Employee Onboarding, Workday, ServiceNow, Active Directory, with email based approval

this is a demo for employee onboarding automation in work auto this slide shows an overview of the automation workflow the integration will be triggered when a new worker is added in workday that will lead to a new user being automatically created in active directory followed by the user being added to to a provisioning group in active directory a new user record for that employee will then be created in servicenow followed by an equipment provisioning ticket the employees manager will then receive a form to pick equipments that need to be provisioned through email once the manager selects and submits the response through email the equipment provisioning ticket in servicenow will be updated with the manager selection and once the it agent provisions the equipment and closes the servicenow ticket the provisioning group status in workday will be set to assigned and the confirmation email notification will be sent to the manager the workflow has been achieved over three integration recipes in worcado i will get into the recipe details shortly now let's go into the demo itself for the purpose of this demo i have picked angela bianchi who is the director of field says of field sales north america as we can see there isn't any servicenow request created for angela bianchi we don't see a user being created we don't see a user record for angular bmg as well under active directory so we are going to start this workflow by setting the right provisioning group for angela in this case that should be sales since she is from the sales team and then setting it to be unassigned so that workato can pick it up and perform the required provisioning this will trigger the first mercado recipe that we see here this recipe is set to poll every five minutes to look for worker with provisioning status set to unassigned right so for the purpose of this demo let's do a check now so it managed to find one and we should be able to see that that's angela bianchi that this is being processed this recipe will pick up the worker record it will search for existing user record in active directory if that does not exist it will create a user in active directory for the employee and add that employee to a provisioning group in active directory followed by which it will also go ahead to create a servicenow request ticket and send an email to the employees manager with the available equipments that can be provisioned so here after the first run of this recipe we can see that a provisioning ticket has been created for this employee angela bianchi we can open that up yeah so it has basic information it does not contain equipment's you know equipments and let's refresh the active directory we should be able to see angela bianchi created as a user and she has been assigned to sales provisioning group in active directory next the manager should have received an email new hire onboarding for angela and the manager can now select the equipment that need to be provisioned right so in this case i'm going to select x now external monitor standard laptop iphone 6 and yeah just these let me click submit once submitted the second recipe will be triggered based on the manager's response it is set up to be a http webhook so this will be performed in real time so as we can see once the submit has gone through it has triggered this recipe let's refresh the page and as shown the items that i've selected external monitor standard laptop and iphone 6 should have been added to the servicenow request so let me refresh this and as we can see all the three equipment have been added as request items under the provisioning ticket in servicenow now once the it manager has provisioned all the equipment he can he will be changing the status to closed complete once the status has been changed to close complete the third recipe will then pick up that record so let me refresh yeah so it has triggered and processed what the third recipe does is it sets the provisioning group in workday back to assigned so if we were to go back and refresh this you should see that angela's provisioning group should be set to sales and it should be set to assign status the manager should have also received a confirmation email saying that the request has been created and submitted successfully yep so this covers the employee onboarding workflow as mentioned these are the three recipes we were looking at the first recipe creates provisioning ticket in servicenow and creates user in active directory along with adding that user to a user group when the worker is set to provisioning in workday the second recipe then gets the response from the manager and updates the servicenow ticket with the equipment that need to be provisioned once it has been completed the third recipe then picks up the the response from servicenow and updates the provisioning status for the employee in workday to assign as we saw and sends the managerial confirmation email this is the end of the demo thank you
