have multi currency, you can also turn it on. Okay? So let's go back to settings, and in list, you will see there all the list, products and services. So there you can create products, and your services. And then let's go back to settings, Under your company, there's also chart of account, so here you can access chart of accounts and create new one or use the existing chart of accounts in quickbooks, okay? Under list, we can see all the products and services, recurring transactions, currencies. Under tools, we will see importing data in your bank transactions, etc. We also have reconcile, uh budgeting and so on. Okay? and then finally, you will see your profile, so when you click on that you will see your name and then you can manage or you can sign out. So that's it. Okay? So let's go back to the left navigation bar, okay. So in banking, we will see there all the banks that your client has. So there you can, so how many banks does your client have, you can see that there and also you can upload and you can also link bank account here, Okay? We also have here rules, and these are the bank rules. So for example, uh you have a lot of recurring transactions and you just want to create a rule so next time you categorize, it already has a rule. So you can automatically record it, or you can review and then approve. Okay? And then, we also have here sales, so in sales you can see all sales, uh invoices, customers and products and services. Okay? So for expenses, it's the same. There you can see all of expenses of the company and then suppliers, so list of suppliers that the company has. Okay. So if your client is tracking projects, you will also see here the different projects of your client. Okay? We also have here employees, and we have reports wherein you can see the different types of reports, from balance sheet, profit and loss, cash flow. So you can also put a star in the favorite report that you often visit. So if you only like profit and loss by month, balance sheet and cash flow it's possible. You can put a star so that once you click on the report you can access them easily. Okay? So we also have here taxes. This one is related to tax. So if your client has tax, you can see, manage and edit it here. Okay? We also have mileage here wherein you can enter mileage of your client. In accounting, you will see there the chart of accounts and then reconcile. So in reconcile, it should be done on a monthly basis so you know that there is no missed transaction and if the one in the quickbooks versus bank statement that you have is correct. Okay? and then the last one is, we have my accountants. Here in my accountant is the tab where our client invite us to access this quickbooks online. So guys, this view is for user view. So for example you are the owner of the account, so this is the way it looks. This is what quickbooks look like. But if you are invited as an an accountant of a client on his quickbooks online account then It's just the same, the only difference is you will see the accountant tool beside the company name.
