6 things you need to run an effective hybrid meeting

welcome to hybrid meetings for beginners in this video you will learn the six most important things for setting up a hybrid meeting where you combine in-person and online participants into a seamless meeting experience i'm also going to share some best practices and insights that i've learned from organizing hybrid meetings over the years welcome to the live stream welcome josh welcome leons welcome to everybody who's watching live let's jump straight into the list the first thing you need in the room is a microphone so that the people who are in the room can be heard by the online participants number two is you need loudspeakers in the room so that the people online can be heard in the room number three you need a camera or preferably multiple cameras so that your participants online can see the participants in the room number four is you need a screen in the room so that when you're in the room you can see the online meeting two more to go on this list and we're gonna dive deep into all of these number five is the software that actually runs the meeting you will need something like zoom to connect the online and the in-person participants running on a laptop and the number six thing that you need is a stable and high-capacity internet connection so we're going to dive deep into all of these in today's training thank you to everybody who is joining us you don't need a lot of expensive equipment though you don't need a fancy camera you can probably use the built-in camera in your laptop like in this scene here so we're going to learn more as we go along if today and let's start with microphone but i'm gonna do microphone and speakers in the same block because they are so dependent on each other plus what i'm actually going to be recommending is a conference speakerphone that has both but let's start with the basic problem or the basic challenge of audio in hybrid meetings what can easily happen is that you get audio feedback and echo between the different devices and especially if you have for example a phone that you're going to be using as a second camera that could be picking up the sound from the loudspeakers in the room and then you get audio feedback and because they're on different devices this is going to be a big problem so if there's only one thing that you remember as the most important best practice for a hybrid meeting it is to avoid this audio feedback how do you avoid audio feedback you make sure that all of the audio in and out is handled by one device in my setup that's usually a laptop usually i connect the audio in and the audio out into that laptop and then then the echo cancellation zoom is actually going to be able to handle that cancellation of that echo the problem arises if i were to have the microphone connected to a phone and the speakers connected to a laptop then you will get that echo so let's avoid that and we're going to look at some strategies for doing that by the way there's a link in the description to a video where i go more in into detail about audio feedback but for me the easiest way to set up audio is actually to use a conference speakerphone that you can see here because it has a number of microphones that will pick up the audio of the people in the room and it has a speaker that also makes sure that everybody can hear the online participants this model costs about 200 and we're going to talk a little bit more about that later as well and that may not be in the budget of every everybody so i also want to show you a different version of them of an audio setup this is an example from our toastmasters club which is a public speaking club where i've been a member for many years 14 years something like this and in this picture is being modeled by our club president nina in the bottom left corner of this image you can see a blue green not a conference speaker but rather a bluetooth speaker that's connected to the laptop and in front of her you can see a mic stand that has a wired lavalier mic that is also connected to the laptop so we have two different devices but they are critically both connected to the laptop and that conference you know that that microphone that lavalier microphone that that costs 20 that is the boya by m1 lavalier mic connected to the laptop there's a link to that in the description below and it actually has a cable length of something like 6 meters 18 feet or so so it's actually super flexible so it's a great place to start but we're going to look at maybe the possibility of even using the it maybe even using the laptop as a microphone but for me the best solution so far has been a conference speaker phone and i want to i want to show you the devices that i actually use this here this is the conference speakerphone that i've been using for the longest time this is the poly callisto 7200 i'm going to put it against the camera let's see if we can get it to uh to focus on there we go it's um it's a good speaker phone and i can get about five hours of use with one charge and then i can also charge it with it with the usb port very good choice um but i have something new for you i mentioned that there was going to be something special because i actually have here on the other side of my desk i have this this is the polysync 20 the newest version from the same company and as you can see if you compare this the look of this to the other one you can see this is a little bit sleeker right it has this nice fabric on top it's also waterproof it has a cool cable management system here on on the on the back side i'm not entirely sure if it's actually a good idea or not but this is something that i've only used at one hybrid meeting and there is a video coming out about that but i mentioned that there was going to be something special right so what i'm going to play for you is a little bit of a world premiere it's a video that i've been working on but i haven't published yet so i'm going to play you a two-minute video that compares the microphone in my laptop with the two conference speaker phones because what i want to encourage you to do when you start doing hybrid meetings is to consider just using the equipment you already have so i'm going to start this this video here and be aware that about halfway through there's going to be a sudden increase in volume so don't be scared about that so check one two one two microphone check one two so that's a video that is in production and there's going to be more details coming out about my first impressions and and more thought out impressions of these devices but let me know in the comments which one of those audio samples was the most pleasant to you for me one reflection that i make is that the the poly sync 20 seems to be better at picking up sound from the longer distance which is the five meters that is about about 15 feet uh for that one um but the other impression that i come away with is that i could probably just use my laptop and keep this in mind as you start with hybrid meetings that you could potentially get started with the things you already have i want to move over to the uh to the next uh blog here but hey if you're bringing any value from this video hit the like button as we move over to the next topic here and that's going to be the cameras in the room uh let's see if i can get this to work there we go and the camera is in the room and i have tried in principle three different camera setups in my hybrid meetings and what i'm going to put on the screen right now is the first hybrid meeting setup that we ever used i wouldn't recommend this but i'm just going to show you so that you know that it actually works so let's put this let's put this actually uh full screen in this setup the phone that you see on the table there its selfie camera is being used as the main camera and the setup it's directed towards the stage this is not a particularly good idea because that also means the speaker has the only the tiny phone screen to look at but it is at least something in the next example in this setup the main camera is the laptop selfie camera that we have on the on the left hand side of this image and then my current setup looks like this for this one i use a real camera this is the canon m50 mirrorless camera and we're going to talk a little bit more about how you can actually do this but also note that it's important to have a second camera in the room as well and what you can see on this picture if you look to the very far side of the picture in the middle there there is a cell phone on a tripod and that tripod let's let's see if i can that tripod is actually this kind of little tripod here that just folds out this is the uh the the joby grip tight one smartphone tripod and it's pretty cool because you can place it very flexibly and the purpose of that second camera is to make sure that the online participants can see the other participants in the room not only and the speaker so that's the purpose of the second camera and and the image quality of the second camera i think is less important than the image quality of the first one but there's one thing i want to say about this list in general it is in order of importance so audio in my experience and in my opinion is more important than video in general so we talked about having a second camera and a first camera but i do want to share one power tip with you as well and that is to make sure that you match the presenter camera and audio and what i mean by that is that when you're running zoom and you have multiple cameras in the room zoom is going to determine which camera view is going to be shown through the speaker view and where is it going to indicate that the speaker is actually making noise based on where the audio is coming from so if the main camera in in this case if the canon m50 is connected to the laptop and then that and the audio is also connected to the laptop then that is going to be seen as the main camera and then you're going to be able to match the speaker view with the audio so that's one important thing to keep in mind is that make sure that they are both connected to the same device as far as the second camera goes the one thing that i love about zoom is that if you just log into the same meeting even with the same account with a different device it's just going to pop up as a second device and it's nice that you can log in multiple times into the same meeting and that makes it super easy to connect that second camera or even a third camera actually at the meeting that i did uh this week i used as a third camera another phone that is held in my hand as i was demoing the setup we're going to move over to the next item here listen if you haven't audience so let's move over to the next point and the next point is uh going to be no there's there's there's a secret bonus tip actually coming up before we go to the next point this is the next point is that i want to say a little bit about how do you use a real camera as a webcam when you when you're just using the built-in camera in your phone on your laptop it's pretty pretty simple if you have an additional webcam that that you can just clip on you will connect that with a usb cable but i want to share some thoughts about how you actually use a real camera like i'm using which is the canon m50 i'm going to quickly go back to my to this screen here let's put that full screen i don't know if you can see this on on this particular image but the way this camera is connected it has two cables coming out of it there's a cable coming out from the bottom and that is the power cable i've connected a dummy battery which replaces the normal battery in the in the camera and there's a dummy battery which is just a plastic block and then a cable is coming out from the bottom of the camera supplying power and then the second camera there is a usb cable connected to the laptop and you can do this with many different cameras from from from nikon from olympus from sony and definitely from from canon as well just with the usb cable and in the in the description below the video i have links to to the cable that works with the canon camera um as well so that's super simple to set up but there is one more way that you can actually set up a camera with a a real camera as a webcam and that is to use an hdmi cable an hdmi cable will give you a higher quality and there's also audio on that cable if you choose to use that but in order to get that into your laptop you need a capture card and a capture card is a little device that has a usb connection in one end and hdmi cable in the other end and the best one available for this is a from a company called elgato the elgato cam link also linked in the description i think if i remember correctly it's something like 120 so if your budget has room for an hdmi cable then use that it comes with some other limitations as well in the case of my camera for example but if you just want to invest in a 10 usb cable you can use a real camera for your hybrid meeting and for video conferencing and in fact that's what i'm doing for this particular live stream let's move over to the next topic and the next topic is going to be the screen that you have in the room as you saw in my setup the i'm actually using a projector screen to make sure that people in the room can see the online participants clearly you could also use a tv if you have one but in the very first few hybrid means we i didn't even have a projector connected i actually only had a um i only had my laptop that i kind of propped up so that it was visible to the audience i wouldn't recommend it but i'm saying it just to show that it's possible it doesn't have to be amazing so if we look at this setup here this uh this image let's put that then let's put that full screen here is how it looks like this is a live photo from one of our meetings so we have all the meeting participants there on the right hand side of the image being projected to the people in the room and then you can have my my mess of cables in the foreground as well and as you can see when i when i select photos i usually take them after the meeting so i can actually clean clean up those cables a little bit but that i think that screen is really important for you to make sure that um the on the in-room participants can get a good feel of everybody who's in there and together with the multiple cameras it helps to create an inclusive environment i mentioned in the um in the pre-marketing for this live stream that i was going to share some things that i haven't talked about before and this is exactly what i'm going to do right now this and i'm going to pay off that piece because i want to bring your attention to something that you may not not have thought of when it comes to hybrid meeting hybrid meetings and what i encourage you to do is to try different layouts in the room and what i mean by that is that it's not obvious where the speaker should be placed in relation to the screen often you would find something like this and this is my terrible drawing that you can see here but on the left hand side is the projector screen and the speaker is standing next to the projector screen and then all the equipment is on the table and then the audience is on the right hand side of that screen and this is a traditional layout in the sense that if you were to do a presentation in a conference room most likely the speaker would be standing next to the screen it's kind of how we're used to doing it but this may not be the ideal situation for a hybrid meeting because we have more aspects to think of one of them is that the light from that projector can interfere with the lighting of the speaker for example if you have strong lighting on the speaker which you should have so that they can be seen on video that light might actually drown out the light from the projector so another way to lay out your room would be to do it like this instead as you can see on the screen so on this picture i have the sp the speaker on the right side of the room and they are facing the projector rather than standing next to it and this eliminates that lighting problem that you mentioned and this is actually the setup that we're currently using in my hybrid meeting it doesn't come it's not um it's it does have some limitations as well and one of them is that the audience has to kind of turn their heads so when they're looking at the screen they have to look one way and when they're looking at the speaker they have to look another way and especially if i'm as a speaker if i'm using visuals it can be a little bit confusing for my audience in the room to have to turn two different ways when i'm showing visuals and when i'm speaking so i really want to just bring this up as an idea for you to think about where is actually the ideal place for the speaker there's no obvious answer but i really encourage you to think about both of them and there will be a video coming out about this topic a little bit in the future so if you haven't subscribed now it's a great time to to do so as well uh the next item that i want to touch on briefly is the software that you you that you need to run your hybrid meeting and i mentioned before that i use zoom and i like the fact that you can log in with multiple devices into into the same account and you don't even have to share the link to the phone i can actually if i'm logged in on the laptop if i'm logged in on the phone i can actually just go into my list of planned meetings if i'm if i'm producing the meeting that is if i'm if i'm holding it then i can just go in and click start meeting on the phone and even though it says start meeting it will only join the same meeting that i already have in progress in in the room or in the cloud rather another thing that is cool about zoom is that it and this has happened for example if my laptop were to fail the meeting just continues kind of in the cloud and there was a time when i ran out of battery on the laptop and i had to jump in and actually host it from the phone as well quite possibly this also works really well with with teams or google me i just haven't tried these kind of advanced tips next i want to talk about another key requirement and this may in principle be the most important thing it is to have an internet connection that works that is high capacity and stable and that's not always the case in my experience we had at our venue where we have our meetings we had i'm talking about my total toastmasters club here we used to have a pretty stable connection and then something happened and it got more and more limited as time went on and i'm even going to show you this i'm going to put this on the screen when our internet connection completely failed it actually looked like this we lost all of the video of everybody so this picture is taken in the room right so we lost the video of everybody in the room the only square that you can see that at the top is the is my local video but what still worked was the audio and this is kind of maybe let's say let's say that this is part of the fun of running hybrid meetings because you have to learn to deal with situations like this but what i liked about the the setup is that zoom was able to prioritize the audio traffic rather than the video traffic so we were still able to complete this meeting even though i was not able to see anybody and there's an interesting thing that happened there because i was extremely frustrated by the fact that i couldn't see anybody but for the people online for them nothing changed for them they could still see everybody so i have to kind of remind them that you know please remember that i cannot see any of you but for them everything was as as if nothing has changed maybe with the exception of my video signal so if you're going to do hybrid meetings be ready to adapt and to downscale your setup and one of the things that i've had to do once or twice is that usually i set up with two cameras with the main camera and with the audience camera but sometimes i have to get rid of that second camera because we just didn't have enough of an internet connection in our meeting room that has now been solved we have a power line adapter that the venue has installed so that the internet signal actually comes through the power lines into our room um and i even have a link to that actually in the description to a netgear power line adapter so as we uh as we sum up our our most important things here they are if you want to run a hybrid meeting you need a microphone you need loudspeakers you need camcorder you know don't need camcorders you need cameras actually you could use camcorder if you have a camcorder that has a hdmi signal out you could use that as well with the cam link that i talked about before you need a are live streamers who are able to watch the chat as they talk i am not one of those people so i just definitely have to go back to go back and and scroll um okay harry says here that the third conference speaker was the best one yeah that was the polar sync 20. that's the newest model it only came out last year and um i'm still testing it to see if that is a good selection for us um yeah joshua's saying that um not all participants may not be able to buy a speakerphone yeah absolutely and and that's this is why i'm always saying start with the things you have and if you start with just a laptop or audio for example you may find that oh it it turns out that that we didn't even like doing hybrid meetings in the first place we're not going to do it anymore uh so that or you you could come up with oh we really have to invest in this this is the future of our meetings we really have to get better so just get started started with things you already have would be my recommendation uh peter is saying my my gain needs to be uh increased i'm not sure if if you're talking about the the video that i did or where i'm talking at the moment let me know all right ah leons is saying here that um i would put the the speaker 45 degrees with with the screen that's definitely another way to lay out uh your room and that is something that i have not tested what i have considered is to have it 90 degrees so i would have let's say if i'm speaking this way i would have the screen here on this side and then i would have the audience in front of me but 45 degrees might be a better choice that's an excellent point from [Music] from lyons very good and let's see okay so let's see peter is saying that he had to add the chrome audio booster to get a higher speaker output yeah there's definitely lots of places where you can where you can adjust your audio um volume that's one of the tricky parts so in my case for example i run a windows 10 machine there is a there is the sound mixer at the bottom right there is also the kind of um internal sound settings for the sound card and then there's also the the bits in the software what i'm actually using now i'm using a live streaming software called melon also linked in the description and in there i have the mic gain currently at 120 percent and in in obs which i'm running in the background i also have it like a five decibel over over normal okay so let's see if i can go and get back to my chat here and uh i'm just going to quickly going to scroll through here and go back to my chat history here um so let's see let's see i'm going to quickly read josh's question here um if on a budget would you recommend using the laptop as electro microphone and pick up because participants and one central location the speakerphone okay so josh's question here is about a budget option and uh i think there's two ways of of uh setting it up my first setup my very first setup let's see if i can if i can you know find that slide anymore um it's just gonna take a while if i can find that and i may not be able to no i got to pick there we go so this this setup here relies on the idea that there is a dedicated speaking area where the person has to go and speak and i think this is easier to set up because the microphone doesn't have to pick up the whole room right that when you use a speakerphone like that or a conference speakerphone like that the benefit of that is that it picks up the whole room whereas setup like this really only picks up the speaker so i think as a starting position to have a speaking area like this with it with a 20 microphone is a pretty good choice and but as you saw potentially just a laptop could also pick up the entire entire room all right so that's i'm going to quickly scroll up here and we have layouts and then okay let's have a look at the um michelle is saying that that she is looking forward to uh to putting these things in practice you and me both i've been doing these hybrid meetings for a long time and i take the opportunity to improve something at every meeting the first one we ever did was decent but it wasn't great and i think the last one like the one that i did on wednesday this week i think it was great but it can still be improved there was still some things that didn't go exactly right okay the next question here is is from harry how do you measure the uh the capacity of uh of the internet's connection uh i don't particularly measure mine for me it's just a question of your trial and error you know does it work or not and what i've found with zoom in particular is that it's really really good at adapting to different quality so it for example the video quality if if the internet connection doesn't have enough capacity the quality is going to deteriorate which is exactly right after that it's going to remove some of the videos and it's just going to be an image and until there's only sound left so i think that works in in in practice but you will only know once you actually try it which actually also brings me to another point to set up a hybrid meeting takes a long time um i'm not saying you have to do it like this but i actually arrive two hours before the meeting starts to the venue to set up everything up i think the minimum that i could do it is is in 30 minutes but that would stress me so i that that's not something that i want to do and part of that is just experiment you know what can we do to improve the setup compared to the last one also good advice for for making youtube videos by the way make every video one one percent better than the than the last one uh okay liz is saying will this be available afterwards absolutely you can use the same link and watch the replay immediately after after this is done for sure okay let's see um okay so um let's see this is an interesting question here from from leon's did i consider laying out the audience differently like in a classroom setting for example uh in some of the earlier meetings we did uh do that we kind of had these these rows of of people and that worked pretty nicely as well but that does have the uh the the downside that the people in the room can not so easily see each other and i think it's not only important that we have integration between the people online and the people in the room i think it's important that the people in the room also um included with each other so for me i find this kind of the boardroom setting that we're using to be the best but like with everything else do experiment you never know which is actually going to work uh all right let's move over to the um okay let's have a look at harry's question here have you tried dual screen one facing the speaker and one facing the room i have not tried that um no no i take that back of course i have tried that sorry when i had the the speaking area close to the projector i actually usually had the laptop there next to the speaker as well and let's put that back there and so in in in practical terms i can look at the online meeting participants on the laptop screen when i'm speaking and then the audience can see the the rest of the meeting on the projector so that's one way of of doing it and when i flip things around and actually put the speaking area on the opposite side of the projector i do use that i do lose that rather because at that time i cannot have the laptop so close to me just because the cables are not long enough so that's a very practical constraint but hybrid means they're all about practical constraints there's no no doubt about that okay so let's have a look at the question here from peter what if you have a longer auditorium and you use the the pa system can you integrate it in my hybrid meetings i haven't tried it but at the comedy club that i run i always connect everything to the pa system and the way it actually works in practice is that i connect my laptop with the usb cable into the mixing desk and then the mixing desk has connections to the speakers in the room as well as the the microphones the handheld microphones in the room and and because i have that usb connection i have both audio in and out and that means for my comedy clubs it comedy shows it means that i can record the mic input onto my computer very easily and i can also play music and sound effects through the pa system so if i had a pa system i would probably go with something like that and ensure that both the audio in and audio out are all going through that pa system like a mixing desk something like that but great question and and these are some of the some of the things that we will have to learn if we are going to do hybrid beans we have to figure out how to work with with the audio and video technology um and and get better so it's a great learning experience okay let's have a look at the next uh next question here [Music] jenny is saying um okay jenny is saying thank you very much he will say helpful and informative i love it it's always nice to have good feedback like that um let's see now this is an interesting question from peter very good question actually does zoom record this setup i think that the answer is no but i wish that if it were something else um i have recorded my own presentations a few times with with the setup that i use and what zoom in my experience and typically does is that it records the speaker view only i think if you are sharing slides or other visual aids or any kind of screen sharing you can set it up to record or not record the screen sharing as well and i believe you may be able to record each video individually but don't quote me on that but the problem with this is that the presentation i did the other day for example i had uh i was relying on two different video feeds one was the the camera pointed at my face but then i was also holding hand-holding your phone in my hand and showing actually i was actually talking about the hybrid media setup and i was kind of showing aspects of the camera and stuff like that um on the on the handheld phone but that did not get recorded in the zoom setup so it's it's it's a real challenge i think to make sure that you're recording the right thing um on zoom what i was actually able to do also in that same setup is that in addition to recording on zoom i also recorded on the camera itself i just press record on the camera and i record it on the on the memory card which meant that i have a higher quality video recording of that of that presentation and if i wanted to be all fancy about it i could of course connect the audio recording from zoom and the video recording from the camera for the highest possible combination there but i think recording hybrid meetings is going to be expand exponentially more difficult than recording just a normal online or in-person meeting that's definitely part of the of the challenge so with uh uh i think we are close to reaching the end of uh of
