A 10 Minute Comparison: Office 365 vs Google's G Suite - WorkTools #32 by Christoph Magnussen

[Music] so this is not a typical review video I will not compare feature by feature by feature this is a video for people with not a lot of time but who still need to make a proper decision they should go GC with Google or office 365 with Microsoft what are the differences between these two works and what kind of company makes sense to implement one or the other and of course I will give you some real-life examples and show you how we use it and what's the differences but let me start with one thing that doesn't seem related at first you remember if Michael Phelps this very fast guy in the water he's the greatest athlete of all time he had a very clear vision for his career that started with a dream and a goal I wanted to be the greatest of all time I went five straight years without missing a single day of workout 365 days here every single day as in the water and in the sport of swimming when you miss one day it takes you two days to get back when straight 5 years 365 days without missing a single day of training and accompany is a high-performance team that's what a company is it's easy for most of the people to swim so you can't roll them in the water and it's fine they can swim in Jesus way they can swim an office 365 or 5 but to become the fastest at the best this is the hard thing without a clear idea what you want to achieve and where you would go with this tool that influences everything in your work your communication your invoices your estimation how you collaborate with other people on the outside many things of your daily life without a clear direction you won't go anywhere the only thing you will get is ending up with a lot of complaints about why you cannot become the fastest why this feature doesn't work this is like my swimming pants are too tight the water is too cold I don't have time for training so this is the basics and very important to understand before we now jump into the examples and we will do that on the road because I'm late for the and heading to the office hello come to the office without bringing a gift to compare these two you need to understand that you're comparing two different works Google is coming from the online world they they developed everything online and test it from the end user side whereas Microsoft Microsoft Word Microsoft Excel PowerPoint out against Iran have been tools on the computer as actual software and this is what differentiates these two tools the most let's look at the speed of these two tools if you want to collaborate in real time you don't want to lose time and waiting for an update that you actually see what the changes look like nor it is here that's the pink pink sign here is he is here and working the document which is to really know I can see in real time what is happening this is not necessary for every company to do that at the same time or to be able to collaborate at the same time but that's the feature if you work like we do for example with many different locations and people are used to do everything in almost real-time remember by matrix on husband Chronos and Crone this becomes the killer feature so using office 365 words is like 5 to 30 seconds longer depending on which device you use that tool to wear a Google is like almost real time to like next two seconds latency when it comes to collaboration if you rely on people sending your messages in the office format and you want to have it one-on-one exactly the same format and it's very sophisticated design it might be the way like but be cleared do you really rely on that font do you really rely on video files for example when when you look at Google slides it renders the images down to have it in a better and faster web collaborative format if you have high resolution images InDesign and you have the in keynote or PowerPoint we had them in a better resolution than of course a web resolution off Google which is the native web design so as you can see these are feature details but again the big idea is more important than the details feature if you break that down the worst thing is to mix up both worlds just because you think of some sending the PowerPoint file you can upload powerpoints Google and then a transfer to Google presentation which you can now see here it has the design it has the images and most of the stuff sometimes it really destroys design and the agenda and stuff like that but in most of the cases that I worked with it's pretty fine and you can always just have it in the vision mode with 365 though this is an integrated of course and tools so much better and much deeper integrated next up what you should be aware of is the administrative side and like first to migrate to one of the other tools and then to administrate it Google is linear when it comes to administration but Microsoft can do way more on an individual level so in Microsoft you can individualize a lot of things you have a lot of settings you just need to know them it needs time or effort or at least someone having an IT background to set it up in the right way but as I said on the other hand if you really need individualization for your company and for example you want to buy the service without the video conferencing tool or you want to buy the service without the drive or onedrive then Microsoft is much more customizable whereas Google is like you take it out of the box and you play with it as it is like what comes in one product and again each of these site can make sense for you or not how do they store data with difference to understand when it comes to data is that when you when we talk about clouds the piece of paper in a new system so when we talk about a cloud document no matter if it's an office we see if I were document or a Google Doc a cloud tool ideally pregnant this documents into many pieces it stores each of these pieces on the different servers that are located around the globe and your password then brings back together with this document like this right so it's a secure document only you can access it it's stored not in one piece on one location so someone taking out a hard drive they couldn't access the document which is very important right like this hardware you can you can take away with you and got to go I want to explain the difference if you really say I want my data in Germany or in the you somewhere Microsoft gives you the option for additional price to say we take the T system server in Frankfurt they have different locations in Germany but we store it there whereas Google sends we generate the performance for the collaboration out of our structure around the globe as I said you have these little pieces and each piece is for Google six times two times okay news is checking that right now to be very clear what this does to your stuff is you can access it very fast from any location on the planet but Google says in order to make the structure perfect and out of the box and run for everyone you cannot choose a data location in the U or in Germany but they provide your contracts for it I started with all that stuff because I was looking for a very fast in a program with using shortcut fast and archiving reading answering all this stuff whereas Google health is a pain yes and Microsoft has teams Gmail is much better so if you want mails and very very very fast mail this even if you don't believe me because some people say oh I want my window here for the information and I want to read what's in the mail and I want a signature this is still today the fastest email service to use Google has only one mailbox all messages and the inbox is just the label that you can then detach if you read the email this makes it very fast because you don't need any folders you just use the search I have 70 bigger so this is like 75,000 conversations and conversation meaning Google sums up the mails that belong together written to a conversation which then makes the keeping the information top of your mind altogether - now a familiar the tuner but Google started with that it makes it much faster to find an email to search because it does have one folder one archive folder where you keep everything Gmail much better in a program compared to Outlook but Google please do something with your messenger services it's a total crap you have like hang out you have a low you have done oh you need Microsoft did a good job in developing teams it's a still kind of poor copy of slack but if you have nothing else in your company and if you want to stay within your legacy system in office 365 teams as a way to go most of the Google clients I know they use like anyways connected to the Google account Oh Skype for business versus hangout we use hangout internally for video collaboration the check function of hangout is quite poor of course works on all the Android phones but it's it's weaker than for example what the heck works like chat service you can add up to sing 25 users to a hangout video call and 200 to Skype for business video call or something sorry just to correct scats 250 so 10 times more than hangouts hangout 25 minutes 25 heal this morning which is always a good time I don't know who really needs 200 users on call we never have 25 people inhale anyways as well but if you knew that this is definitely good to know more people are used to Skype because that's kind of for video conferencing the standard but keep in mind this is web conferencing both this is not telepresence I made a video about that and what's the difference either way you have to show your people how it works and we had a great podcast with a founder from Ember couple of days ago they use office 365 and they are like 300 people and he said when they camp with office 365 they actually set in offices next to each other like we do here and for training purposes what they did is they still made this video conference via Skype for business in order to train everyone how to use it you don't train your people if you don't take the time don't expect that any of these tools will help you to improve your collaboration and the way your people work too much thanks for
