hi maddie martin here for smith ai virtual receptionist i want to take a moment and talk about one of the most commonly asked questions that we get which is where do i fit smith ai into my business i have a receptionist i don't have a receptionist my receptionist is temporarily on leave my receptionist is way too busy and can't keep up with the call volume no problem we hear this all the time now you can fit us in however you want to fit us in because we can do inbound call answering we can also make outbound calls often using your caller id with your business phone number so that when we call it looks just like you now if you don't have a receptionist already it's really important that we are afforded all of your calls so that we can handle everything that comes in during business hours and then we can also handle what comes in after hours now if we're making outbound calls typically those are only done during business hours unless you tell us otherwise so if there is an emergency or if for example you are working in a personal injury firm and there are matters at 3am that do warrant a callback right away then absolutely we can do that now if it's the case that you have someone or maybe it's you who answers your phone we can operate basically as overflow so if you want to have the chance to pick up the phone we can ring you one or two times and then we'll pick up if you don't pick up and that's really nice so that you have the peace of mind that even if you're busy or you're heads down on a project or you're in a meeting or in court wherever you are or simply taking a day off you know that your phone will always be answered now it's also important that if you have someone else who is answering your phone that if they need to run an errand or do other important tasks that just like your time we protect theirs too we understand that your staff wear multiple hats so it's nice to have that overflow option so that we can be your backup but not with so much delay that it's many rings and then we're there typically we recommend only one ring at most two before we pick up as your backup so what you don't want to do is have many people run at your business first the receptionist then person a then person b then u is the backup then us as the final backup the person's going to hang up before they get to a real live person and that's what we're here to prevent now you can also set us up so that we can answer calls for you only after hours so you may say i really only want you to be in after hours and weekend answering service i want you to work around my work schedule when my business hours are or maybe even during the busiest times conversely we can totally sit into whatever schedule you want us to work with you can also use us for a period of time let's say you have a marketing campaign or you have someone who is going on leave maternity leave whatever the case may be you can put us in place for that period only and then if you want to put us on hold we can do so for a very small fee we're talking like 10 a month now the really nice thing is that you can turn us back on any time and we will go back to handling your calls just according to the directions or to new directions that you have for us like nothing ever happened so i hope that this is very helpful to you in understanding how smith ai can fit into your business if you have a support team or a sales team it's really important that you protect their time and we answer the call first so that they're not bothered we can pre-screen and then transfer the call to them so if you have in-house teams it's not critical that they answer the first phone call it's critical that they answer those valuable calls only so use us how we can be of most value to you but there are many ways that we can plug in to your business
